The following two routines are available for confirming the picking:

  • Work with pickings
  • Pick confirmation flow

Depending on your needs, you can choose one or the other or utilize both. Both routines support the update and validation from an external client, e.g., Iptor WM1, but the Work with pickings routine should be used if Iptor WM1 was implemented in one of your main warehouses since any erroneous transactions sent from Iptor WM1 are saved. If an Iptor WM1 transaction ends up on error, you would use this routine to view and manually correct the erroneous transaction.

Start view for pick list confirmation

In the Work with pickings routine, you can configure the start view, via the View control function key, denoting what view (i.e. Pickings, Shipments, Consolidations, Containers or All warehouses) should be the default view when you first access the Work with pickings routine. Note: The Container view is only available if the CONTAINR (Container handling) function is activated in the Function control file.

Pick list confirmation for a container

If the container handling functionality has been set up in the system and you want to use the Work with pickings routine to confirm a container you can use the Container view which can be configured as the start view via a view control, or any of the other views. From the Container view, the confirmation reporting is done per container and not by pick list. If the container is flagged for PQC (Pick quality control) reporting, the confirmation for such a container is only available from the Container view.

The Pick confirmation flow routine can only be used for containers that are not flagged for PQC (Pick quality control) reporting.

Barcode scanning

If the barcode scanning functionality has been set up in the system and you plan on scanning barcoded labels when performing a pick from stock, this can be done using any of the following routines:

  • Work with pickings
  • Work with batch receive and pick

The content of the barcode is automatically converted and updated in the system, and if all information is correct, the reception is automatically confirmed. See Scan barcoded labels during pick from stock for instructions.

Serialized tracking for batch controlled items

When picking is performed for batch controlled items you will be required to select a unique serialized tracking ID per stock unit if the SERTRACK (Serialized tracking) function is activated in Work with function controls and the batch controlled item is flagged for serialized tracking.

Via the Work with pickings routine

  1. Select the Work with pickings menu item.
  2. You access Work with pickings, Pickings view. (You can configure any other view to be the default view when you first access this routine by clicking the View control function key and selecting that applicable in the Start view field.) The warehouse defined for your user profile is defaulted if defined there. If a warehouse is not defined for your user profile, then the main warehouse from the DIS control file is defaulted. You can change to another warehouse by clicking the Select warehouse function key. Both confirmed and non-confirmed pick lists can be displayed. Highlight the applicable pick list and then right-click and select the applicable option.

    Note: If the PICK-HND (Pick handler) function is activated in the Function control file you will be prompted with a Pick confirmation window, after performing any confirmation, where you must enter the user ID of the person working with the pick confirmation in the Pick handler field.

Option Description
Lines If any of the items are a DC1 Warehouse Management controlled item, or batch item or serial number controlled item, you will first access the Details panel where you can:

  • enter/change the picked quantity (or click Full dispatch which will move the suggested quantity to the picked quantity (i.e. the customer’s order quantity) to the picked quantity field if zero). The confirm full dispatch can be viewed as a type of “exception handling” whereby only picks where changes were made need to be first corrected e.g., correct locations or quantities using lines and then confirm.
  • select the batch.
  • create a duplicate reception line if, e.g., you need to pick from two different batches and thus need to add a second batch, or when one suggested pick line needs to be received from two different locations instead of the one suggested.
  • Maintain the sales order. If you add a new order line to the order, the order line will be displayed when you return to this panel. No picked quantity will be defaulted, but the Picked qty field will be open for input.

Batch controlled items:
If the item on the pick line is a batch controlled item, the batch from which the quantity should be picked is suggested and listed in the Batch column. If you need to change the batch, click the window prompt icon beside the applicable batch and select that applicable.

After clicking OK, the next panel depends on the following:

  • If the SERTRACK (Serialized tracking) function is activated in Work with function controls, and any batch controlled items are flagged for serialized tracking you will access the Serialized tracking, Dispatch panel where you must select the applicable serialized tracking ID per stock unit.
  • If any of the items are serial number controlled you will access the Serial number entry panel where you enter the serial number information corresponding to the quantity you are picking (See Serial number controlled items below) and click OK to access the Lines panel.
  • If no items on the pick line are serial number controlled you will access the Lines panel to enter/change the backlog code and then confirm the picking.

