Work with roles (GDMD02401)

In this program, you create and modify roles to which you can add users. Roles are helpful in that you can set up a number of conditions or rules which can apply to several users. Once this role has been created, the rules that govern this will be generic to all the users that are later added.

Roles are used in the following ways:

  1. In DC1 Alert Management you create a role if you wish a group of people to receive messages that relate to one event. In turn, users are associated to this role and will receive messages concerning this event. This saves you from having to create the same set of criteria for each user, when there are several users who require notification about the same event.
  2. For the Customer Management Console (CMC), you create a role to allow only those users who are added to it to view only certain information in this routine’s enquiry features.
  3. For a business partner, roles are pre-established to indicate certain functions in the company and to which you can attach contact persons.

Options

Users Only applicable if DC1 Alert Management is installed and activated. Select this option to add users to the role or to view users that are activated for the role.
Translate Select this option to translate the role.
Select CMC view Select this option to set up a CMC view for the role.

Selection fields

Role
This column displays the roles that have already been configured in the system and lists them by the name that they have been allocated.
Description
Under this column heading a description of the configured roles are listed.
Type
Under this column the type of role that each record is subject to is indicated.

The following types exist:

Type Description
1 This is a user-defined type to which you can add users from Work with DC1 user profiles.
2 This type is pre-loaded and is used when only one user is required as the receiver. This may also be referred to as the DC1 role. The signature user for this role is automatically found using a fetch program from Work with DC1 user profiles and the DC1 database. Therefore, you are unable to manually add new users to this type.
3 This type is a Business partner related role. The contact person for this role is found from the Contacts table using a fetch program. There are several preloaded roles of this type, but you may create more. Each of the preloaded roles represents panels in the Business partner file. You attach the contact(s) that are to be valid for the role via the Contacts option on the Work with business partners main panel. See About working with external contacts for more information.
CMC view
If this column is set to YES, it indicates that a CMC view is set up for the selected role. The information contained under this view is accessed through the Customer Management Console (CMC). Note: If a user is connected to a role that has no CMC view pertaining to it, that user will not have access to the CMC.
Req wf
Only applicable if DC1 Requests and Returns is installed and activated. If this column is set to YES, it indicates that the role is valid to be used as handler for request workflow.
Bp type
This column is only applicable for roles of type 3 (business partner related role). It denotes to which business partner type the role belongs. Roles defined for BP type 1 will be for customer and type 2 will be for supplier. Roles with these types will also be valid for business partners with type 3. If a role is defined for BP type = 3, it will however only be valid for business partners with type 3.

Role id
Enter a name that will identify this new role. This is a mandatory field and may not be changed for existing records.
Description
Enter text that will describe this new role. This field may be changed for existing records.
Role type
Enter the type to which this role will apply.

The following types exist:

Type Description
1 This is a user-defined type to which you can add users from Work with DC1 user profiles.

Fetch program
If Role type above is 2 och 3, a fetch program must be allocated in this field. The fetch program is used to automatically assign a signature from the DC1 database and Work with DC1 user profiles, as the single receiver for an event, or to assign a business partner contact from the Contacts table.
Valid for req workf
Only applicable if DC1 Requests and Returns is installed and activated. Indicate if this role is valid to be used as handler for request workflow.
Bp type
This field is only applicable for roles of type 3 (business partner related role). Indicate to which business partner type the role belongs. Roles defined for BP type 1 will be for customer and type 2 will be for supplier. Roles with these types will also be valid for business partners with type 3. If a role is defined for BP type = 3, it will however only be valid for business partners with type 3.
