Quotation lines can be added by performing any of the following:
- Entering the information in the input fields on the bottom of the panel and clicking OK. If you enter a parent item within an order structure, the Sales quotation maintenance, Structures panel will prompt where you select the component line(s) you want to copy to the sales quotation.
- Access full mode by changing the line type code to 12 and clicking OK.
- Smart sales quotation entry by clicking the Smart entry function key.
- Access Customer and item information, Line entry by clicking the Fnc list function key and then selecting Customer info, Line entry.
Smart quotation entry
An extension to sales quotation line entry, called Smart quotation entry, is also available. This functionality gives you instant access to a vast array of information where you can directly book quotation lines from the information found. Any lines booked are immediately updated and displayed on this panel.
To maintain several order lines, highlight all lines and select the Change option. The lines will be displayed in succession for you to change.
Customer and item information, Line entry
An extension to quotation line entry where you can register quotation lines while simultaneously viewing/have access to pricing and stock balance information. Access to the panel is from the Fnc list function key (Customer info, Line entry) and a specific function key, if assigned. The order line creation takes place from that location. It is ideal to use when the customer wants to know the price and delivery for a specific quantity of a specific item as all of the information regarding the price (e.g., prices, discounts, contracts, rebates for SMS agreements) and availability are displayed on, or accessible from this panel.

- Curr
- Displays the currency code entered on the initial panel. If nothing was entered there, displays the customer’s currency. To change the currency code, this must be done on the initial panel before any quotation lines are entered. - Price
- The price can be retrieved automatically from the system (see Retrieval of sales price) or entered manually. If you intend to enter a manual discount amount or discount percentage, you do not have to enter a price. The system will retrieve the price automatically and apply the entered discount amount to the non-discounted sales price. The retrieval of any additional discounts, apart from the one that you manually enter, is controlled by the setting of the Additional discount flag in the DIS control file and the Man priced flag on the quotation line. See The types of discounts automatically applied to the line for more information.
- Prc unit
- Only displayed if the PRCUNIT (Price unit handling) function is activated in the Function control file and is an optional entry here. See About price unit handling for more information. Normally this field is left blank and is retrieved together with the price. You can, however, enter a price unit manually (i.e. the unit in which the price should be presented). This unit must exist in the Unit table and be defined for the item. The sales unit (i.e. Unit field) is the unit used for retrieval of the sales price. See Example: Pricing unit for sales order/quotation line.
- Disc ID
- Mandatory entry if you want to manually enter a line discount (done in either the Disc amount or Disc % field). Enter a discount id from the Sales discount ID table which denotes the reason for giving the discount.
Note: Two validations will be performed to check for multiple discounts with the same Discount ID. The first will validate that the Discount ID, being entered here for the manual entry, is defined for line level. The second validation will check, when running additional discounts, if any other discounts have automatically been picked up from the pricing calculation that contain the same Discount ID. If this is true, the discount ID you are trying to enter will not be allowed.
Note: You can view the discount information and manually enter more discounts in the Work with discounts program which can be accessed via a function in the function list on the quotation line maintenance panels. This program is not accessible for a component in a sales structure that has sales price calculation code 3 or 4.
- Disc amount
- Enter the manual discount amount to be allowed on a quotation line. If this field is completed, the Disc % field has to be blank and a value must be entered in Disc ID.
Note: You do not have to enter a price when entering a manual discount amount here. The system will retrieve the price automatically and apply the entered discount amount to the non-discounted sales price. The retrieval of any additional discounts, apart from the one that you manually entered here, is controlled by the setting of the Additional discount flag in the DIS control file and the Man priced flag on the order line. See The types of discounts automatically applied to the line for more information.
Note: You can view the discount information and manually enter more discounts in the Work with discounts program which can be accessed via a function in the function list on the quotation line maintenance panels. - Disc %
- Enter the manual discount percentage to be allowed on a quotation line. If this field is completed, Disc amount field has to be blank and a value must be entered in Disc ID.
Note: You do not have to enter a price when entering a manual discount percentage here. The system will retrieve the price automatically and apply the entered discount percentage to the non-discounted sales price.
This program is not accessible for a component in a sales structure that has sales price calculation code 3 or 4.
- FOC

