This panel can be accessed while working both in the Financial system transaction entry routine and in the Work with open batches routine.
On this panel you select which documents to settle with the main settlement document. The list of open documents displayed on this panel depends on the applied selection option. If the standard selection option for manual settlement creation is applied, then the default panel view displays all the open documents having the same transaction currency as the main settlement document. You can change the default panel view to display all the open documents, in any transaction currency, by selecting the Single/Multiple currency function from the Function list. To view selection and sequencing criteria use the Selection option from the Function list.
This panel lists all the open documents for the debtor of the main settlement document as well as the documents settled with the main document in the current batch.
All settled documents are displayed on the panel, also in the event a settled document belongs to a Debtor that differs from the main settlement document’s Debtor (cross debtor settlements).
Cross debtor settlements can be created either manually, via the Fast settle/Extended search function which is accessible from the Function list, or automatically, based on the interface data transferred via the Work with open batches routine.
The main settlement document is displayed as the first document on the list. The settlement program initiates the amount as settled for the main settlement document, so that it becomes fully settled, but you can change the proposed amount via either of the following methods:
- Selecting the Change option for the main settlement document
- Selecting the Cancel option for the main settlement document.
- Setting the remaining settlement balance back to this document’s remaining amount using the Settle On Account program function key option.
The amount settled in the settlement for each open document listed in the sub-file can be changed or cancelled by choosing a suitable option. The documents marked with any option will be processed one by one in the sub-file order until all documents are processed or an error occurs. If an error occurs during the settlement process, all successfully processed documents will be unmarked and the cursor will be positioned on the first marked, but unprocessed document.
Note: Marking a document for an automatic settlement (i.e. Settle) when the settlement balance is zero is recognised as an error and always interrupts the settlement process.
Panel modes
This panel allows you to toggle between the following modes:
Mode | Description |

Single and Multi-currency selection mode | You can toggle the panel showing all the open documents for the debtor, issued in the same currency as the main settlement document, or showing all the open documents for the debtor. It is enabled by Single/Multiple currency function from the Function list. |
Transaction and System currency mode | You can toggle between system or transaction currency. An indicator displays if system or transaction currency is selected. |
Group and Ungroup mode | If the group mode is active, an indicator is displayed at the top of the panel. Note: For ungroup mode, no indicator is displayed. |
Options
Settle | Select this option to mark a document for automatic settlement. |
Change | Select this option to change the settlement information. The information for the document will be transferred to the Change document settlement sub-panel where you can maintain the applicable information. Note: If a document opened for settlement maintenance with this option was preceded in the open items subfile with documents that were also marked for settlement, the settled amount and the remaining amount of the preceding documents will be properly updated before the maintenance panel is displayed. This, however, will not be the case for the difference documents created or changed during that processing on document level. The difference document lines will not be added, deleted or updated in the subfile until the settlement processing of all the marked documents is finished and the subfile is reloaded. |
Settle fully | Select this option to fully settle a document. The selected document will be fully settled even if the settlement balance does not cover the settled amount. Note: If the possible cash discount is greater than the amount to settle for an invoice, only the amount that is necessary in order to settle the document will be granted as cash discount. If the cash discount is not greater than the amount to settle, the full cash discount will always be given. Hidden discount, however, is never given for this type of settlement. |
Cancel | Select this option to reset the settlement values to their original state. The following will occur:

