Work with outbound shipments, Assigned orders (DIR39401)

This panel displays all orders that are assigned to the selected outbound shipment.

If you are using the Order assignment functionality to select order lines for this shipment and if orders are not already assigned, then you are able to do that manually on this panel. If orders already exist, then you can assign more to the selected shipment.

Depending on from where you accessed the panel, different orders are displayed:

  • If this panel was accessed from the Work with outbound shipments, Headers panel (via the Orders option), then all assigned orders for the whole shipment are displayed.
  • If this panel was accessed from the Work with outbound shipments, Delivery addresses panel, then only assigned orders for the specific shipment delivery address are displayed.
  • If this panel was accessed from the Work with outbound shipments, Order assignment panel, then all orders that were entered for the whole shipment on the Order assignment panel are displayed.

From this panel you can also close a shipment or update it as shipped by selecting the Close and Ship program functions from the Function list.

Options

Add Select this option to assign sales orders or pick lists to the outbound shipment.
Change Select this option to change the entry sequence of the assigned orders.
Delete Select this option to remove the lines for the assigned order from the outbound shipment.
Lines Select this option to work with shipment lines.

Delivery addresses Only available if this panel was accessed from the Order assignment panel. Work with delivery addresses for the shipment.
Add orders Not available in Display mode. This function key is only available for outbound shipments specified with a shipment type defined for Order assignment. Assign new sales orders or pick lists to the shipment.
Re-sequence Not available in Enquiry mode. Re-number the entry sequence of all assigned orders within the shipment to intervals of 10.

Selection fields

Shipment no
Displays the shipment number and the description of the selected outbound shipment.
Customer
Displays either:

  • All – if this program was accessed for a whole shipment,

    or

  • the customer number and the name for the delivery address – if the program was called for a specific delivery address.
Address no
Displays either:

  • All – if this program was accessed for a whole shipment,

    or

  • the address number for the delivery address – if the program was called for a specific delivery address.
Warehouse
Displays the warehouse that the goods will be dispatched from.
Disp date
Displays the date that the goods will be dispatched to your customer.
MOT
Displays the manner of transport specified for the selected shipment.
Acc weight
Displays the accumulated weight for all lines that are assigned to the selected shipment.
Disp time
Displays the dispatch time of the selected shipment.
No of del
Displays the number of delivery addresses that are assigned to the selected shipment.
Acc volume
Displays the accumulated volume for all lines that are assigned to the selected shipment.
Acc value
Displays the accumulated value for all lines that are assigned to the selected shipment. Note: The amount is displayed in system currency.
Sequence
This column displays the sequence numbers of the orders assigned to the shipment. The numbering differs depending on how the orders were added:

  • For orders that were assigned via the Order assignment functionality, the sequence number is the same as the sequential order in which they were entered on the Order assignment panel.
  • For orders that were added to the shipment either automatically according to the route plan or manually via the Work with unattached lines program or Select lines program, the sequence number indicates in which order the sales orders/pick lists were added.

Click Change to change the entry sequence. Then, click Re-sequence to re-number all assigned orders within the shipment in correct intervals of 10.

Sales order
This column lists the sales orders that are assigned to the shipment.
Status
This column displays the status of the sales order header for the assigned sales order.
Customer
This column displays the customer number for the assigned order.
Address line 4
This column displays the address line 4 from the delivery address for the assigned order.
Delivery sequence
This sequence number determines the print sequence on the loading list and on the route delivery list indicating the order in which the delivery addresses included in the shipment should be arrived at during the route. This column displays a zero (0), if a delivery sequence is not defined for the address.

The delivery sequence is assigned to the addresses in the following ways:

  1. For outbound shipments that are automatically created from the route plan, the delivery sequence is not automatically defined. It is determined by the destination and customer per destination specifications entered in the Work with routes or Work with route list routines.
  2. For outbound shipments that use the Order assignment functionality the delivery sequence is automatically assigned to the addresses in the order that the sales order numbers/pick list numbers were entered.
  3. Shipments that are assigned lines via the Select lines program or via the Work with unattached lines program will not automatically receive a delivery sequence. If a loading list and/or a route delivery list are printed for such a shipment, then the delivery sequence can be manually entered.

