Work with item classification definition (DMR16001)

This file is the hub where the entire Item classification set-up process is tied together. This is where you link the values of the different grouping structure entities together, thereby creating a unique Item classification entity.

For each Item classification definition that you create, you start by entering the applicable value for the Item classification profile 1 entity. Since this entity has already been linked to a Group, the system will retrieve the Group (and subsequently Main group, as the Group has also already been linked to a Main group). The characteristics that have been activated for the Item classification profile 1 will be displayed along with any default values that you may have defined for the characteristic in the Work with Item classification profiles file. You then continue by entering the Item classification profile 2 entity. If any characteristics have been activated for this entity in the Work with Item classification profiles file, they will also be displayed, along with any default values that may have been defined.

You can also, optionally, define other information which will automatically be generated with your item when you apply the Item classification definition in the Item file. This includes the following:

  • Item code, Item description, Extended item description, Internal item description and Item foreign description. You do this by clicking the Layout option where you then design the layout of this basic item-related information by combining preloaded elements. See Layout definitions in Item Classification for more information.
  • Unit(s) applicable for any item that will belong to the grouping structure, and (if applicable) use formulas to calculate unit information that varies from item to item, such as weight, volume and conversion factors. (Several units can be generated for one item). See Unit formulas in Item Classification for more information

    Note: Units and Item code/Description(s) are applied/generated when an item is created.

  • Base sales and purchase prices to be applied upon any item grouped within the applicable grouping structure (i.e. Item classification definition). In addition, it allows you to use characteristics and items to define pricing exceptions where, depending on the entered criteria, items might receive a different base purchase / sales price than the one defined as the standard for any item belonging to the applicable grouping structure.

    Note: Unlike the unit and item code/description generation, prices are generated and applied AFTER item creation from the applicable item classification definition. This is because the pricing routine requires the item to be completely created before any pricing calculation can be applied.

Options

Layouts Select this option to design the layout of your basic item-related information should you want to automatically generate this information together with the item. The information that you can automatically generate includes the Item code, Item description, Extended item description, Internal item description and Item foreign description.
Note: In regards to the Extended and Foreign descriptions of the item, if any element within the layout (e.g., the description of a characteristic value) has been translated, the translated value will be used when generating the Extended/foreign item description in the applicable language.
Units Select this option to define the unit(s) applicable for any item to belong to the group structure, and (if applicable) use formulas to calculate unit information that varies from item to item, such as weight, volume and conversion factors. (Several units can be generated for one item).
Standard purchase prices Only displayed if the CLA-COPR (Classification costing/pricing) function is activated in the Function control file. Select this option to define standard purchase prices for the item. These prices can be generated and applied AFTER item creation from the applicable item classification definition. This is because the pricing routine requires the item to be completely created before any pricing calculation can be applied.
Standard sales prices Only displayed if the CLA-COPR (Classification costing/pricing) function is activated in the Function control file. Select this option to define standard sales prices for the item. These prices can be generated and applied AFTER item creation from the applicable item classification definition. This is because the pricing routine requires the item to be completely created before any pricing calculation can be applied.

Selection fields

Item classification profile 1
The name of this column depends on what has been set up in the DIS control keys file for the Item related key that was chosen to represent the Item classification profile 1 entity of the grouping structure (defined in the DIS control file). This column lists the Item classification profile 1 codes connected to the Group/Main group in the grouping structure of the created Item classification definitions.
Item classification profile 2
The name of this column depends on what has been set up in the DIS control keys file for the Item related key that was chosen to represent the Item classification profile 2 entity of the grouping structure (defined in the DIS control file). This column lists the Item classification profile 2 codes connected to the Group/Main group in the grouping structure of the created Item classification definitions.
Group
The name of this column depends on what has been set up in the DIS control keys file for the Item related key that was chosen to represent the Group entity of the grouping structure (defined in the DIS control file). This column lists the Group codes of the created Item classification definitions.
Main group
The name of this column depends on what has been set up in the DIS control keys file for the Item related key that was chosen to represent the Main group entity of the grouping structure (defined in the DIS control file). This column lists the Main group codes of the created Item classification definitions.
Lay
This column is set to YES if a layout definition has been constructed for any of the supported layout codes in the Item classification definition.
Units
This column is set to YES if a unit has been defined in the Item classification definition.
SPP
Only displayed if the CLA-COPR (Classification costing/pricing) function is activated in the Function control file. This column is set to YES if standard purchase prices have been defined in the Item classification definition.
SSP
Only displayed if the CLA-COPR (Classification costing/pricing) function is activated in the Function control file. This column is set to YES if standard sales prices have been defined in the Item classification definition.

On this panel you link the values of the different grouping structure entities together, thereby creating a unique Item classification entity.

For each Item classification definition that you create, you:

  1. Start by entering the applicable value for the Item classification profile 1 entity. Since this entity has already been linked to a Group, the system will retrieve the Group (and subsequently Main group, since the Group has also already been linked to a Main group). The characteristics that have been activated for the Item classification profile 1 will be displayed in the bottom part of the panel along with any default values that may have been defined for the characteristic in the Work with Item classification profiles file.
  2. You then continue by entering the Item classification profile 2 entity. If any characteristics have been activated for this entity in the Work with Item classification profiles file, they will also be displayed, along with any default values that may have been defined.

Main group
The name of this field depends on what has been set up in the DIS control keys file for the Item related key that was chosen to represent the Main group entity of the grouping structure (defined in the DIS control file). The system retrieves the main group to which the group belongs.
Group
The name of this field depends on what has been set up in the DIS control keys file for the Item related key that was chosen to represent the Group entity of the grouping structure (defined in the DIS control file). The system retrieves the group to which the Item classification profile 1 belongs.
Item classification profile 1
The name of this field depends on what has been set up in the DIS control keys file for the Item related key that was chosen to represent the Item classification profile 1 entity of the grouping structure (defined in the DIS control file). Enter the profile 1 code that is to be part of this Item classification definition. After pressing enter, the Group and subsequently Main group to which it belongs will be retrieved. The characteristics activated for the Item classification profile 1 will also be displayed on the bottom part of the panel. If any default value has been defined for the characteristic it will also be displayed.
Item classification profile 2
The name of this field depends on what has been set up in the DIS control keys file for the Item related key that was chosen to represent the Item classification profile 2 entity of the grouping structure (defined in the DIS control file). Enter the profile 2 code that is to be part of this Item classification definition. After pressing enter, the characteristics activated for the profile 2 code will be displayed on the bottom part of the panel. If any default value has been defined for the characteristic, it will also be displayed.
Characteristics
The system will retrieve and display all characteristics (the description) that have been activated for the Item classification profile 1 and 2 codes.
Default values
If any default values have been defined for the characteristics (in the Work with Item classification profiles file) they will be displayed here.