Serial number controlled items:
It works as follows:

  1. On the first Serial number entry panel that prompts, click the Select serial numbers function key.
  2. You access the second Serial number entry panel listing all available serial numbers for the item. Double-click the applicable serial numbers (that correspond to the number of items being dispatched) or highlight those applicable and click the Select option.
  3. You return to the first Serial number entry panel, listing those selected. Note: If you change the Picked qty on the Detail lines panel, you will need to add or delete serial numbers. The serial number entry panel will prompt after clicking OK on the Detail lines panel (or you can select the Serial numbers option from that same panel). The number of serial numbers you must add or delete will be displayed in the Qty (to add) or Qty (to delete) fields.

Click OK to access the Lines panel. The Batch column will be set to YES if the item on the pick line is a batch item. Likewise, the Sn column will be set to YES denoting that the item on the pick line is a serial number controlled item.
On this panel you can enter/change the backlog code for the line. If you set the Bl field to YES the system creates back order lines for those lines that you are delivering a lesser quantity than ordered. The system creates the back order line either after completing Pick list confirmation, or when you invoice the order. This is defined in the B.log after pl conf field in the Sales order type table. Note: If you change the Backlog code from NO to YES and the Backlog code in the Sales order header is set to NO, the system displays an error message. If you want to backlog this line, you must set the Backlog code on the Work with sales order, Order header, main info panel to YES. You can do this by highlighting the line and then selecting the Maintain order option to access the sales order.

If the items are not a DC1 Warehouse Management controlled item, or batch item, or serial number controlled item, you will access the Lines panel directly after selecting the Lines option where you can:

  • enter/change the picked quantity (or click Full dispatch which will move the suggested quantity to the picked quantity (i.e. the customer’s order quantity) to the picked quantity field if zero). The confirm full dispatch can be viewed as a type of “exception handling” whereby only picks where changes were made need to be first corrected e.g., correct quantities using lines and then confirm.
  • enter/change the backlog code.

and then click the Confirm function key to confirm the picking.

Catch weight handling
If the order line was flagged for Catch weight handling, you will access the Work with pickings, Catch weights panel where you must enter the catch weight quantity for the order line. The Quantity to add field displays the quantity that must be reported. Multiple catch weights can be entered for one order line, allowing you to have a separate weight for each individual item. All catch weights are then accumulated to be the price unit quantity for the order line and will also be used to re-calculate the order line value. As you report the quantity, the quantity in the Quantity to add decreases and the quantity in the Total actual qty and Total CW quantity fields increases. If a variance limit percentage range was set up for the item/sales unit that is under catch weight handling, and the entered catch weight quantity exceeds the variance range limit that is set up, you will access the Override allowed CW variance panel where you must enter your signature ID and the security code for the signature to accept the exceeding quantity and continue with catch weight entry. When the entire quantity has been reported, click the Confirm catch weight function key to confirm the entered catch weight quantity(ies). A validation will be performed to check that catch weight has been entered for the entire quantity.

Display errors View errors for any transactions sent from an external client, e.g., Iptor WM1. Examples of errors are:

  • The order is being held by another user.
  • The pick confirmation lacks information (e.g., a batch item was sent but the batch ID was not supplied).

All transactions sent from an external client are stored in the WMS transaction log file. Depending on the type of error, you can manually correct the error in this Work with pickings routine if applicable, or click the Retry option from the WMS transaction log (for the transaction) if the DC1 WMS Interface application is activated. If the error is caused because of a lack of information, the error should ideally be corrected in the external client if possible; else in this Work with pickings routine after communication with the warehouse personnel.

