This panel is displayed if any information is incorrect or missing at quotation header level during the creation of sales quotation from customer requests for quotes from the DI database. Fields that contain erroneous information will be highlighted and a message will be displayed.
The quotation header panel contains customer information that is mainly retrieved from the Business partner file.

- Customer
- Displays the customer number and description for the quotation.
- Quot val
- Displays the total value of the quotation lines, after deduction of quotation header discount, and including VAT (if applicable). Free-of-charge quotation lines are not included.
- Quotation no
- Displays the temporary quotation number that was assigned during the creation process.
- Quot type
- Displays the quotation type.
Type Description 1 The quotation normally results in an order when the quotation is accepted. 2 The quotation normally results in a contract. 3 This quotation type is used to identify a service quotation and can only be specified if DC1 Service is installed and activated. 4 This quotation type is similar to type 1, but it does not allow lost sales processing. Note: When a type 4 quotation is copied to a sales order, the quotation line(s) remains open and can be copied again to a new sales order. Therefore type 4 can be used as a template.
- Currency
- Displays a code from the Currency table indicating the currency for the quotation. An exchange rate for the period and level specified in the DIS control file must, however, exist in the Exchange rate table. Otherwise a message will be displayed.
- Quot date
- Displays the creation date of the quotation, but can be changed.
- Language
- Displays the language code for this customer from the Business partner file, but can be changed. This code indicates which of the different languages, stored per item, should be used and also which of the different lead texts for external documents should be printed.
- Text code
- Enter a code from the Standard text table, indicating the text to be displayed on the documents associated with this quotation.
- Expiry date
- Mandatory entry. Enter the last date for which the quotation is valid. The prospect must decide by this date whether or not to accept the quotation. This information is used as a criteria in the Reorganise quotation file program.
- VAT based
- Indicates if this is a VAT based customer, as defined in the Business partner file.
- VAT handl cd
- In normal situations, this field should be blank (regardless of the value in the VAT based field above) because the VAT handling code on the quotation line controls the VAT handling. However, in those situations where you want to change the entire quotation, this field should be completed. The system will send a message asking if you want to change the VAT handling code on existing lines or not. If you do not want to change the code for existing lines, new lines entered from now on will get the code defined in this field.
Note: If a sales order line is generated from a sales quotation, the VAT handling code is always retrieved to the order line, if the Get new prices field on the Copy to sales order selection panel is set to NO.
- Pricing date
- Displays the date used to price the sales quotation lines, but can be changed. By default, current date is taken as the Pricing date.
- Order type
- Enter a code from the Order type table. An order type must be entered if order type is active as key in the Sales pricing & discount methods file, otherwise the correct sales price might not be retrieved.
- Warehouse
- A code defined for the customer is automatically retrieved from the Sourcing policy table. The code is used as a default value when the quotation is copied to a sales order, but can be changed. Since the country, in which the warehouse is located, controls the VAT handling; when changing the warehouse, the system will send you a message asking if you want the system to check if the VAT handling code should be changed for existing lines or not, if needed.
- Handler
- Enter a code from the Signature table, indicating the handler’s reference of this quotation.
- Price list
- Displays the price list used for this quotation, but can be changed. This is retrieved for the customer from the Customer file, if one is defined. If no price list is assigned to the customer, the Standard price list (defined in the DIS control file) will be used and this field will be blank. When DC1 runs the main pricing program it will use this Standard price list as the starting point for calculating any prices or discounts as it needs a starting price in the event that it encounters only discounts in the Customer contracts and Sales pricing methods.
- Salesman
- Enter a code from the Signature table, indicating the salesman of this quotation.
- Calc insur
- Indicates if the insurance is to be calculated by the system. The value is retrieved from the Customer file. If there is a record in the Insurance table that matches the Manner of transport and/or the Terms of delivery and/or the Customer number on this quotation, a percentage will be retrieved from the Insurance table and displayed in the Insurance % field on this panel.
The insurance value is calculated as:
(Insurance % * total of the quotation lines) / 100
- Fax
- Indicates if the quotation should be sent by fax to the customer. The code is retrieved from the Fax quotation field in the Business partner file but can be changed. If set to YES, a valid fax number from the Fax/phone number file must be entered in the Fax numberfield. The Fax/phone number file is maintained via the Business partner file.
