These entries are used to control the numbering of assets in the Asset file, both by giving automatic proposals for the next number, checking an entered number for uniqueness, and checking an entered number for validity against rules and limits. Any number of series may be set up, and the numbering is very flexible with alphanumeric characters and predefined masks. The default number series to be used when entering new assets in the Asset file is defined on asset type and group level.

- This column lists the existing asset number series.
- Description
- Displays a description of the related asset number series.
- Asset number mask
- Displays the characters used if the related asset number series was defined with a mask.
- Fixed part value
- Displays the fixed value entered as part of the asset number, if underscores have been defined in the mask.
- Last number used
- Displays the number in the series which has been used last.
- First number to use
- Displays the number with which the series is to start.
- Last number to use
- Displays the number with which the series is to end.
- Automatic proposal
- Indicates if the system should propose the next asset number automatically, based on last number used.
- Warning
- YES indicates that a warning should be given if an asset number in the series does not correspond to the specified requirements. NO indicates that the asset number must follow the specifications to be valid.

- You may define the series with a mask by using specific characters.
Code Description X Alphabetical character 9 Numerical character . Serial number _ Mask, either blank characters to limit the size of the asset number, or to be defined below as fixed part value of the asset number. If you, e.g., use the car registration number as asset number, and this number consists of three letters and three digits, then you would define the mask as XXX999_____. The system will then check, whenever this asset number series is used, that the first three characters are letters, and the three last are digits and nothing more is filled in.
If you, e.g., number your assets with division name abbreviation, four characters, and a serial number, then you could define the mask as XXXX…….. The serial number may not be more than eleven digits long, and you define the range in the First number to use and Last number to use fields. The system will then check, whenever this asset number series is used, that the first four characters are letters. If automatic proposal is used, then a serial number will be proposed, else the system will only check that the number you enter is unique and within the valid range.
If you, e.g., use a separate number series for office desks, then you could define the asset number mask as ____……., and enter the fixed part value DESK in the positions corresponding to the underscores in the asset number mask. You then define the number series range. The system will then check, whenever this asset number series is used, that the first four characters are DESK. If automatic proposal is used, then DESK and a serial number will be proposed, else the system will only check that the number you enter is unique and within the valid range.
If you, e.g., have automatic numbering, but a short series, e.g. three digits, and no prefix or suffix is used, then you need to fill in the rest of the mask with underscores: …________.
- Fixed part value
- A fixed value can be entered as part of the asset number, if underscores have been defined in the mask. Note: The positions of the fixed part value must correspond to the positions of the underscores. If the positions are left blank, the fixed part value are blanks, i.e. you limit the size of the asset number.
- Automatic proposal
- Indicate if you want the system to propose the next asset number automatically, based on last number used. Note: You have to define a serial number range if you want an automatic proposal, and have stated corresponding dots as asset number mask.
- Warning
- Set to YES if a warning should be given if an asset number does not correspond to the specified requirements. The warning can always be overridden. If you enter NO, then the asset number must follow the specifications to be valid. Note: The asset number must always be unique, no matter whether a warning is given or not.