Deb note | Select this option to enter new or maintain existing debit notes for the document. |
Difference | Select this option to create or maintain settlement differences connected to the selected document. |
Text | Select this option to enter or maintain text for the document. |
Function keys
Shift info | This function key is only displayed if working in the 5250 environment. Toggle to change the manner in which information for the records on this panel are listed. Note: If working in the DC1 UI Client environment, use the Edit columns feature to view more columns. |
Fast settlement | Work with fast settlements. |
Grp/Ungrp | Toggle between group and ungroup mode. In the group mode all the open items being settled in the current settlement will be displayed consecutively after the main settlement document and difference documents. In the ungroup mode the documents settled in the current settlement will be displayed together with the other open items in the active sequence order after the main settlement document and difference documents in the subfile. |
Update | The settlement must balance before you can update. |
Cancel settlement | Cancel the settlement. Note: If any order settlements have been made for the main settlement payment, you will have the option to choose either to cancel with the order settlements or to only cancel the main settlement. |
- Debtor
- Displays the number and name of the debtor of the main document.
- Main amount
- Displays the amount to be used for settlement, in the currency displayed in the header currency field. You can toggle between transaction and system currency with the Currency function from the Function list.
- Head cur
- Displays the code and description of the currency in which the amounts are displayed in the panel header.
- Settl bal
- The total of all amounts settled in the current settlement (with reversed sign). Note: If this value is not zero, the settlement can be updated with errors. In that case a dedicated error document holding the unbalanced settlement amount will automatically be created. Such temporarily updated settlement will be marked with an error code and must be corrected before the journal is updated.
- Dt
- This column displays the document type. If the type is indented, the document is a difference document connected to the preceding document, e.g. a cash discount or a settlement difference.
- Document no
- This column displays the document number. For connected documents, the document number is retrieved automatically, based on the document number handling code of the document type
- S
- This column displays the status of the documents.

- Due dt
- This column displays the due dates. If the default selection option for the manual settlement is used then the documents are listed in due date sequence, but with the settled ones first. As you settle documents, the listing is re-sequenced.
- Remain amount
- This column displays the remaining amounts. The amount is changed when you settle, or partly settle, a document.
- Settled amount
- This column displays the settled amounts.
- Curr
- This column displays the transaction or system currency. It is indicated in the panel header whether the amounts are displayed in transaction currency or system currency.
- Bank reference number
- The bank reference number for the document. Note: The bank reference number is only stored for invoices, redefinition documents and bill document types.
Note: If working in the 5250 environment, this column can only be viewed if you toggle the Shift info function key. If working in the DC1 UI Client, use the Edit columns feature to display this column.
- Text
- This column displays the document texts. Note: If this document is a bill transaction in A/R, the external document number is displayed.

A/R settlement workbench, Change document settlement (FSR04501)
This sub-panel is displayed if you have selected to maintain the settlement information for a document.

- Dt
- The document type of the document being changed.
- Document no
- The document number of the document being changed.
- Paid amount tra
- Enter the paid amount in transaction currency. The amount that will be settled, after the maintenance section of the panel has been closed, is the amount entered in this field together with the total amount of related difference and redefinition documents.
If you are in multi-currency mode and this field is left blank while an amount is entered in Paid amount sys, then this Paid amount tra will be calculated from the system currency value based on the rules described below.
Note: If you are in single-currency mode, the settlement balance will be decreased with the amount entered in Paid amount tra.
- Curr
- Displays the transaction currency of the document.
- Cash discount
- Enter the cash discount amount if applicable, or erase the amount to remove a given cash discount. The amount can be different from the amount calculated from the cash discount conditions for the payment terms. Instead of entering an amount manually, you can mark any of the default cash discounts.
- D
- You can mark any of these fields to give a cash discount according to the default payment terms.
- Cash discounts
- Displays the cash discount dates and amounts that have been calculated from the terms of payment of the document.
- Paid amount sys
- Only shown if you are in multi-currency mode. Enter the value of the paid amount in system currency. If the sum of the amount entered in this field together with the total amount of the settlement differences documents is not equal to the settled amount in system currency, i.e., the settled amount in transaction currency converted to system currency amount using the document exchange rate, an exchange rate difference document will be created by the system as soon as the maintenance section of the panel is closed.
If the Settled amount in transaction currency is equal to the Remain amount in transaction currency for the document, i.e. if the document is going to be fully settled in transaction currency, then the Settled amount in system currency will always be equal to the remaining amount in system currency (i.e. the document will also be fully settled in system currency).
If you leave this field blank, then the amount will be calculated from the value entered in the Paid amount tra field based on the rules described below.
Note: If you are in multi-currency mode, the settlement balance will be decreased with the value entered in Paid amount sys.

