Work with inbound delivery schedules, Items (DIR82501)

This panel displays the items included in the selected inbound delivery schedule.

From this panel you can maintain and delete items included in the schedule. In addition, items can be manually added to the schedule.

Options

Quantity matrix Select this option to view all dispatch dates and quantities for this item.
Maintain order Select this option to maintain any created order.

Selection fields

W
Set this field to YES to view just those inbound delivery schedules with some kind of warning attached. Only those delivery schedules with at least one warning will be displayed. You can drill down to view/maintain the warning(s).

This panel displays detailed information about the item in the inbound delivery schedule.

Item
Displays the selected item. If you are adding a new item manually, enter the item to be included in the delivery schedule.

Note: If you are adding items on a manually created delivery schedule, the system will check that the item does not exist on another delivery schedule for this customer. If so, you are not allowed to add the item.

Warehouse
Displays a code from the Warehouse table, indicating from which warehouse the goods should be dispatched.
Minimum inventory
Displays the minimum inventory for the item, defined by the customer. This information is used if the inbound delivery schedule is a gross forecast. The system will compare this value with the Actual inventory, Maximum inventory and the forecast defined in the delivery schedule.

Note: When the Actual inventory is lower than the Minimum inventory, an order should be created in order for the Maximum inventory to be received, which is described in the example below.

Example:

Calculating new actual inventory

   The following figures are defined:

  • Minimum inventory = 20
  • Maximum inventory = 40
  • Actual inventory = 28

2012-05-19 28 7 21 (28-7) Minimum inventory = 20, no delivery to customer.
2012-05-26 21 8 13 (21-8) New actual inventory under minimum inventory level. Create order line with qty 27 (40-13) to get New actual inventory 40 (27+13).
2012-06-03 40 10 30 (40-10) Minimum inventory = 20, no delivery to customer.
2012-06-10 30 8 22 (30-8) Minimum inventory = 20, no delivery to customer.
2012-06-17 22 7 15 (22-7) New actual inventory under minimum inventory level. Create order line with qty 25 (40-15) to get New actual inventory 40 (25+15).

When the delivery schedule is retrieved via the Work with inbound delivery schedules in DI menu item, the system processes the calculation described in the example above and creates the order lines, if needed.

Note: All figures, i.e. Minimum inventory, Maximum inventory, Actual inventory and the Sales forecasts are defined by the customer.

Order property
Maximum inventory
Displays the maximum inventory for the item, defined by the customer. This information is used if the inbound delivery schedule is a gross forecast. When the Actual inventory is below the Minimum inventory, the system uses the value in this field to calculate the quantity to be delivered:

Last delivery 1 – 3
Displays, in the fields below, information about the three last dispatches of the item in this inbound delivery schedule. The Last delivery 1 field displays information about the last dispatch; Last delivery 2, displays information about the second last dispatch, etc. Note: The information displayed in these fields is stated by the customer and updated when this delivery schedule was received through DI (data interchange).
Transport note 1 – 3
Displays the transport note number in which the item was included when last dispatched, second last dispatched and third last dispatched. Note: The transport note numbers are stated by the customer. If a transport note number displayed in any of these fields does not exist in DC1 for this customer and item, the Warning, last deliv field is set to YES.
Dispatch date 1 – 3
Displays the date of the three last dispatches of the item in this inbound delivery schedule. Note: The dispatch dates are stated by the customer. If this item has not been dispatched to the customer at any of these three occasions (according to DC1), the Warning, last deliv field is set to YES.
Delivered quantity 1 – 3
Displays the quantity delivered the last three times the item was dispatched. Note: The quantities are stated by the customer. If this quantity does not correspond to any dispatched quantity the last three times the item was delivered to the customer (according to DC1), the Warning, last deliv field is set to YES.
Actual inventory
Displays the current stock on hand of the item in the customer’s warehouse, stated by the customer. This information is used if the inbound delivery schedule is a gross forecast. The system uses the value in this field to compare with the value in the Minimum inventory field. When the Actual inventory falls below the Minimum inventory, the system will create a sales order line. The quantity on the sales order line is calculated as:

Total quantity
Displays the total quantity of the item in this delivery schedule.
Customer year forec.
Displays the year forecast of the item, stated by the customer.
Not delivered
Displays the total quantity of the item which has not been dispatched yet. This is the total quantity of all deliveries with a date before Schedule start date in this delivery schedule.
Order number
Displays the number of the sales order created for the item in this, or any previously received delivery schedule, if created.
Warning, total chg %
Indicates if the total quantity of this item has been changed with more than the percentage allowed, compared with the total quantity of the item on the previous delivery schedule received from this customer.

The percentage allowed can be defined in either:

  • Business partner file, in the Warn. limit %, total field on the DI documents panel, for the customer,
    or
  • DIS control file, in the Warn. limit %, total field

The warning limit percentage defined in the Business partner file will override the warning limit percentage defined in the DIS control file.

Warning, chg % line
Indicates if the quantity on this line has been changed with more than the percentage allowed, compared with the same line on the previous delivery schedule received from this customer.

The warning limit percentage can be defined in either:

  • Business partner file, in the Warn. limit %, line field on the DI documents panel, for the customer,
    or
  • DIS control file, in the Warn. limit %, line field

The warning limit percentage defined in the Business partner file will override the warning limit percentage defined in the DIS control file.

Warning, not deliv.
Indicates if this item has not been dispatched yet, according to the previous delivery schedule. If YES, a sales order line created from a previous delivery schedule exists, for which the following apply:

  • status is 40 or lower
  • dispatch time is earlier than the Schedule start date on this delivery schedule
Warning, last deliv.
Indicates if one of the following applies for the line:

  • The transport note number (stated by the customer) for any of the last three dispatches of this item, does not correspond to any transport note number updated in DC1 for this customer/item.
  • The dispatch date (stated by the customer) for any of the last three dispatches with this item, does not correspond to any dispatch date updated in DC1 for this customer/item.
  • The quantity (stated by the customer) for any of the last three dispatches of this item, does not correspond to any quantity updated as dispatched in DC1 for this customer/item.
Warning, item miss.
Indicates if this item was included on the previous delivery schedule and not on this delivery schedule. When this delivery schedule was retrieved via the Work with delivery schedules in DI menu item, the system compared the items included in this schedule with the items included in the previous schedule. If an item is missing on this delivery schedule, the missing item is automatically added to this delivery schedule and this field is set to YES.

Note: No quantities will be updated in the Quantity matrix for this item.

Note: This check is only done if it is activated for the customer, i.e. if the Warning, item missing field in the Business partner file is set to YES.

Warning, new item
Indicates if this item is new, i.e. it was not included on the previous delivery schedule received from this customer.
