Entry of the counted stock take figures, for the selections made on the list for each warehouse, which was created in the Work with stock takes routine, is done in this program. This procedure should be done as quickly as possible to enable the pick lists and reception notes, which are being held by this process, to be printed.
- List number
- The stock take list number is automatically retrieved from the open stock take list selected on the initial Work with stock takes panel. Once on this panel, any of the existing list numbers can be entered manually.
- Line number
- This field can be completed if several persons are to work with the same stock take list. Enter the (from-to) line number, displayed on the Stock take list printout, that you are going to work with. The number interval entered will be locked for other jobs until the selection panel is displayed again. If nothing is entered in this field, all lines will be selected and locked.

Note: When you access this panel, all lines that are included in the selected stock take list are displayed by default. To only view the lines that are not counted, click Not counted lines.
The stock take entry is based on the list number and the line number entered on the first selection panel. The layout of the panel will be different depending on the stock take list for DC1 Warehouse Management items or non-Warehouse Management items. Enter the relevant line number in the Line selection field to go directly to that line.
If the following stipulations are met and there is a mixture of internally and/or externally owned stock on the stock take list, you can select the Owner count option to access a panel where you can report the count per owner. If there are multiple owners of the item on the stock take line, the Owner column on this panel will display *MULT.
- STKOWNER (Stock Ownership) function is activated in the Function control file.
- DC1 Contract Managed Inventory (CMI) application is activated (applies to externally owned stock).
- The physical warehouse is set up with the Stock take/owner flag set to YES.
The DC1 Warehouse Management Item stock take list will display Zone/Location, but the non-Warehouse Management Item stock take list will display Bin 1 and Bin 2 instead.
If a line is not counted, leave the quantity fields blank. The current stock balance for this item will not be updated.
If a line is counted but there is nothing in stock, enter 0 (zero).
If a line is a serial number controlled item and the entered quantity is less than the quantity on hand, the deletion function for serial number controlled items will be accessed in order to delete the existing quantity with serial number.
If a line is a serial number controlled item and the entered quantity is greater than the quantity on hand, the adding function for serial number controlled item will be accessed in order to add the additional quantity with serial number.
If you need to run the balance reconciliation for items with zero stock in DC1 Warehouse Management, then a separate panel will be accessed during the count reporting in order to add zone/location for the item.
When you exit this routine, the total estimated difference percentage for the counted lines is calculated as well as the counted lines’ percentage of the total lines. (Refer to the example in the Stock take control list printout program.) Several stock take lists may be active at the same time and the difference percentage gives the possibility to prioritize lists displaying larger differences in order to take action as soon as possible. Once the variance is at an acceptable level, the stock count list can be closed and the stock balances and the General Ledger are updated.
Options
Owner count | This option is only displayed if the STKOWNER (Stock Ownership) function is activated in the Function control file and is applicable for both the Stock ownership functionality (internally owned stock) as well as the Contract Managed Inventory functionality for externally owned stock (if the DC1 Contract Managed Inventory (CMI) application is activated). If the physical warehouse is set up with the Stock take/owner flag set to YES, select this option to access the panel where you report the count per owner. Function keys
Not counted lines/All lines | Toggle between viewing All lines and only the Not counted lines. |
Add line | This function key is applicable for both a standard location count for Warehouse Management items as well as a count for non-Warehouse Management items. For a standard location count, select this option to add a counted item quantity to a location or to create a new pallet number. For a non-Warehouse Management item/line count, select this option to add the counted item quantity. |
Reset counting | Blank out a value already calculated for one or more lines in the Tot counted field. You cannot enter a new value to the field directly, only blank it out. When done, click OK to return to the Qty counted field in input mode, where you can enter a recounted (new) value. |
Change unit | Change the unit code used when counting the quantity. This value is mandatory. |
Selection fields
- List number
- Displays the selected stock take list number.
- Description
- Displays the list number description, if entered.
- Line number
- Displays the (from-to) line number from the Stock take list printout that you are working with. The number interval is locked for other jobs until the selection panel is displayed again. If nothing is displayed in this field, all lines are locked.
- Line
- Displays the line number.
- Unit
- Displays the stock count unit that was defined for the item in the Item file (Inventory information panel).
Note: The unit displayed here is only a suggestion that will be printed on the stock take list and can be changed by using the Change unit function. It is possible to count and enter transactions for any unit that has been validated for the item.
Note: If DC1 Warehouse Management is installed and activated, an additional (preferred) unit for the item can be defined in the Item file (Location types panel).
- Qty counted
- Enter the counted quantity. To restart the counting, use the Reset counting function on this panel. Note: Negative values can be entered in this field to correct already entered figures that were wrong. However, the total of negative values can never be more than the total counted.
- Tot counted
- Displays the total, in stock unit, of the quantities entered in the Qty counted field. Click OK to add each calculated value to the total.