- The exact exchange rate field is only shown if you are in multi-currency mode and the document is not a payment document. Set to YES if you would like to exclude the document from being settled with the Settle On EXR differences function. Set to NO if you would like to indicate that the entered paid amount in system currency may not be exact. You will then make the document available for an automatic exchange rate adjustment with the Settle On EXR differences function.
- Rem amount tra
- Displays the remaining amount of the document in transaction currency.
- Rem amount sys
- Only shown if you are in multi-currency mode. Displays the remaining amount of the document in system currency.
A/R settlement workbench, Fast settlement entry (FSR04501)
This sub-panel is displayed if you have selected the Fast settlement function, which is used to easily find a document in the sub-file and to execute a chosen action upon it. Before you start working with the fast settlement entry, you have to set the following controls and select the applicable mode:

Mode | Description |

Simple mode | This is the default search mode for the fast settlement function.
In this mode, the system searches for a document with the entered references (document type/number or bank reference number) from the top of the subfile until a match is found. Even if there are several documents that match the reference, you will only be able to access the first document that is found. For this reason, the use of the simple search mode is only recommended if the search references are unique in the subfile. A warning message will, however, be displayed if the entered search reference is not unique. To access all documents that match the same search reference you will have to toggle to the sequential mode. |
Sequential mode | In this mode, the system searches for a document with the entered references (document type/number or bank reference number) from the current focus line (marked with a focus sign) to the next document that matches the search criteria.
As opposed to the search in simple mode, this mode allows you to access several documents with the same search references. You can also do the following:

Document type/no reference mode | In this mode, you enter a document type and/or a document number that the system will use as search criteria.
Note: The document number must always be completed in this mode. |
Bank reference no mode | In this mode, then the system will search for a given bank reference number. |
Option mode | In this mode, you define the action that should be taken for the document that has been located in the search by entering one of the available options in the Op field.
If the option field is left blank, then no action will be executed for the document. This should be considered as a pure search option. The option field is always defaulted with the option that was used last for the current settlement. |
Paid amount mode | In this mode, you enter the paid amount that is to be settled for the document that has been located in the search.
If the document has already been settled in the current settlement, and no debit note has been created, then a warning pop-up window will be displayed. If this is the case, you can click Update to confirm that the existing settlement should be overridden by the new paid amount (including differences), or click Back to cancel the last request. Note: If you override an existing settlement with a zero amount, then the document settlement is cancelled. If a debit note has been created for a document, it is not possible to settle the document by paid amount until the debit note is deleted. If the cash discount conditions are satisfied, the cash discount will be given. |
Note: If you, e.g., settle documents using the Fast settlement function, then the Remaining amount and the Settled amount of the settled documents are updated immediately. However, changes for difference documents related to the settled ones are not visible until the subfile lines are refreshed.
If any operations have been performed causing effects still not visible on the panel, a Refresh sign (*) is displayed to the far right of the panel header area. This sign indicates that the panel needs to be refreshed in order to properly display all the settlement related information.
To refresh the panel, return to the A/R settlement workbench and click the Refresh function key or press F5.

A/R settlement workbench, Document related difference documents (FSR04507)
- Debtor
- The number and name of the debtor for the selected document.
- Curr
- Only shown if you are in multi-currency mode. Displays the transaction currency of the document.
- System amount
- Only shown if you are in multi-currency mode. Enter the system amount for the transaction.
- Dt
- Displays the document type of the document being changed.
- Document no
- Displays the document number of the document being changed.

