This program is used to claim the rebate transactions that are final (invoiced). One rebate claim holds the rebate transactions for one rebate payer, in one currency.
Note: This panel displays by default all rebate claims that have not been claimed. Enter C (claimed) in the selection St field at the bottom of the panel to only view claimed rebates. Click More selections to narrow down the information.
Work flow
The work flow in this program is the following:
- Create a rebate claim header.
- Select the rebate transactions (i.e. connect them to the rebate claim).
- Claim the rebate claim. Depending on the Claim method, the work flow differs. See Claim methods for more information.
- If the rebate payer does not agree with the rebate amount, you can credit the rebate amount, partially or in full. The same subsequent work flow applies:
- If an A/R credit claim – invoice the claim. Then, the transactions are automatically transferred into A/R via the Print invoice journal or Transfer logistic accounting transactions routine.
- If an A/P credit claim – the transactions are automatically transferred to A/P.
As you work through the various steps in this program the rebate claims inherit the following statuses:
Options
Transactions | Select this option to view the specific transactions for this rebate. |
Claim | This option is only valid when status is S (i.e. Transactions selected). Select this option to access the applicable claim confirmation panel (i.e. A/P credit claim or A/R debit claim, depending on the defined claim method) where you can confirm the claim. |
Credit claim | This option is only valid when the status is C (i.e. Rebate claim has been claimed) and is used when the rebate payer has not agreed with the rebate amount. Select this option to credit a partial amount or the full rebate amount of an erroneous claim. |
Select trans | This option is only valid when the status is N (New) or S (Transactions selected). Select this option to select (i.e. connect) rebate transactions to this rebate claim. |
Delete claim order | Select this option to delete the claim order that has been created for this rebate claim (i.e. claim method is A/R claim). Note: Status must be O = Order created, but not yet invoiced. The order must be in status 45. |
Invoice | Select this option to invoice claim orders that have been created for this rebate claim. Note: Rebate status must be any of the following:

Selection fields
- Rebate claim
- This column heading lists the rebate claim numbers.
- Description
- This column heading lists the description of the rebate claims.
- Handler
- This column heading lists the handler identifying the person responsible for this rebate claim.
- Rebate payer
- This column heading lists the rebate payers of the rebate claims.
- St
- This column heading lists the statuses of the rebate claim headers. These include:
- Claim date
- This column heading, displayed after clicking Shift info, lists the dates the rebates were claimed.
- Cm
- This column heading, displayed after clicking Shift info, lists the type of claim method indicating how the rebates will be handled internally in the system. See Claim methods for more information. The claim methods are:
- Credit reb amount
- This column heading, displayed after clicking Shift info, lists the credit rebate amount in rebate currency for the SMS rebate claim.
- Rebate amount
- This column heading, displayed after clicking Shift info, lists the rebate amount in rebate currency for the SMS rebate payer.
- Curr
- This column heading, displayed after clicking Shift info, lists the rebate currency for the rebate payer.
Work with SMS rebate claims, Header (DIR78004)
If you accessed this panel from an enquiry program, the panel heading differs accordingly.
On this panel you enter the information for the Claim header.
Function keys
- Rebate claim number
- If this field is left blank, the next available number for SMS rebates is retrieved from the Number series table. You can, alternatively, manually enter a number but it must be outside the range of the number series for SMS rebates.
- Description
- Enter the description of the rebate claim header.
- Claim method
- Enter the type of claim method applicable for the rebate claim (how the rebates will be handled internally within the system). See Claim methods for more information. Valid claim methods are:
- Rebate payer
- Enter the rebate payer of this claim.
- Rebate currency
- The rebate currency, indicating the currency in which the rebate should be paid, is retrieved for the rebate payer.
- Handler
- Enter the handler of the person responsible for the rebate claim.
- Customer
- Optional entry. If entered, only rebate transactions created for this customer will be eligible for selection for this rebate claim.
- Agreement
- Optional entry. If entered, only rebate transactions created for this agreement/version will be eligible for selection for this rebate claim.
- Status
- This field is automatically updated with one of the following statuses, as the rebate claim process proceeds:
- Creation date
- This field is automatically updated with the creation date of this rebate claim header.
- Claim order number
- If claim method is defined as an A/R claim, this field is automatically updated with the claim order number once the sales order for the rebate claim has been created.
- Claim invoice number
- If claim method is defined as an A/R claim, this field is automatically updated with the claim invoice number once the sales order line for the claim order has been invoiced. Displays the document type followed by the invoice number.
- Rebate currency
- Displays the currency in which the rebate will be paid.
- Rebate amount
- This field is automatically updated with the rebate amount in rebate (i.e. transaction) currency, once the rebate claim has been claimed.
- Credit rebate amount
- This field is automatically updated with the credit rebate amount in rebate (i.e. transaction currency), once the rebate claim has been claimed.
- Net rebate amount
- This field is automatically updated with the net rebate amount (i.e. rebate amount minus credit rebate amount).
- System currency
- Displays the system currency for the rebate payer.
- Rebate am sys curr
- This field is automatically updated with the rebate amount in system currency, once the rebate claim has been claimed.
- Cred reb am sys curr
- This field is automatically updated with the credit rebate amount in system currency, once the rebate claim has been claimed.
- Net reb am sys curr
- This field is automatically updated with the net rebate amount in system currency (i.e. rebate amount system currency minus credit rebate amount system currency).

This panel displays the records for the claims you selected to copy. Enter the New rebate claim and click OK.
Work with SMS rebate claims, Deletion (DIR78008)
This panel displays the records for the claims you selected to delete. Click OK to confirm deletion.

Work with SMS rebate claims, Claim, Credit A/P (DIR78013)
This panel displays the records for the credit A/P rebate transactions (i.e. claim method = A/P claim) that are ready to be claimed. You have the possibility to enter the accounting period to which the transactions will be transferred in A/P as well as the A/P summary level under which the transactions should be summarised before the transactions are transferred to A/P. Click OK to confirm the claim.
- Accounting period
- Mandatory entry. The current accounting period is defaulted. If necessary, change the accounting period to which the transactions will be transferred in A/P. Note that this field is input-capable only if you are allowed to change the accounting period according to your user profile.
- A/P summary level
- Mandatory entry. Specify on which level the transactions should be summarised before the transactions are transferred to A/P.

Work with SMS rebate claims, Claim, Debit A/R (DIR78016)
This panel displays the records for the debit A/R rebate transactions (i.e. claim method = A/R claim) that are ready to be claimed. You must enter the order type of the claim order and the order handler if it is different than the rebate handler. Click OK to create the claim order and confirm the claim.
- Order type
- Mandatory entry. Enter the order type, from the Sales order type table, of the claim order (must be defined as an invoice, Claim order = YES, that does not have any stock updates).
- Order handler
- This field is optional. If the order handler is different than the rebate handler, enter the applicable handler responsible for this claim. If left blank, the rebate handler specified on the rebate claim will be retrieved.
Work with SMS rebate claims, Claim order deletion (DIR78019)
This panel displays the claim orders you selected to delete. Click OK to confirm deletion.
Work with SMS rebate claims, Credit claim confirmation A/P or A/R (DIR78022)
The sub-title of the panel, and the fields to complete differ depending on the claim method for which you are doing a credit claim:
If you are confirming an A/P credit claim, complete the following fields and click OK to confirm the credit claim:
- Accounting period
- Defaults the current accounting period.
- A/P summary level
- Specify on which level the transactions should be summarised before the transactions are transferred to A/P.
