Work with combination checks (FMR07401)

These entries are used when entering account combinations for G/L transactions, to ensure that only certain account combinations are used for a specific main account. The combination checks set the limits for what you are allowed to enter in all other valid account parts for a main account. A valid account part is one which has optional or mandatory entry.

A number of combination checks can be set up for one main account, using both ranges of accounts and masks. It is important that you do not set up a combination that is illogical, making all entries impossible, since the system itself does not check if the combination you enter is reasonable. Neither does the system test it against other combination checks that have been established for the same main account.

When an account combination is used, the system searches through all combination checks for the main account. It starts with the one with highest sequence number, and goes through them all, until it finds a combination check which allows the entry, or until it passes the last sequence number, in which case the combination is not valid. This is done for all valid account parts.

You can also define an authority key for the main account. The authority key is used in Work with authority groups to connect the authority key to an authority group, and to define whether or not the authority control program is to check the authority when users access the main account and the account combinations set up for that main account.

The combination check is inactivated if the combination check code in the Account file is NO for the main account. If that is the case, a message will appear on this panel, Combination check is inactive. NO is defaulted when you create new accounts, and must be changed if you intend to use the combination check.

Selection fields

Main
Displays the main account number for which a combination check rule is created.
Seq no
Displays the number of the combination checks that are set up for the same main account.
From/To/Mask
Displays the first account number, the last account number and the account number mask entered for the account combination (Account parts 1-8) set up for the related main account.
Account parts (1-8)
Displays the account parts.

Main
Enter the main account number for which a combination check rule should be created.
Sequence number
The system automatically numbers the combination checks that are set up for the same main account. You cannot enter the sequence number yourself. When the system goes through the combination checks to see if the combination is allowed, it starts with the highest sequence number.
From account number
Enter the first account number for a range selection of accounts. This can only be done for valid account parts, i.e. those with combination code MANDATORY or OPTIONAL in the Account file for this main account.
To account number
Enter the last account number for a range selection of accounts. This can only be done for valid account parts, i.e. those with combination code MANDATORY or OPTIONAL in the Account file for this main account.
Account number mask
Enter a mask for a selection based on specific character(s) in a specific position of an account number. All other positions must be filled with underscores. An example is _4__ in a four character account part, which will allow all accounts with a 4 in the second position of the account number.
Authority key
Enter an authority key for the selected main account to activate the authority function. The authority key is used in Work with authority groups to connect the authority key to an authority group, and to define whether or not the authority control program is to check the authority when users access the main account and the account combinations that you set up for this main account.