A/R settlement workbench, Settlement related difference documents (FSR04509)
On this panel you create settlement differences connected to the settlement, e.g. a block discount. The listing presented by the system consists of all the difference documents of data type 3 and redefinition documents of data type 5 with the redefinition type 1, that have the settlement type 2 or 3 entered in Work with document types.
If a debit note has been entered on the A/R debit note entry panel it will be defaulted on this panel as a debit note difference document. This field is protected. The value, the total of all debit notes entered for the settlement, is displayed as information and can only be changed on the panel for debit note entry.
- Debtor
- Displays the number and name of the debtor for the settlement.
A/R settlement workbench, Document related debit notes/Settlement related debit notes (FSR04512)
Depending on if you are creating or maintaining debit notes for a separate document or for a settlement, the heading for this panel will differ. This panel displays all settlement related/document related debit notes that are entered into the system. You can maintain existing debit notes that have not been settled, or create new ones.
- Debtor
- Displays the number and name of the debtor of the main document/item document.
- Doc remain
- Only shown on the Document related debit notes panel. Displays the remaining amount required to settle the selected document. The amount is only shown in transaction currency regardless of the mode from which you accessed the panel.
- Head cur
- Displays the code and description of the currency for the main document/item document. Depending on whether you access this panel in single or multi-currency mode, the currency will be displayed in either transaction or system currency.
- Deb Nt bal
- Displays the total amount of all entered debit notes for the current settlement/item. The amount is recalculated after each new debit note entry.
- Document
- Displays the document type and number for the main document/item document.
- Settl rem
- Only shown on the Settlement related debit notes panel. Displays the amount which must be used in order to balance the settlement. The amount is in transaction or system currency depending on whether you accessed this panel in single or multi-currency mode.
- Dt
- This column displays the document type of the debit note.
- Document no
- This column displays the document number of the debit note.
- Doc dt
- This column displays the date of the debit note.
- Debtor no
- This column displays the number of the debtor.
- Trans amount
- This column displays the transaction amount in transaction or system currency depending on whether the A/R debit note entry panel was accessed in single or multi-currency mode.
- System amount
- This column displays the system amount of the debit note.
- Curr
- This column displays the currency code for the transaction currency.
The document has been settled (FSR04514)
This panel appears if the settled amount for the already settled document has been modified. You need to confirm the change.
- Currently settled amount:
- Displays the amount that is currently being settled.

Override | Override the currently settled amount with the entered value. |
Confirm settlement cancellation (FSR04515)
In this window you confirm in what way you want the cancellation to be performed. If any order settlements have been made for the main settlement payment, you can choose to either cancel with the order settlements or only cancel the main settlement.

Cancel with order settlements | Only shown if order settlements have been made. Cancel the settlement and delete the order settlements which have been made for the main settlement payment. |

A/R settlement workbench, Interface data import/error correction (FSR04517)
On this panel you view a list of documents that is sent via the interface and is to be settled with a transferred payment. It is applicable if, for example, the settlement is done according to the standard settlement option *DOC_LIST or DOC_LIST3.
The default panel view displays only the documents listed in the interface file, which are not settled due to errors found and must be maintained. To update the journal the erroneous data must be corrected and the requested settlement must be created or the data needs to be set to status 4 (Cancelled). You can view all the documents listed in the interface file, including those that are successfully settled and also those that are set to status 4 (Cancelled), by entering an asterisks (*) in the Status selection field.
Options
Settle | Select this option to settle the document with the main settlement document. Note: The journal can be updated only if the documents in the interface list are either settled or set to status 4 (Cancelled). |
Change | Select this option to change settlement details for the document that is to be settled. |
Cancel | Select this option to cancel the request to create a settlement based on the interface data. This will set the status of the interface data to 4 (Cancelled). The data in status 4 can later be restored. Note: The journal can be updated only if the documents in the interface list are either settled or set to status 4 (Cancelled). |
Display | Select this option to view settlement details for the document that is to be settled. |
Restore | Only applicable for documents with status 4 (Cancelled). Select this option to restore interface data for the document that is to be settled. Note: The journal can be updated only if the documents in the interface list are either settled or set to status 4 (Cancelled). |
Status msg | Select this option to view a message describing the settlement creation status of the document. |
Selection fields
- Settl bal
- Displays the remaining amount to settle in header currency.
- Bank reference number
- This column lists the bank reference number of the documents selected for settlement.
- S
- This column lists the settlement status codes. The settlement status code is automatically assigned by the system to signify whether the settlement was successfully created or if any errors were encountered. You can view the message describing the status by selecting the Status msg option.
- Ec
- If the document settlement is in error, this column lists the assigned error code. Click the Status msg option for the error description.
- Error detail code
- If the document settlement is in error and the error code is assigned, this column provides the detailed error code denoting more information about the error. Click the Status msg option for the error description.
- Paid amount trans currency
- This column lists the amount which is paid from this document in transaction currency.
- Paid amount sys currency
- This column lists the amount which is paid from this document in system currency.
A/R settlement workbench, Document settlement – Interface record (FSR04518)
On this panel you can change or view settlement document details. You can change any the document information and settle the document directly from this panel. In the bottom part of the panel the document text entered for the main settlement document is displayed. You can use this document text to identify the paid documents.