Confirm Allows you to first maintain the line information (manually enter the picked quantity) and confirm.
Confirm full dispatch Allows you to confirm a full dispatch without maintaining the line information (i.e. the suggested quantity (i.e. customer’s order quantity) will be moved to the picked quantity field if zero; else accept the picked quantity). In addition, all picks that are picked according the pick suggestion could be confirmed here. The confirm full dispatch can be viewed as a type of “exception handling” whereby only picks where changes were made need to be first corrected e.g., correct locations or quantities using lines and then confirm.
Cancel This option is only applicable for confirmed pick lists and allows you to cancel a part of or the entire pick confirmed quantity. Note: Cancellation of a part of or the entire quantity on a confirmed pick list is not allowed for backlogged lines, credit orders, service orders, MDC orders, IRO, and invoiced orders.
Extras Accept/enter additional fees (freight, administration and invoice). The fees will be displayed on the invoice and added to the invoice total. You enter these fees per order number, i.e. one line per order number will be displayed, since a pick list can contain several orders. Note: If the order generates back orders, the system invoices these fees only on the first invoice sent to the customer. You can enter the following fees:

    Freight
    If the FREICALC (Freight fee calculation) function is activated in the Function control file, a freight fee could have been automatically calculated by the system at sales order entry depending on how the system was set up, (i.e. based on the weight of the goods or a fee per package regardless of the weight). The freight fee at that stage was considered preliminary. The freight fee calculation for the real fee is performed during this pick list confirmation process. This field displays any automatically calculated fee or manually entered/changed freight fee.

    Enter/change the freight fee.

    For back order lines:

    If the FREICALC (Freight fee calculation) function is activated in the Function control file, and the order generates back orders in the system, the value in the Fee limit back order field (in the DIS control file, or overridden in the Customer file) determines if an additional freight fee calculation will take place for back order lines. The system could have been set up to prevent an additional freight fee calculation for back order lines during pick list confirmation.

    When a pick list is confirmed and the order includes previously invoiced order lines (i.e. any other line on the order has status 60), the total weight for confirmed lines is compared to the value in the Fee limit back order field. The result is as follows:

    • If the Fee limit back order field does not contain any value in any of the above-mentioned locations a freight fee calculation will be performed for all back order lines.
    • If a value is defined in the Fee limit back order field in any of the above-mentioned locations the freight fee calculation will only take place if the total weight of the remaining order lines is greater than this value.

    During any freight fee calculation, the system will search for a freight fee that could be based on a freight fee per package or weight limit. If found, that freight fee will be added to any additional invoice containing the back order lines.

    Postage
    Enter the postage fee.
    Insurance
    If you complete this field, you must leave the Ins % field blank.
    Ins %
    Enter the insurance percentage. If you complete this field, you must leave the Insurance field blank. The system calculates the insurance value as follows:

    Ins % * Total value of all the order lines / 100
    Admin fee
    An administration fee can be created by the system as a set amount and/or amount per order value limit, or it can be entered manually at sales order entry or pick list confirmation. To apply this fee, the order must be valid for an Administration fee (i.e. the Admin fee field must be set to YES on the order header). Enter the administration fee.
    Inv fee
    An invoice fee can be created by the system as a set amount and/or amount per order value limit, or it can be entered manually at sales order entry or pick list confirmation. To apply this fee, the order must be valid for an Invoice fee (i.e. the Invoice fee field must be set to YES on the order header). Enter the invoice fee.
    Goods marking
    Here you can enter the text describing the goods marking of the item being dispatched. This is for your reference only and will be presented on the documents for a sales order.
    Currency
    Displays the currency in which the fees should be expressed.
Package reporting This Work with pickings routine supports package reporting on both Line level and Header level.

Line level:
If the warehouse on the sales order is set up with package reporting on Line level you can do it from this location or via the Work with package reporting menu item. You select the package type and the sales order lines that go into each package.

Header level:
If the warehouse on the sales order is set up with package reporting on Header level, simplified package reporting will be available which includes:

Enter the number of packages for the entire picking. If no packages shall be created you must enter 0 (zero).