- Promotion
- This field is only displayed if at least one open sales promotion exists that is flagged for promotion pricing. Displays the promotion. When promotion is entered, the sales quotation header is flagged as being promotion priced, and the entered promotion is used to price the lines on the sales quotation. Existing lines are not automatically re-priced.
- Insurance %
- If the Calc insur field on this panel is set to YES, a percentage can automatically be retrieved from the Insurance table and displayed here. A percentage can instead be entered manually if the Calc insur field on this panel is set to YES.
Since the insurance percentage can depend on the Manner of transport code and the Terms of delivery code, which is determined in the Insurance table, the percentage can be changed if you change these codes on this panel.
The insurance value is calculated as:
(Insurance % * total of the quotation lines) / 100
- Fax number
- Enter a fax number from the Fax/phone number file if the Fax field is set to YES. The Fax/phone number file is maintained via the Business partner file.
- Paper copy
- If the Fax field is set to YES, you can set this field to YES to also get a printout of the quotation.
- Reference
- Enter the name of the contact person for this quotation.
- TOP
- Enter a code from the Terms of payment table in the first field. When you click OK, the predefined text for this code will be retrieved and displayed in the second field. An alternative is to enter 999 in the first field. Then you can enter a text of your own choice in the second field.
- Credit days
- If you entered any text in the Terms of payment field, you must enter the number of credit days allowed before which the invoice must be paid.
- TOD
- Enter a code from the Terms of delivery table in the first field. When you click OK, the predefined text for this code will be retrieved and displayed in the second field. An alternative is to enter 999 in the first field. Then you can enter a text of your own choice in the second field.
- Curr clause
- MOT
- Enter a code from the Manner of transport table in the first field. After clicking OK, the predefined text for this code will then be retrieved and displayed in the second field. An alternative is to enter 999 in the first field, after which a text of your own choice can be entered in the second field.
- Prt curr cl
- Contract fr
- If the quotation is type 2, enter the starting date from when the contract is valid.
- Contract to
- If the quotation is type 2, enter the ending date of the contract.
Sales quotation creation from DI, Quotation line control (DMR48502)

- Customer
- Displays the customer number and description for the quotation.
- Quot val
- Displays the total value of the quotation lines, after deduction of quotation header discount, and including VAT (if applicable). Free-of-charge quotation lines are not included.
- Quot type
- Displays the quotation type and description for the quotation.
- Quotation no
- Displays the temporary quotation number that was assigned during the creation process.
- Job
- Only displayed if DC1 Service is installed and activated. Displays the job number if quotation is a service quotation.
- Line
- Enter a number to identify a line. This can be manually defined or automatically created by the system. If created by the system, the line number will be created in increments of 10.
- Type
- Enter the quotation line type to be used:

- Item
- Displays the item to be quoted.
- Quantity
- Enter the quantity of the item being sold. How the quantity can be entered depends on the Unit defined/retrieved for the item. The following applies:
If the following is true:
- the DE-UNIT (Display/Entry unit Handling) function is activated in the Function control file
- a Display/Entry unit is defined/retrieved for the item
- delimiter handling has been set up in the system (DIS control file) and selected for the item (the Display/Entry segmnt field is set to YES in the Item file/Inventory information panel)
You can enter the quantity for dual units (i.e. mix the quantity for the Display/Entry unit and Stock unit, separated by the defined delimiter). See About display/entry unit handling for more information.
If the above is not true, you can enter the quantity as you normally would. If the quantity requires decimals, the decimal sign should be entered along with the decimal amount. A maximum of three decimals is allowed. Valid number of decimals for this item was defined in the Item file.
The following applies:
If the following is true:
- the DE-UNIT (Display/Entry unit Handling) function is activated in the Function control file
- a Display/Entry unit is defined/retrieved for the item
- delimiter handling has been set up in the system (DIS control file) and selected for the item (the Display/Entry segmnt field is set to YES in the Item file/Inventory information panel)
the Display/Entry unit will be defaulted or can be entered. This allows you to enter the quantity for dual units (i.e. mix the quantity for the Display/Entry unit and Stock unit, separated by the defined delimiter). See About display/entry unit handling for more information.