To change or add the delivery sequence for a delivery address, you have the following options:

  • Click Addresses on the Outbound shipments, Headers panel and then click Change.
  • Use the Delivery addresses function on the Assigned orders main panel and then click Change.
  • Use the Retrieve delivery seq function on the Delivery addresses panel to retrieve a value from the destination and the customers per destination information in the route plan.
Customer name
This column displays the customer name of the assigned order.
Address line 1
This column displays the text that was defined on the first line of the customer’s delivery address.
Address line 2
This column displays the text that was defined on the second line of the customer’s delivery address.
Address line 3
This column displays the text that was defined on the third line of the customer’s delivery address.
Accumulated weight
This column displays the accumulated weight for the assigned order.
Accumulated volume
This column displays the accumulated volume for the assigned order.
Accumulated value (system currency)
This column displays the accumulated value of the assigned order. Amount in system currency.
Accumulated value (reporting currency)
This column displays the accumulated value of the assigned order. Amount in reporting currency.
Lines with status < 30
This column displays the number of sales order lines with status less than 30 for the assigned order.
Lines with status = 30
This column displays the number of sales order lines with status equal to 30 for the assigned order.
Lines with status > 30
This column displays the number of sales order lines with status greater than 30 for the assigned order.
Held
This column denotes if the assigned sales order is held.

Function keys

Shipment no
Displays the shipment number and the description of the selected outbound shipment.
Customer
Displays either:

  • All – if this program was accessed for a whole shipment,

    or

  • the customer number and the name for the delivery address – if the program was called for a specific delivery address.
Address no
Displays either:

  • All – if this program was accessed for a whole shipment,

    or

  • the address number for the delivery address – if the program was called for a specific delivery address.
Warehouse
Displays the warehouse that the goods will be dispatched from.
Disp date
Displays the date that the goods will be dispatched to your customer.
MOT
Displays the manner of transport specified for the selected shipment.
Sales order
Displays the selected sales order number.
Order status
Displays the sales order status.

Entry seq
Displays the entry sequence value for the selected sales order, but can be changed.

  • For an order that was assigned through the Order assignment functionality, the sequence number is the same as the sequential order in which it was entered on the Order assignment panel.
  • For an order that was added to the shipment either automatically according to the route plan or manually via the Work with unattached lines program or Select lines program, the sequence number indicates in which order it was added.

Note that during Order assignment, situations may occur where several lines receive the same entry sequence. If that happens, then you are able to split the lines according to, e.g. delivery address or pick list. If you change the entry sequence, then click Re-sequence on the Assigned orders main panel to re-number all assigned orders within the shipment in correct intervals of 10.

Pick list
Displays the selected pick list number.
Delivery seq
This sequence number determines the print sequence on the loading list and on the route delivery list indicating the order in which the delivery addresses included in the shipment should be arrived at during the route. If a delivery sequence is not defined for the address, then this field is blank.

The delivery sequence is assigned to the addresses in the following ways:

  1. For outbound shipments that are automatically created from the route plan, the delivery sequence is not automatically defined. It is determined by the destination and customer per destination specifications entered in the Work with routes or Work with route list routines.
  2. For outbound shipments that use the Order assignment functionality the delivery sequence is automatically assigned to the addresses in the order that the sales order numbers/pick list numbers were entered. If two lines have the same delivery address, then they will be assigned the same delivery sequence.
  3. Shipments that are assigned lines via the Select lines program or via the Work with unattached lines routine will not automatically receive a delivery sequence. If a loading list and/or a route delivery list are printed for such a shipment, then the delivery sequence can be manually entered.

To change or add the delivery sequence for a delivery address, you have the following options:

  • Use the Retrieve delivery seq function on the Outbound shipments, Headers panel to retrieve a value from the destination and the customers per destination information in the route plan.
  • Use the Delivery addresses function on the Assigned orders main panel.
  • Click Addresses on the Outbound shipments, Headers panel.
Customer
The customer number is retrieved from the shipment’s delivery address.
Address number
The address number is retrieved from the shipment’s delivery address.
Address
The address information is retrieved from the shipment’s delivery address. Note that state/province code and county code is displayed, if applicable.
Country
The country code is retrieved from the shipment’s delivery address.
Destination
The destination code is retrieved from the shipment’s delivery address to identify the delivery point (e.g., stop).

Accumulated

Weight
Displays the accumulated weight for the shipment lines of this order. Note: The unit for weight may differ depending on what is defined in the DIS control file.
Volume
Displays the accumulated volume for the shipment lines of this order. Note: The unit for volume may differ depending on what is defined in the DIS control file.
Value
Displays the accumulated value for the shipment lines of this order. Note: The amount is displayed in system currency.

Function keys

Sales order/Pick list Toggle this function key to assign either a sales order or a pick list number to the shipment.

Seq
Defaults a sequence number, but can be changed. Based on the entered sequence, the new sales order you specify on this panel will be assigned the corresponding delivery sequence.
Sales order/Pick list
The name of this field differs depending on the entry mode you have selected by toggling Sales order/Pick list. Enter either a sales order or a pick list number to be assigned to the outbound shipment. Note that the sales order type used must be defined for Shipment preparation.
