In this program you create and edit the different kinds of external contacts for your business partners. You can enter public contacts (for general use) or personal contacts (for private use).
Options
Clients | Select this option to assign client types to the contact. |

Selection fields
- Contact ID
- This column lists the ID of the contacts that have already been configured and whom you are able to work with.
- Name
- Displays the names of the contact IDs.
- Public
- If this column is set to YES it denotes that the contact has been created as a Public contact (for general use), and not Private.
- Connected
- This column denotes if the contact is connected to a business partner.
- E-mail address
- This column lists the e-mail address for the contact.
- Phone number
- This column lists the phone number for the contact.
- Cell phone number
- This column lists the cell phone number for the contact.
- Fax number
- This column lists the fax number for the contact.
Work with contacts (GDMD04604)
On this panel you enter specific information that relates to the contacts of the business partner that you are configuring. Note: It is not allowed to manually create contacts with *SYSTEM role. In addition, the Role will not be allowed to be changed in Change mode for any contact with *SYSTEM role.
- Contact ID
- Mandatory entry. The contact ID will automatically be generated when adding new records if an extended number series has been defined in the Character value field for the AUTOGEN group/NUMBER level/CONTACT key in the Default and replacements table, but can be changed. This automatic generation will only be performed when this panel is accessed from the Business partner file maintenance, Contacts panel. If not automatically generated, you must manually enter the ID code that should be allocated to this contact. For existing records, this field cannot be changed.
- Name
- Mandatory entry. Enter the name of the contact you are creating. For existing records, this field can be changed.
- Public contact
- Indicate if this contact is to be Public (YES) or Private (NO). If you set this field to NO, then the user or group of users that is permitted to make contact must be indicated in the Contact user field. Note: Marking a contact as Private (NO) will have the following effects:
- This contact ID will not be available when activating contacts for a business partner.
- The contact details can only be accessed by the person(s) indicated in the Contact user field on this panel.
- Contact user
- This field is defaulted to Public (YES), allowing all users to make access to the details for this contact. If the Public contact is set to NO, indicating that the contact is Private, the user or group of users that is permitted to access this contact’s details must be entered in this field.
- Role
- This field is only displayed when accessing this panel from the Business partner file maintenance, Contacts panel, and denotes for what type of role the contact is connected to the business partner. If a role ID has been defined in the Character value field for the PHONEDFT group/DEFAULT level/ROLE key in the Default and replacements table, then that role will defaulted in this field when in Add mode, but can be changed here. Enter the role. This makes it possible to create different kinds of contacts, for example, marketing, authorization, etc. Note: It is not allowed to manually create contacts with *SYSTEM role. In addition, the Role will not be allowed to be changed in Change mode for any contact with *SYSTEM role.
- E-mail address
- Optional entry. This information can be entered here or via the client type information in the Client parameters (accessed by clicking the Clients option). Regardless, if you add/change a record here it will be added/changed for the client type (ACCEMAIL) in the Client parameters. Likewise if you delete a record here, it will be deleted from the Client parameters. Enter the e-mail address for this contact.
- Phone number
- Optional entry. This information can be entered here or via the client type information on the Client parameters panel (accessed by clicking the Clients option). Regardless, if you add/change a record here it will be added/changed for the client type (*PHONE) in the Client parameters. Likewise if you delete a record here, it will be deleted from the Client parameters. Enter the phone number for this contact.
- Cell phone number
- Optional entry. This information can be entered here or via the client type information on the Client parameters panel (accessed by clicking the Clients option). Regardless, if you add/change a record here it will be added/changed for the client type (GSM) in the Client parameters. Likewise if you delete a record here, it will be deleted from the Client parameters. Enter the cell phone number for this contact.
- Fax number
- Optional entry. This information can be entered here or via the client type information on the Client parameters panel (accessed by clicking the Clients option). Regardless, if you add/change a record here it will be added/changed for the client type (ACCEFAX) in the Client parameters. Likewise if you delete a record here, it will be deleted from the Client parameters. Enter the fax number for this contact.
Work with contacts, Copy (GDMD04605)
- Contact ID
- Displays the ID and name of the contact you selected to copy.
- New con ID
- Enter the ID of the new contact you are creating.

Note: A contact may not be deleted if it is still connected to a business partner. These connections are established in the Business partner file, Attach contact to role routine.
Work with contacts, Where used (GDMD04611)
Note: This panel can be accessed from either a maintenance or an enquiry program. The panel heading differs accordingly.
This panel displays the connections between the selected contact and the business partner(s) to which it belongs. These connections are established in the Business partner file, Attach contact to role routine and indicate as to what role the contact fulfils in the company(ies).
- Contact
- Displays the ID and name of the contact you selected to work with.
- BP
- This column lists the business partner ID’s to which the selected contact has been connected.
- Name
- This column displays the names of the business partners to which the selected contact has been connected.
- Connection
- This column displays the types of roles that the selected contact fulfils in the company(ies).
