In certain industries, such as chemical or waste disposal, goods that are sold, shipped and stored are often of a nature that is dangerous or hazardous to either humans or the environment. It is therefore necessary to send out documentation that informs customers as to how goods should be stored and transported.
The primary document for this is the Material Safety Data Sheet (MSDS) that contains defined sections relating all aspects of the handling, storage and transportation of hazardous and dangerous goods. It is the supplier’s responsibility to ensure that the customer has a copy of the MSDS and that it is kept up-to-date. The MSDS is sent to the customer independently of the goods.
Performing a similar function to the MSDS, mandatory Transport Emergency Cards (TREM Cards) are also sent with items that are shipped. These contain, standardised safety and emergency information about the goods being transported and are primarily to assist those persons that deal with any accidents that may occur en route.
In addition to the above an optional additional freight document may be produced that travels with the goods and combines item details with selected information from the MSDS.
Finally industry standard labels containing internationally recognised hazard symbols may be produced for the labelling of dangerous or hazardous goods.
Although there are many international standards that are used in this respect, there are differences between country to country and in certain regions. It is therefore advisable that you are aware of the current legislation regarding the handling, storage and transportation of dangerous goods.
Before making use of the Dangerous Goods Handling (DGH) functionality in DC1, there are some set-up tasks that need to be performed, in order to customise your system for local conditions.

- On the initial panel, click Add and complete the following fields on the detail panel:
- Table
- Enter a name for the table that you wish to create.
- Description
- Enter a description of the new table.
Click OK to update and then Back return to the initial panel.
- Select the table id and click Details to enter the details for the table id you just created.
- On the MSDS tables values maintenance panel, click Add to create a new field.
- On the detail panel, complete the following fields:
- Code
- Description
Repeat these steps until all required table details have been added.

When dangerous goods are transported from supplier to customer it is mandatory that a TREM card is issued by the supplier and is printed in all the languages of each of the countries through which the goods will travel. For example, items shipped directly from Norway to Germany would require that the TREM Card be printed in Norwegian as well as German. If the route was via Denmark and Sweden then the TREM card would need to be printed in German, Danish, Swedish and Norwegian.
- On the initial panel, click Add and complete the following fields on the detail panel:
- From country
- Enter the country of origin of the shipment.
In the following fields you can choose that applicable. You can complete the To country or a To customer (and Warehouse combination if applicable).
- From warehouse
- Enter the warehouse from which the goods will be shipped.
- To country
- Enter the country of destination.
- To customer
- As an alternative to the To country, you can enter the customer’s customer number.
- Address number
- Enter the address of the customer, if applicable, if you completed To customer.
- Manner of transport
- Optional entry. Enter the manner of transport.
Click OK.
- You access the Work with TREM language, Language panel listing the preloaded languages. Highlight the languages you wish to include and click Activate. Then click OK.

The CAS (Chemical Abstracts Services) number is unique for each substance or compound and is used as an international standard for quick identification.
- On the initial panel, click Add and complete the following fields on the detail panel:
- CAS number
- Enter the applicable CAS number.
- Description
- Enter the description for the product or compound for which you are creating this record.
- Symbols
- Optional entry. Enter the danger codes that correspond to the item in question. These codes are available in the pre-loaded table. Up to six symbols may be added. These codes are international standards and are used to denote the type of the hazard or danger.
Click OK.

Once the initial symbol’s details have been entered you are able to attach R-Phrases. Risk Phrases are similar to Danger codes, but are in text format.
- On the initial panel, mark the applicable record and click R-Phrases.
- On the Work with CAS numbers R-phrases panel, click Add.
- On the detail panel complete the following field:
- R-phrase
- Enter the R-phrase (risk phrase) from the Standard document table that corresponds with this record.
Click OK.

Here you define the contents of the MSDS, TREM card, Freight Document and Label by creating a number of sections and sub-sections and fields to be used in the various documents and identifying on which of these each section is printed.
This file is organised in Sections, Sub-sections, Table fields and Text pages, in the following way:
Sections that contain sub-sections, that contain table fields and/or text pages.

Field 1: EINECS Number.
A section can contain a maximum of 999 sub-sections. A sub-section can contain a maximum of 999 table fields and/or an unlimited number of text lines (text pages).
It is recommended that unique sections be created for TREM card details, Freight documents and Labels.
- On the initial panel, click Add.
- On the Work with MSDS definitions – MSDS sections panel, click Add.
- On the Work with MSDS definitions – MSDS section maintenance panel, complete the following fields:
- MSDS Section
- Enter the name of the section you wish to create.
- Description
- Enter the description of the new section.
- Sequence
- Enter a unique sequence number for the section indicating the order in which the sections are to be printed.
- Print section
- Indicate if the section should be printed.
- Section heading
- Optional entry. A different heading may be given for this section for use in printing.
Click OK and return to the Work with MSDS definitions – MSDS sections panel.
Add sub-sections
- From Work with MSDS definitions – MSDS Sections, select the applicable section and click Sub-section.
- On the Work with MSDS definitions – MSDS sub-sections panel, click Add.
- On the Work with MSDS definition – MSDS sub-sections maintenance panel, complete the following fields:
- MSDS Sub-section
- Enter a name of the sub-section you wish to create.
- Sequence
- Enter a unique sequence number for the sub-section indicating the order in which the sub-sections are printed.
- Print sub-section
- Indicate if you wish this sub-section to be printed on the MSDS, TREM cards, labels and freight documents. If this field is set to NO, then the sub-section heading, table field data and text page will not be printed. If the Print section field on the MSDS section maintenance panel is set to NO, then this field must be set to NO.
- Print CAS number
- Indicate if the CAS number along with its danger code and R-Phrases should be printed.
- Sub-section heading
- Optional entry. A different heading may be given for this sub-section for use in printing.
- Text page
- Indicate if text is permitted to be entered for this sub-section.
- Print text
- Indicate on which document this sub-section is to be printed, choosing from MSDS, TREM, Label and Freight document.
Click OK. Return to Work with MSDS definitions – MSDS sub-sections.
Add fields
- From Work with MSDS definitions – MSDS Sub-sections, select the applicable sub-section and click Fields.
- On the Work with MSDS definition – MSDS table fields panel, click Add.
- On the Work with MSDS definition – MSDS table fields maintenance panel, complete the following fields:
- Sequence
- Enter a unique sequence number indicating in which order the field is to be printed.
- Lead text
- Enter the text that will appear on the panel display and documents.
- Search Field
- Indicate if a search field should automatically be created containing the entered data from the MSDS that can be searched for in the MSDS Enquiry.
- Validation on fields
- Select the applicable validation for the field you are creating when maintaining the MSDS in the Work with material safety data sheet program:
- Mandatory = Indicate if the field should be a mandatory entry.
- Optional = Indicate if the field should be an optional entry.
- Warning = Indicate if a warning should be given when this field is left blank.
- Table
- Leave blank or select one from the MSDS Tables. If you leave this blank, when working with this table field in the Work with master safety data sheets program, you can enter any value in the field. However, as in this example, if you enter 001 in this field (the MSDS table Danger code), when working with this table field in the Work with Master safety data sheets program, you will be required to enter a valid table value from MSDS table danger codes.
- Print Field
- Indicate on which document (or all) the field is to be printed, choosing from MSDS, TREM, Label and Freight document.
- Print code
- Indicate if the code should be printed on the TREM card. This field must be set to NO if Table is not completed.
- Print description
- Indicate if the description should be printed on the TREM card. This field must be set to NO if Table is not completed.
Click OK. Exit the routine.
