Work with system/custom/distributed balance types (ANLD10101)

In this program you can maintain balance types. Balance types, (i.e. one of the components in the DC1 BIW function), allow you to track balance values (i.e. costs, quantities, amounts, assets, etc) for specific DC1 transactions/events. Each balance type is associated with a base level. The base level determines which keys are available for use in the DC1 BIW function for the specific balance type. This information is defined in the System base levels table.

Balance types are used in the following enquiries/modules/functions to extract the applicable balance value: Balance/Budget enquiry, Balance/Budget query groups enquiry, Budgets, Profitability Analysis, Report Writer and Group reporting function.

There are three different types of balance types:

  • System balance types: There are 400 reserved System balance types, of which a significant number are pre-loaded at installation. The number range is 001-399. You can only add or delete these types if you have DC1 Administrator authority.
  • Custom balance types: The number range is 400-599. In the event of customer modifications, you can manually create (customise) up to 200 of these types, using them, e.g., to accumulate values from any external system.
  • Distributed balance types: The number range is 600-999. You can manually create up to 400 of these balance types and retrieve values and keys from existing balance types to distribute accross the Distributed balance type. Note: A Distributed balance type can be distributed across both System and Custom balance types.

Balance types for VAT: Only the original VAT amount for an invoice will update the VAT balance types 315, 316, 325 and 326 for customers and suppliers. This means that if a cash discount is given, that includes VAT refunding, this VAT amount will not be deducted from the VAT balance types.

Type
This column lists the existing balance types.

Alias
This column lists the names of the existing balance types.
Act
Indicates if the related balance type is active (possible to use).
Level
This column lists the base levels defined for the existing balance types.
Group
Displays the balance group to which the related balance type is assigned.

On this panel you enter or maintain balance types.

Note: You can only add or delete System balance types if you have DC1 Administrator authority.
Description
Column heading
Enter a column heading description for the balance type.
Alias name
Enter a name for the balance type.
Decimals to display
Mandatory entry. Enter the number of decimals to display for this balance type. This information is used in the Balance enquiry program. A maximum of 4 decimals can be defined.
Base level
Mandatory entry. Enter the base level for this balance type. Note: Once you assign a base level to a balance type, and the system begins storing statistics based on it, you cannot change the level.
Balance group
Mandatory entry. Enter to which balance group this balance type should be assigned.
Active
This field is mandatory. Indicate if the balance type should be activated (possible to use). Note: Once you activate a balance type, and the system begins storing statistics based on it, you cannot deactivate it.
Use total no of per
This field is mandatory. Indicate if the total number of periods should be used in G/L control file. If this field is set to NO, the normal number of periods in G/L control file will be used.
Consolidation type
This field is only applicable if the Group reporting function is being used in the system. The group reporting function provides cross company analysis, allowing corporate entities a global view of sales, etc., for each of their legal entities. When BIW transactions are transferred from each Originating company to the Corporate company, the information goes through a consolidation process including, e.g., currency translation, period mapping, key value conversion, key mapping, key value validation, etc.

In this field you enter the applicable type indicating the default for how the balances should be consolidated (converted).

Valid types are:

Code Description
1 Current exchange rate
2 Average exchange rate
3 Historic exchange rate

Note: If any Consolidation type was defined for the applicable Main account in the Work with chart of account program that value will override this default value for the applicable balance type.

Amount in sys cur
This field is only applicable if the Group reporting function is being used in the system. Indicate if the balance type is defined as System currency amounts. If YES, it will be used during the Consolidation process to calculate a new System currency amount, using the applicable exchange rate (as defined in the Consolidation type field above), when BIW transactions are transferred from the Originating company to the Corporate company.

Distributed balance control

This heading and the fields below it are only displayed if you are maintaining Distributed balance types.

Value retrieval pgm
This field is only displayed if you are maintaining Distributed balance types. Enter the name of the program to be used for retrieving values for this distributed balance type. If this field is completed, the Calculation field has to be blank.
Calculation
This field is only displayed if you are maintaining Distributed balance types. Enter the calculation to retrieve the values to be allocated to this balance type. If this field is completed, the Value retrieval pgm field has to be blank.

You enter a formula that consists of balance types from which the values to allocate are to be retrieved. Balance types are stated in the format BXXX, where XXX is the balance type number. You can also use logical operators (<,>,=,<=,>=), where the value preceding the operator is checked against the value after the operator. If it is false the value preceding the operator will be zero.

You can add a comment to the formula. A comment must be preceded by an exclamation mark (|).

Displays the balance type(s) you selected to copy.
Alias name
Displays the name(s) of the balance type(s) you selected to copy.

New type
Enter the new balance type you are defining.
New alias name
Enter a name for the new balance type.