After clicking OK, the system will generate as many package type lines as the number of packages entered. Package type is defaulted from the warehouse if a default package type has been defined. The total net weight of the pick list is retrieved and distributed equally among the packages. If a default package type is defined for the warehouse, the weight of the default package type from the Warehouse table is added to each line. Accept or change the manner of transport and accept/change any automatically calculated/retrieved freight fee or change any freight fee that was manually entered on the order at sales order entry.

PQC confirmation This option is only displayed in the Container view, and is only applicable if confirming a container that is flagged for PQC (Pick quality control) reporting. Access the Work with pickings, Detail lines panel to enter the picked quantity for the container and then confirm the container.
Freight documents (for a confirmed pick list) If package reporting for the warehouse on the sales order is defined on Header level, only third-party freight documents are available, if that functionality is activated. See About freight documents for the instructions.
Transport note (for a confirmed pick list)

Via the Pick confirmation flow routine

Note: If confirming containers via this routine, it can only be used for containers that are not flagged for PQC (Pick quality control) reporting.

Select the Pick confirmation flow menu item. The following tasks (panels) will automatically be prompted accordingly:

1. Pick list confirmation (or Location confirmation – if DC1 Warehouse Management is activated) Enter the pick list number. If the PICK-HND (Pick handler) function is activated in the Function control file, the Pick handler field is displayed and is a mandatory entry. Enter the user ID of the person working with the pick confirmation.

If you want to cancel a part of or the entire pick quantity, set the Cancel flag to YES. Note: Cancellation is not allowed for backlogged lines, credit orders, service orders, MDC orders, IRO, and invoiced orders.

Non-serial/batch/DC1 Warehouse Management item
You will access the Work with pickings, Lines, Cancellation panel. If the quantity to be returned for a non- serial/batch/DC1 Warehouse Management item is less than the picked quantity, enter the quantity that is to be returned in the Return qty field and click the Confirm function key. Alternatively, click the Full cancel function key to return the entire picked quantity. If Lost sales tracking is activated, you will be prompted to enter the reason for the lost sale.

Serial/Batch/DC1 Warehouse Management item.
You will access the Work with pickings, Detail lines, Cancellation panel. If the quantity to be returned is less than the picked quantity, enter the quantity that is to be returned in the Return qty field and press OK. You will access the Work with pickings, Lines, Cancellation panel where you click the Confirm function key. Alternatively, click the Full cancel function key to load the entire picked quantity into the Return qty field, and then press OK to access the Work with pickings, Lines, Cancellation panel where you click the Confirm function key. If Lost sales tracking is activated, you will be prompted to enter the reason for the lost sale.

2. Detail lines If any of the items are a DC1 Warehouse Management controlled item, or batch item or serial number controlled item, you will first access this panel where you can:

  • enter/change the picked quantity (or click Full dispatch which will move the suggested quantity (i.e. the customer’s order quantity) to the picked quantity field if zero). The confirm full dispatch can be viewed as a type of “exception handling” whereby only picks where changes were made need to be first corrected e.g., correct locations or quantities using lines and then confirm.
  • select the batch.
  • create a duplicate reception line if, e.g., you need to pick from two different batches and thus need to add a second batch, or when one suggested pick line needs to be received from two different locations instead of the one suggested.
  • Maintain the sales order. If you add a new order line to the order, the order line will be displayed when you return to this panel. No picked quantity will be defaulted, but the Picked qty field will be open for input.

Batch controlled items:
If the item on the pick line is a batch controlled item, the batch from which the quantity should be picked is suggested and listed in the Batch column. If you need to change the batch, click the window prompt icon beside the applicable batch and select that applicable.

After clicking OK, the next panel depends on the following:

  • If the SERTRACK (Serialized tracking) function is activated in Work with function controls, and any batch controlled items are flagged for serialized tracking you will access the Work with serialized tracking, Dispatch panel where you must select the applicable serialized tracking ID per stock unit.
  • If any of the items are serial number controlled you will access the Serial number entry panel where you enter the serial number information corresponding to the quantity you are picking (See Serial number controlled items below) and click OK to access the Lines panel.
  • If no items on the pick line are serial number controlled you will access the Lines panel.