In the below fields you can enter a document type and number, a document number, or a bank reference number to identify an existing document which is to be settled. If both the document type/number and a bank reference number are entered for an existing document, then the system searches for an existing document matching both criteria.
- Document type
- Optional entry, but if entered, then the document number of the document that is to be settled also needs to be specified.
- Document number
- Enter a document number of the document that is to be settled.
- Bank reference no
- Enter the bank reference number of the document to settle.
- Settlement option
- Enter a document settlement option that is to be used for settlement. Note: If this field is left blank, then the default settlement option will be assigned by the system. For the standard settlement option *DOC_LIST the default document settlement option is 1 (Settle), and for *DOC_LIST3 it is 3 (Settle fully).
- Paid amount trans
- Enter the paid amount in transaction currency which is to be settled by the payment. If the field is left blank then document settlement will be done according to the document settlement option entered in the Settlement option field or the one that is defaulted by the system.
- Paid amount system
- You can either enter the paid amount in system currency or leave this field blank to let the system calculate it.
- Exact system payment
- Optional entry. Set to YES to indicate that the entered paid amount in system currency is exact. Set to NO if you would like to indicate that the entered paid amount in system currency may not be exact. You will then make the document available for an automatic exchange rate adjustment.
Settlement option entry (FSR04519)
Using this panel you can change the current settlement option in order to create a new settlement for the payment based on it.

- Displays the document type followed by the document number for the main settlement document.
- Settlement option
- Enter a code from Work with settlement options.
Open document selection option entry (FSR04520)
Selection options are used to control the way open documents are displayed on the A/R settlement workbench panel. On this panel you can change the current selection option.
- Document
- Displays the document type followed by the document number for the main settlement document.
- Selection option
- Enter a code from Work with open document selection options.
Settlement balance error (FSR04521)
This panel is displayed if the main amount does not match the settlement amount and enables temporary update of the settlement. The temporary updated settlement must be completed before closing the journal.
Function keys
Update | Temporarily, update the settlement with errors. Due to settlement differences a system difference document (the ERR document) will automatically be created. It will carry an unbalanced settlement amount. Note: As soon as you open the A/R settlement workbench panel to display the temporary interrupted unbalanced settlement, the system will remove the automatically created ERR documents. |
A/R settlement workbench (FSR04522)
This panel can be accessed by using the Header/Document texts function available in the Function list on the A/R settlement workbench panel. This function is available only if document text has been entered for the main settlement document.
The document text entered for the main settlement document is displayed in the panel header. You can edit the document text using the Text option on the main settlement document.
On this panel you select which documents to settle with the main settlement document. The list of open documents displayed on this panel depends on the applied selection option. If the standard selection option for manual settlement creation is applied, then the default panel view displays all the open documents having the same transaction currency as the main settlement document. You can change the default panel view to display all the open documents, in any transaction currency, by selecting the Single/Multiple currency function from the Function list. To view selection and sequencing criteria use the Selection option from the Function list.
This panel lists all the open documents for the debtor of the main settlement document as well as the documents settled with the main document in the current batch.
All settled documents are displayed on the panel, also in the event a settled document belongs to a Debtor that differs from the main settlement document’s Debtor (cross debtor settlements).
Cross debtor settlements can be created either manually, via the Fast settle/Extended search function which is accessible from the Function list, or automatically, based on the interface data transferred via the Work with open batches routine.
The main settlement document is displayed as the first document on the list. The settlement program initiates the amount as settled for the main settlement document, so that it becomes fully settled, but you can change the proposed amount via either of the following methods:
- Selecting the Change option for the main settlement document
- Selecting the Cancel option for the main settlement document.
- Setting the remaining settlement balance back to this document’s remaining amount using the Settle On Account program function key option.
The amount settled in the settlement for each open document listed in the sub-file can be changed or cancelled by choosing a suitable option. The documents marked with any option will be processed one by one in the sub-file order until all documents are processed or an error occurs. If an error occurs during the settlement process, all successfully processed documents will be unmarked and the cursor will be positioned on the first marked but unprocessed document.
Note: Marking a document for an automatic settlement (i.e. Settle) when the settlement balance is zero is recognised as an error and always interrupts the settlement process.
Panel modes
This panel allows you to toggle between the following modes:
Mode | Description |

