Work with balance enquiry templates (ANLD10701)

The balance enquiry template controls the behaviour of the Balance/Budget enquiry program. You customise each template, defining the columns you want to display, (basing them either on balance or budget information), and the keys that you want to use for selection. This, thereby, allows you to retrieve just the information that is relevant. You can use the template in the ‘normal’ Balance/Budget enquiry program and/or the Balance/Budget query groups enquiry, which is accessed through the Balance/Budget enquiry.

You can also connect a default transaction enquiry program to the template or, alternatively, make a selection after generating the applicable enquiry. Regardless, this feature allows you to go straight to the balance details of the applicable transactions. You, currently, can choose to drill down to the following transaction enquiries:

  • DIS invoice enquiry
  • A/P transaction enquiry
  • A/R transaction enquiry
  • G/L transaction enquiry

Note: To ensure the retrieval of data during the running of the enquiry, a summary level should have previously been generated for the key or key combination you defined in the template.

Examples of keys and summary levels needed

  • You want to analyse balances for a particular customer only – a summary level must exist on customer
  • You want to analyse balances for the key combination Customer/Item – a summary level must exist for this key combination
  • You want to analyse the profit and loss for cost centres – a summary level must exist for main account and cost centre

Selection fields

Template
This column lists the existing balance enquiry templates.
Description
This column lists the description of the balance enquiry templates.
Secured
This column denotes if the balance enquiry template is secured, i.e. only users that are allowed access to the template may use it.
Transaction pgm
This column lists the transaction program that will be accessed when using this template in the Balance/Budget enquiry or Balance/Budget query group enquiry.

Template number
Description
Secured
Set this field to YES if you want to secure this template so that only users that are allowed access to the template may use it. Use the Maintain balance enquiry template security program to grant access. The person who creates a secured version is automatically granted access. If you do not want to secure the template, keep the NO setting.
Transaction program
Enter the transaction program you want to access when using this template in the Balance/Budget enquiry or Balance/Budget query group enquiry. When you click Transactions to access the transactions in the Balance/Budget enquiry, alternatively, drill down on sub-totals in the Balance/Budget query group enquiry, you will automatically drill down to this default program.

Depending on what has been defined in this field, you can drill down to view the specific balance transactions. If a default transaction enquiry program for the template has been defined, you will directly access that enquiry. If no default has been defined, and the balance types entered on the template belong to the same transaction program, the correct enquiry program will be called. If not, you will access a panel where you can select either of:

  • DMR121 (DIS Invoices)
  • FKC505 (A/R Transactions)
  • FLR016 (A/P Transactions)
  • FMR500 (G/L Transactions)

Note: If you are only using balance types within one balance group for defined columns, you should normally enter a default transaction program. But if the balance types for your columns span different balance groups, you should leave this field blank. This is so that you can access all currently available transaction enquiry programs from your generated Balance/Budget enquiry and/or Balance/Budget query group enquiry.

Type
Enter a column type for each column. To browse those available, click the Valid column types function key. The column type defines the type of value that will be presented in each column in the Balance/Budget enquiry.
Column heading
Enter the name for the column. If you leave this field blank, the system will retrieve the description of the balance type from the Balance type table.
Balance type alias
Enter the balance type alias from the Balance type table for each column.
Year
Enter the year for each column from which the balance or budget values are to be retrieved.
Budget
If you entered a budget type for a column, you must enter a budget number to tell the system from where to retrieve the budget information.

Template
Displays the balance enquiry template(s) you selected to copy.

New template
Enter a code to identify the new balance enquiry template you are adding.

Work with balance enquiry templates, Deletion (ANLD10708)

Work with balance enquiry templates, Valid column types (ANLD10711)

This panel displays the valid column types that can be defined for the columns on the previous panel. Choose the code that represents the value you want for a specific column, and click OK to return to the previous panel.
