The duration of the promotion is controlled by the validity dates but you can also place stricter control over the duration of the promotion pricing by setting up ceiling values (values and quantities) for any or all of the following:
- Sales value
- Sales quantity
- Discount value
- FOC item quantity
Promotions are set up in the Work with sales promotions file and the ceiling control values are set up in the Work with sales pricing file, which can be accessed via the menu item itself or via the Pricing method option for method type P in the Work with sales promotion file.
The ceiling values and quantities are driven by the Ceiling control flag. If you want to control the duration of the pricing for your item promotions, you have to set this flag to YES on the sales pricing method. Placing a ceiling control on any of the above mentioned values/quantities works like a “counter”. As you enter sales order lines for promotional items, the system will keep track of the applicable ceiling value/quantity and update the ceilings/quantities reached on the sales pricing method. Discounts are measured by a discount value or a FOC quantity. For example, you sell Item A, but you give away Item B. Sales are measured by a value or a quantity (i.e. the sales ceiling value or quantity of the item that you are selling, for example, Item A).
It is possible to specify/run ceiling control both on header level and on detail level. You can choose to do either, but you can also do a combination. The control will work as follows:
- If you specify ceiling control solely on header level, the whole promotion (and all details) will be closed when any of the ceiling values/quantities are reached. The promotion pricing will no longer be valid and the sales pricing method will be closed.
- If you specify/run ceiling control solely on detail level, the single detail will be closed when a ceiling for the detail is reached, but the header will remain open and other details will still be valid for the promotion.
Note: You can configure an Alert (EXCPRMCEIL = Exceeded promotion ceiling in the Event types table) to be triggered when any of the values/quantities have been reached. An alert message is sent to the handler on the promotion informing him/her that the ceiling has been reached for the item(s) involved in the promotion.
The following describes how to create a promotion method and enter its ceiling control values:
- Select the Sales pricing methods menu item and click Add or select the applicable Promotion in the Work with sales promotion file and click Pricing method.
- Complete the following fields. (Note: For those fields not described, see Set up a normal method and define the pricing/discounting or the Panel help).

- Type
- Select/enter P for Promotion.
- Sequence
- Valid from date
- Valid to date
- Stop search discount
- Claimable
- Level
- Order summ disc type
- Chain discounts
- Must be set to False.
- Order summary disc
- Pricing keys
- You access the Ceiling control panel. Complete the following fields:
- Ceiling control
- Set this flag to YES to denote a ceiling control check on the sales pricing method.
- Handler
- This is a mandatory entry if you set the Ceiling control flag to YES. Enter the signature of the person who is responsible for the ceiling control values.
- Status
- Denotes if the sales pricing method is Open or Closed. The sales pricing method status automatically receives a Closed status if any of the reached values match or exceed the associated ceiling control value.
- Sales value ceiling
- Enter the ceiling for the sales value in system currency.
- Sales qty ceiling
- Enter the ceiling for the sales quantity to be sold for this sales pricing method. It is the quantity in stock units for all promotion items. One method can hold many different items with different stock units.
- Discount value ceiling
- Enter the ceiling for the discount value in system currency. The discount ceiling value is the same as the value of the given discount for the sales pricing method. A sales order line marked as free of charge is considered as 100% discount.
- FOC item qty ceiling
- Enter the ceiling for the FOC item quantity to be given as discount for this sales pricing method. FOC item ceiling quantity is defined in stock unit. One method can hold many different items with different stock units.
- Sales value reached
- Displays the sales value reached for the received and processed orders. It is the net value of the sales order line after discounts (before VAT).
- Sales qty reached
- Displays the sales quantity reached for received and processed orders.
- Disc value reached
- Displays the discount value reached for the sales pricing method.
- FOC item qty reached
- Displays the reached quantity of FOC items which is given as discount.
- If you want to add the ceiling control values on detail level, highlight the pricing method on the initial panel and click the Details options.
- You access Work with sales pricing methods, Promotion details. Click Add.
- Complete the relevant fields and then click Next.
- You access Ceiling control details. Complete the relevant fields as described above and then click OK to update.
Click Next to add the ceiling control details.
Click OK to update and return to the initial panel.