Single and Multi-currency selection mode | You can toggle the panel showing all the open documents for the debtor, issued in the same currency as the main settlement document, or showing all the open documents for the debtor. It is enabled by Single/Multiple currency function from the Function list. |
Transaction and System currency mode | You can toggle between system or transaction currency. An indicator displays if system or transaction currency is selected. |
Group and Ungroup mode | If the group mode is active, an indicator is displayed at the top of the panel. Note: For ungroup mode, no indicator is displayed. |
Options
You can mark multiple documents with any option simultaneously. For further details about the workbench options, see the document Troubleshooting for A/R settlement workbench options.
Settle | Select this option to mark a document for automatic settlement. |
Change | Select this option to change the settlement information. The information for the document will be transferred to the Change document settlement sub-panel where you can maintain the applicable information. Note: If a document opened for settlement maintenance with this option was preceded in the open items subfile with documents that were also marked for settlement, the settled amount and the remaining amount of the preceding documents will be properly updated before the maintenance panel is displayed. This, however, will not be the case for the difference documents created or changed during that processing on document level. The difference document lines will not be added, deleted or updated in the subfile until the settlement processing of all the marked documents is finished and the subfile is reloaded. |
Settle fully | Select this option to fully settle a document. The selected document will be fully settled even if the settlement balance does not cover the settled amount. Note: If the possible cash discount is greater than the amount to settle for an invoice, only the amount that is necessary in order to settle the document will be granted as cash discount. If the cash discount is not greater than the amount to settle, the full cash discount will always be given. Hidden discount, however, is never given for this type of settlement. |
Cancel | Select this option to reset the settlement values to their original state. The following will occur:

Deb note | Select this option to enter new or maintain existing debit notes for the document. |
Difference | Select this option to create or maintain settlement differences connected to the selected document. |
Text | Select this option to enter or maintain text for the document. |
Function keys
Shift info | This function key is only displayed if working in the 5250 environment. Toggle to change the manner in which information for the records on this panel are listed. Note: If working in the DC1 UI Client environment, use the Edit columns feature to view more columns. |
Fast settlement | Work with fast settlements. |
Grp/Ungrp | Toggle between group and ungroup mode. In the group mode all the open items being settled in the current settlement will be displayed consecutively after the main settlement document and difference documents. In the ungroup mode the documents settled in the current settlement will be displayed together with the other open items in the active sequence order after the main settlement document and difference documents in the subfile. |
Update | The settlement must balance before you can update. |
Cancel settlement | Cancel the settlement. Note: If any order settlements have been made for the main settlement payment, you will have the option to choose either to cancel with the order settlements or to only cancel the main settlement. |
- Dt
- This column displays the document type. If the type is indented, the document is a difference document connected to the preceding document, e.g. a cash discount or a settlement difference.
- Document no
- This column displays the document number. For connected documents, the document number is retrieved automatically, based on the document number handling code of the document type
- Status
- This column displays the status of the documents.
- Due date
- This column displays the due dates. If the default selection option for the manual settlement is used then the documents are listed in due date sequence, but with the settled ones first. As you settle documents, the listing is re-sequenced.
- Remain amount
- This column displays the remaining amounts. The amount is changed when you settle, or partly settle, a document.
- Settled amount
- This column displays the settled amounts.
- Curr
- This column displays the transaction or system currency. It is indicated in the panel header whether the amounts are displayed in transaction currency or system currency.
- Bank reference number
- The bank reference number for the document. Note: The bank reference number is only stored for invoices, redefinition documents and bill document types.

- Transaction text
- This column displays the document texts. Note: If this document is a bill transaction in A/R, the external document number is displayed.