If a Display/Entry unit together with delimiter handling is not defined for the item, the Default sales unit is defaulted from the Item file, if one exists, but can be changed.
- Price
- Displays the sales price of the item in transaction currency.
- Currency
- Displays the currency code entered on the initial panel. If nothing was entered there, displays the customer’s currency. To change the currency code, this must be done on the initial panel before any quotation lines are entered. An exchange rate for the period and level specified in the DIS control file must, however, exist in the Exchange rate table. Otherwise a message will be displayed.
- Prc unit qty
- Only displayed if the PRCUNIT (Price unit handling) function is activated in the Function control file. Displays the price unit quantity (i.e. the sales quantity presented according to the price unit). See About price unit handling for more information.
- Prc unit
- Only displayed if the PRCUNIT (Price unit handling) function is activated in the Function control file. Displays the unit in which the price is presented. See About price unit handling for more information.
- Ctrb ord sum
- Whether or not a line is included in the order summary calculation depends upon two flags. The first is this flag (contribute to order summary) and is item related. The other is the Order sum disc flag and is price related.
This flag is retrieved from the Item file and written to the order/quotation line during line entry. It can be maintained. It controls if the line contributes to the summary of quantities and amounts in the basket qualification and the order summary discount calculation. This flag at the same time controls if the line benefits from any order line summary discounts (O-type) and header discounts (H-type). All lines that do not contribute to the order summary will NEVER benefit from it, in other words no order line summary discounts will be applied and no header discount will be apportioned over these lines.
- FOC
- Indicate if the quotation line will be free of charge.
- Shipment mrk
- Enter the text for shipment marking.
- Description
- Indicate if the extended item description is to be printed on the quotation printout for this quotation line. If set to YES, the description must exist in the item’s Extended item description file. In addition, the Oq field in same file must be set to YES.
- VAT based
- Indicates if this is a VAT based item, as defined in the Item file. You may change this code, in which case the quotation line value will be recalculated by the system. If the same field in the quotation header is set to NO, i.e. the customer is VAT free, this VAT based code will be overridden by the quotation header level VAT based code.
- VAT handl cd
- Displays the VAT handling code to apply to the sales price of the item, as defined via the system search as follows:
- Business partner VAT table.
- Item file, Country/Country VAT information panel
- Country/Country VAT table
- DIS control file
You may change this code to another code from the VAT handling code table, in which case the quotation line value will be recalculated by the system.
If a VAT handling code is entered on quotation header level, that will override the value here.
- VAT included
- Indicates if VAT is included in the sales price of the item, as defined in the Item file. You may change this code, in which case the quotation line value will be recalculated by the system.
- Incl VAT% cd
- Enter the VAT handling code for the VAT percentage, if any, which is included in the sales price. If the VAT included field is set to NO, this field must be blank. If the VAT included is set to YES, enter a code from the VAT handling code table.
- Cost price
- Only displayed if the item is a fictitious item. Enter the cost price of the item, indicating the stock value. The cost price is used, for example, when calculating the profit margin of the order line. If you are authorised, the calculated margin is displayed in the Gross margin field on this panel.
Sales quotation creation from DI, Quotation address control (DMR48503)
This panel is displayed if any information is incorrect or missing at quotation address level during the creation of sales quotation from customer requests for quotes from the DI database. Fields that contain erroneous information will be highlighted and a message will be displayed.
The quotation address panel contains customer information that is retrieved from the Business partner file.
- Customer
- Displays the customer number and description for the quotation.
- Quot val
- Displays the total value of the quotation lines, after deduction of quotation header discount, and including VAT (if applicable). Free-of-charge quotation lines are not included.
- Quotation no
- Displays the temporary quotation number that was assigned during the creation process.
- Address
- Displays the customer’s main address from the Business partner file, but can be changed. This address is used as the quotation address. Enter the number of the quotation address in the first field. After clicking OK, the predefined text for this number is displayed in the address text line fields.
- Address category
- Enter an address category from the Address category table. If a sales restriction exists with this address category as a sell to key, the sale to this delivery address will be restricted. The handling of the order is dictated by the degree of severity placed on the sales restriction.
- Country
- Only displayed if the EU reporting function is activated. Displays in which country the address is located. Note: If changing the country manually, you must enter 999 in the Address number field on this panel.