Note: The FOCTYPE (Free from VAT charge type) function must be activated in the Function control file. If this field is set to YES, then the quotation line will be exempt from VAT charge. Depending on the definition in the Function control file, either the customer or the company is charged for the VAT.
Work with sales quotation lines, Line details (DMR40204)
On this panel you enter the line details for the quotation line of type 12.
If limits are defined per item group in the Profit/margin limits table, a profit check is done to calculate the line profit. If the profit for the line is not within acceptable limits, a warning is displayed. If the profit is too low or too high, it signals the handler of the quotation to look at the prices and discounts for the line. Alternatively, the Quotation profit enquiry can be accessed to view the profit situation for the quotation. This warning, however, can be overridden by clicking OK to accept the line.
Note: No profit check is performed on line level if:
- the line is Free of charge
- the line belongs to a structure

An exchange rate for the period and level specified in the DIS control file must, however, exist in the Exchange rate table. Otherwise a message will be displayed.
If the Curr clause field (on this panel) is set to YES, the purchase currency attributed to it in the Currency clause code table will be defaulted to this field. This is the type of currency that was used to purchase the item from the supplier.
- Price
- Displays the sales price retrieved from either the Item file or the Sales pricing methods file, if the system found any. Otherwise displays the price entered on the previous panel. The price can be changed. Note: If you manually enter/change the sales price, the Gross margin will be updated accordingly.

- Price unit
- Only displayed if the PRCUNIT (Price unit handling) function is activated in the Function control file. Mandatory entry here. Enter the unit in which the price should be presented. See About price unit handling for more information. This unit must exist in the Unit table and be defined for the item. If this unit is changed the sales price will be recalculated using the conversion factor for the new price unit. This means that as long as the sales price is not changed at the same time, the line amount will remain the same. The sales unit (i.e. the Unit field) is the unit used for retrieval of the sales price. See Example: Pricing unit for sales order/quotation line.
- Prc unit qty
- Only displayed if the PRCUNIT (Price unit handling) function is activated in the Function control file. Displays the quantity for the sales quotation line displayed according to the price unit. See About price unit handling for more information.
- Ctrb ord sum
- This Contribute to order summary field is only displayed if the pricing policy for Order summary disc is set to YES in the DIS control file.
This flag is retrieved from the Item file and written to the order/quotation line during line entry. It can be maintained. It controls if the line contributes to the summary of quantities and amounts in the basket qualification and the order summary discount calculation. This flag at the same time controls if the line benefits from any order line summary discounts (O-type) and header discounts (H-type). All lines that do not contribute to the order summary will NEVER benefit from it, in other words no order line summary discounts will be applied and no header discount will be apportioned over these lines.
- Ord sum disc
- This Order summary discount field is only displayed if the pricing policy for Order summary disc is set to YES in the DIS control file and is output only.
This Order summary discount flag is written to the order/quotation line from the sales price and discount calculation program. It is set to YES as long as the originating price source and none of the applied discounts are set-up with Order summary discounts as NO. The flag only controls if the line benefits from any order line summary discounts (O-type) and header discounts (H-type). If a line does not contribute to the order summary (the Ctrb ord sum field is set to NO) then it does not benefit from it, regardless of how this field is set.
- Mrg line cst
- Displays the margin line cost value basis in system currency. This cost is used to calculate the profit margin. The value is calculated accordingly:
Order line quantity x Margin cost price basis (1) in system currency and in price unit (2)
(1) Is retrieved using the Margin cost basis defined in the Item file or in the DIS control file
(2) Is calculated from cost unit by dividing the margin cost price basis with the conversion factor for the cost unit
- Net line pr
- Displays the net sales price for the line, excluding header discounts, and when all line discounts are withdrawn. The net line sales price is displayed in system currency.
- Net line am
- Displays the net line amount, excluding header discounts, in system currency.
Note: If the net line price is negative you will receive a warning. If you copy such a line into a sales order line it will, at that point, automatically be put on hold. See Fix negative prices for more information.
- Catch weight
- This field is only displayed if the CTCH-WGT (Catch weight) function is activated in the Function control file and is an extension of price unit handling. The setting in this field is retrieved from the Item file for the Item/Unit and determines if you will be allowed to change the price unit quantity for the sales quotation line.
This field is only open for input if the following is true:
- the item on the sales quotation line is not a fictitious item.
- the item on the sales quotation line is not a serial number controlled item.
- The order line is less than status 30.