- Owner
- This column is only displayed if the STKOWNER (Stock Ownership) function is activated in the Function control file and is applicable for both the Stock ownership functionality as well as the Contract Managed Inventory functionality (if the DC1 Contract Managed Inventory (CMI) application is activated).
If the stock take list was created for owner, this column displays the stock owner. This could be an internal owner, (i.e. Cost centre), which is applicable for internally owned stock and/or an external owner, (i.e. business partner), which is applicable for externally owned stock in your physical warehouse for the CMI functionality for Customer Deposit Stock (CDS) and Supplier Consignment Stock (SCS) inventory contracts. If the stock is owned by multiple owners, *MULT will be displayed in the column. Select the Owner option to access the panel where you report the count per owner.
- Item
- Displays the item code.
- Description
- Displays the item description.
- Unit
- Displays the stock unit that was defined for the item in the Item file (Inventory information panel). Note: The unit code displayed here cannot be changed. It does not have to be the same as the unit code entered for the counted quantity, since the unit used during the counting can be changed.
- Pallet
- For pallet items, displays the pallet number.
- Batch
- Displays the batch ID. If the item is active in Warehouse Management and you perform a standard item count, you can complete this field if:
- the item is assigned to a location
- there is stock on hand in the Warehouse balance file
- there is no stock on hand in the Location balance file
Enter the batch ID of the counted quantity. The batch must exist in the Batch file.
Note: When you have completed this field and you exit the panel, you will not be able to change the batch ID if you return to this panel again.
- Zone/Location
- If DC1 Warehouse Management is installed and activated, this field displays the zone and location for the DC1 Warehouse Management item. For items with zero stock in DC1 WHM, this field is blank. If you enter a quantity for such a line to correct a discrepancy between DC1 WHM and DC1 DIS and to reconcile the balance, then a separate panel is accessed where you enter the zone/location information for the item.
- Bin 1
- If DC1 Warehouse Management is not activated, displays the first bin location where the item is stored.
- Bin 2
- If DC1 Warehouse Management is not activated, displays the second bin location where the item is stored.
- Count
- Displays the number of times this item has been counted.
- NCC number
- If DC1 Warehouse Management is installed and activated, this field displays the NCC number if the location had NCC stock that was counted.
Work with stock takes, Stock take entry, Add line (DMR65705)
This panel is displayed if you clicked Add line on the Stock entry panel. You can add the quantity you counted for an item which is not in the Location balance file. Note: You can only add an item which already exists on this stock take list.
This function can also be used if you want to add a line for stock that is found on a pallet. Instead of reporting it as unit balance, you create a new pallet number. Note: You cannot add an existing pallet number.
- Unit
- Displays the default stock count unit entered in the Item file. The unit can be changed into any unit defined for the item counted.
- Qty counted
- Enter the quantity you counted for the item.
- Zn
- Enter the warehouse zone where the item is stored.
- Location
- Enter the warehouse location where the item is stored.
- Item
- Enter the item code of the counted item.
- Batch
- If the item is batch handled, enter the batch ID of the item. Note: The batch ID must exist in the Batch file.
- Crt
- Indicate if a new pallet should be created.
- Pallet type
- Mandatory entry if the Crt field is set to YES. Enter a code from the Pallet type table indicating the pallet type to be used for the created pallet.
- Label
- Indicate if a label should be printed for the created pallet.

On this panel you add zone and location information for an item to reconcile the balance for items with zero stock in DC1 Warehouse Management and to correct a discrepancy between DC1 WHM and DC1 DIS.
- List number
- Displays the selected stock take list number.
- Line number
- Displays the (from-to) line number from the Stock take list printout that you are working with. The number interval is locked for other jobs until the selection panel is displayed again. If nothing is displayed in this field, all lines are locked.
- Line
- Displays the line number.
- Unit
- Displays the stock count unit.
- Qty counted
- Displays the counted quantity.
- Tot counted
- Displays the total counted quantity.
- Item/Description
- Displays the item code and description.
- Zone
- Enter the warehouse zone where the item is stored.
- Location ID
- Enter the warehouse location where the item is stored.
- Last count number
- Displays the number of times this item has been counted.
Work with stock takes, Stock take entry, Add non WHM line (DMR65709)
This panel is displayed if you clicked Add line on the Stock entry panel for a non-DC1 Warehouse Management warehouse. You can add the quantity you counted for any item/line. Note: You can only add an item which already exists on this stock take list. The same item can be entered multiple times and reported count will be accumulated and counted quantity will be updated in the system. Once a line has been counted successfully, details of the last counted line will be displayed on the lower part of the panel.
- Item
- Enter the item code of the counted item.
- Qty counted
- Enter the quantity you counted for the item.
- Unit
- Displays the default stock count unit entered in the Item file. The unit can be changed into any unit defined for the item counted.
- Batch
- If the item is batch handled, enter the batch ID of the item. Note: The batch ID must exist in the Batch file.
