With a work proposal you simulate and check depreciation proposals without updating any information. Create the work proposal to correct any errors or change information before creating the update proposal. The advantages of creating the work proposal first are:

  • You can narrow down the selection of assets in the proposal according to:
    • Asset type
    • Asset group
    • Asset number
    • Cost centre
    • Project
  • You can examine the impact of changing certain depreciation and accounting information on the assets without updating.
  • Assets included in a work proposal are not frozen. That is, you can still work with them and/or sell them. They can also occur in several proposals at the same time.
  1. Select the Work with depreciations menu item.
  2. On the Depreciation – proposal overview panel, click Add.
  3. You access Depreciation – proposal creation. The following fields are relevant:

    The parameters for selection can only be used when creating a work proposal. Enter your selections.

    Description
    Mandatory entry. Enter a description of the depreciation proposal.
    Depreciation period
    The system proposes the period after last depreciation period, but you may change it to another period. It must, however, be within the depreciation year from the ASM control file. Only assets that have not been depreciated in the stated period will be selected. If a period is left out, the depreciation from that period is accumulated into the next selected period, unless the depreciation type is held (only valid for internal depreciation types).

    The following is assumed here:

    You buy a new mainframe computer in June, 2010, and want to start writing it off from January 2010. You want to distribute the depreciation over the 6 months rather than write off the entire 6 months in the month of June. In this case you:

    • Change the depreciation period to 1001.
    • Calculate depreciation for each period up to and including the current period.

    The system calculates depreciation for the newly purchased mainframe for each period. It will not recalculate already depreciated assets for these periods.

    Work proposal
    The default is NO indicating that this will be an update proposal. Here, set to YES to create a work proposal to simulate depreciation for selected assets before updating.
    Print control list
    The default is NO indicating that no control list will be printed for the created proposal. Set to YES if you want to print a list.
    Run depreciation
    Set to YES for the depreciation types that you want to include in the proposal. The system proposes the types that should be run according to their respective depreciation schedule in the Depreciation type table. You can omit types from the proposal, but you cannot select them if the depreciation period is not in their schedules.
    G/L accounts
    Set to YES for the depreciation types for which you want to create G/L postings. The system proposes all types for which depreciation should be run. You cannot create postings for depreciations types that are not run. The G/L postings are created via the rules set up in the Account code table.

    Click OK. Exit the routine.