Serial number controlled items:
It works as follows:

  1. On the first Serial number entry panel, click the Select serial numbers function key.
  2. You access the second Serial number entry panel listing all available serial numbers for the item. Double-click the applicable serial numbers (that correspond to the number of items being dispatched) or highlight those applicable and click the Select option.
  3. You return to the first Serial number entry panel, listing those selected. Note: If you change the Picked qty on the Detail lines panel, you will need to add or delete serial numbers. The serial number entry panel will prompt after clicking OK on the Detail lines panel (or you can select the Serial numbers option from that same panel). The number of serial numbers you must add or delete will be displayed in the Qty (to add) or Qty (to delete) fields.

Click OK.

3. Lines If the items are not a DC1 Warehouse Management controlled item, or batch item, or serial number controlled item, you will access this panel directly after clicking OK on the initial panel.

On this panel you can:

  • enter/change the picked quantity (or click Full dispatch which will move the suggested quantity (i.e. the customer’s order quantity) to the picked quantity field if zero. The confirm full dispatch can be viewed as a type of “exception handling” whereby only picks where changes were made need to be first corrected e.g., quantities using lines and then confirm.
  • enter/change the backlog code.
  • Maintain the sales order. If you add a new order line to the order, the order line will be displayed when you return to this panel. No picked quantity will be defaulted, but the Picked qty field will be open for input on the Detail lines panel.

and then click the Confirm function key to confirm the picking. Note: This function key is only displayed if the pick list is ready for confirmation (not, e.g., during zone pick).

For batch and serial number controlled items, the Batch column will be set to YES if the item on the pick line is a batch item. Likewise, the Sn column will be set to YES denoting that the item on the pick line is a serial number controlled item.

Catch weight handling
If the order line was flagged for Catch weight handling, you will access the Work with pickings, Catch weights panel where you must enter the catch weight quantity for the order line. The Quantity to add field displays the quantity that must be reported. Multiple catch weights can be entered for one order line, allowing you to have a separate weight for each individual item. All catch weights are then accumulated to be the price unit quantity for the order line and will also be used to re-calculate the order line value. As you report the quantity, the quantity in the Quantity to add decreases and the quantity in the Total actual qty and Total CW quantity fields increases. 4. Package reporting panel if the warehouse on the sales order = H (Header) level Enter the number of packages. If no packages shall be created you must enter 0 (zero).

After clicking OK, The system will generate as many package type lines as the number of packages entered. Package type is defaulted from the warehouse if a default package type has been defined. The total net weight of the pick list is retrieved and distributed equally among the packages. If a default package type is defined for the warehouse, the weight of the default package type from the Warehouse table is added to each line.

Accept or change the manner of transport

Accept/change any automatically calculated/retrieved freight fee or change any freight fee that was manually entered on the order at sales order entry. (No other fees are relevant at this stage, and thus are not displayed).

5. Freight documents Only third-party freight documents are available if that functionality is activated (and package reporting for the warehouse on the sales order is set up on header level). See About freight documents for the instructions.

Note: If the DC1 Third party freight doc (TFD) application and the AUTOTFD (Auto crt 3rd party freight doc) function control are activated, the DOC04 document is created automatically. If DOC04 is the only active document, this panel is not displayed. In addition, if the NFREDPIC (No Freight document panel) function control is activated, the Freight document panel is not auto-displayed.

After update

After entering and updating the quantities dispatched, the following happens:

  • Stock is updated if the order type has Update stock on hand set to YES in the Sales order type table.
  • The order line status is updated to status 40 if the printout of transport note is defined in the Sales order type table, or to status 45, ready for invoicing.
  • Inventory transactions are created for each confirmed pick list line.
  • If serial number controlled items were confirmed, the Serial number tracking file is updated with all serial numbers connected to the order line, meaning the In stock code is set to NO.
  • If serial number controlled items were confirmed, transactions are created in the Serial number history file.
  • Transaction types 901 (Stock value) and 907 (Goods in transfer) are created in the Bookkeeping transaction file if the order is an Internal Replenishment Order. For more information see About internal replenishment orders – sales.