If the Item’s sales unit is defined for Catch weight handling, this flag will be defaulted with a YES setting but can be changed to NO. Likewise, if the Item’s sales unit is not defined for Catch weight handling, this flag will be defaulted with a NO setting but can be changed to YES. Note: If the item on the sales quotation line is a structure parent a check is performed against the sales price calculation code for the structure type for both the current (parent) item and for items included in a structure. If the sales unit is defined for catch weight and the structure type for the item has sales price calculation code 1 (Parent sales price is used. Components prices are set to zero) or 3 (Components sales prices are summarized and added to parent’s sales price and then set to zero) this flag will be set to NO and cannot be changed since catch weight handling is not supported when components sales price is set to zero.
See About catch weight handling for price units for more information.
- Shipment mrk
- Enter the text for shipment marking.
- Gross margin
- Only displayed if you have authority. Displays the gross margin of the sales order line, which is calculated as follows:
(Net sales price – cost price) / Net sales price The valid costing method used in the calculation is defined in the DIS control file.
Note: If you have authority, you can manually change the Gross margin in the input-capable Gross margin field below. If you do so, both this field and the Sales price (in the Price field) will be updated accordingly. Note: If you change the sales price of the order line in the Price field, this gross margin will be updated accordingly.
- Gross margin
- Only displayed and can be maintained if you have authority. Manually enter the Gross margin amount for the quotation line. After clicking OK the gross margin amount will be updated in the first Gross margin field, above, and the Sales price for the line will be updated accordingly. Note: Any existing discounts will also be affected. See Gross margin and discounts for more information.
- Incl demand
- NCC number
- Only displayed if the following is true:
- The NCC-SELL (NCC Selling) function is activated in the Function control file.
- The NCC goods flag for the customer (in the Customer file) is anything but zero (i.e. the customer does not accept NCC stock deliveries).
- The order is not a credit order, internal or BtB order.
When the requested quantity, according to the rules, is covered by NCC quantity the NCC number will be retrieved when adding a quotation line and displayed in this field, with a message displayed. This denotes that the quotation quantity is covered by NCC stock and that a reservation of the quotation quantity is made on the NCC. A value can also be entered manually, changed and blanked out in order to remove the NCC stock reservation. Note: When copying a quotation to a new version, any reservation against NCC is also created if available quantity exists. When copying a quotation to a sales order, any reservation against NCC is created on the sales order if available quantity exists and the reservation on the quotation is deleted. See About NCC selling for more information.
- Debit code
- Only displayed if DC1 Service is installed and activated and if this is a service quotation. Displays the debit code entered to access this panel but can be changed. Enter a code from the Debit code table.
The debit code will be copied to the service order, if the quotation is copied to an order. If a debit code is defined on a service order line, the order line is considered as being internal. This means that the debtor and invoice customer on the invoice generated from the order line will be the internal customer defined for the debit code in the Debit code table.
- Engineer
- Only displayed if DC1 Service is installed and activated and this is a service quotation. Displays the engineer defined on the Service quotation job header panel, if any, but can be changed. Enter a code from the Service engineer table, indicating the engineer responsible for this job.
- Ext desc
- Indicate if the extended item description is to be printed on the quotation printout for this quotation line. If set to YES, the description must exist in the item’s Extended item description file. In addition, the Oq field in same file must be set to YES.
- VAT based
- Indicates if this is a VAT based item, as defined in the Item file. You may change this code, in which case the quotation line value will be recalculated by the system. If the same field in the quotation header is set to NO, i.e. the customer is VAT free, this VAT based code will be overridden by the quotation header level VAT based code.
- VAT handl cd
- Displays the VAT handling code to apply to the sales price of the item, as defined via the system search as follows:
- Business partner VAT table.
- Item file, Country/Country VAT information panel
- Country/Country VAT table

The cost price is used, for example, when calculating the profit margin of the order line. If you are authorised, the calculated margin is displayed in the Gross margin field on this panel.
- SMS rebate
- Only displayed if the following is true:
- The DC1 SMS application is installed and activated
- The sales order type on the sales order line is defined as valid for SMS rebates
This field displays the SMS rebate for the quotation line (i.e. the price per 1 stock unit that will be claimed from the rebate payer). When the quotation line is changed, a new search for the best rebate is performed and the value is updated accordingly in this field.
- Exp reb amt
- Only displayed if the DC1 Customer/Supplier Rebates (RBT) application is installed and activated. This field displays the expected rebate amount for the quotation line according to system currency. The expected rebate amount is considered in gross margin calculation. The gross margin is calculated as:
Net line value – Cost value / Net line value
(where net line value = Net line amount – Expected rebate amount,
and Cost value is equal to Line cost value + SMS rebate amount)
- Rebate calc
- Only displayed if the DC1 Customer/Supplier Rebates (RBT) application is installed and activated. Indicates if the line is to be included in the rebate calculation. When the quotation line is created, the field is defaulted from the corresponding quotation header field, which in turn is defaulted from the SO type.
