This program allows you to create new budgets for a specific year and balance type, or for a specific year and all balance types. You can create a budget by copying an existing budget.
Create
In the fields below, enter the necessary parameters to create a new budget.
- Budget
- Enter a code from the Budget description table, indicating the budget you are about to create.
- Year
- Enter the year for the budget that you are about to create.
- Balance alias
- If you want to create a budget for a specific balance type only, enter a valid code from the Balance type table. If you leave this field blank, the system creates a budget for each existing balance type in the source from which you are copying.
- Reset whole budget
- This field is set to NO by default, meaning that the old existing records for the budget you are creating will be kept/maintained. If you wish to clear existing budget records before creating new records, set this field to YES. If you entered a balance type in the Balance type field above, this field only pertains to that balance type. Note: This function clears the entire budget. To replace specific records only (i.e. for a balance type), leave the NO setting in this field and choose the Replace option in the Action to take if already exists selection below.
Create from
In the fields below, enter the parameters for the source from which you are copying.
- Budget
- Enter a code from the Budget description table, indicating the budget from which you are copying.
- Year
- Enter the year of the budget from which you are copying.
- Period from-to
- Enter the periods of the budget from which you are copying. If nothing is entered in the From field the first period from the G/L control file is retrieved. If nothing is entered in the To field the last period from the G/L control file is retrieved.
Using
In the fields below, enter the additional parameters for creating the budget.
- Mult factor
- If you want the new budget to be based on a multiple of the basis that you entered above, enter the factor in this field. For example, if you enter the value 2, the new budget will be twice the basis values. A multiplication factor can be combined with a budget curve.
- Budget curve
- Enter a code from the Budget curve table, if you want the new budget values to be distributed over the periods according to the weights of a specific budget curve.
Action to take if already exists
The fields below are only relevant if the Reset whole budget field above was set to NO. During budget copy, budget values may already exist for a specific key combination. If this occurs, there are three different ways of handling that situation. Only one of these fields may be set to YES.
- Ignore
- Indicate if you want to keep the old values.
- Replace
- Indicate if you want to replace the old values with the new values. This function replaces ALL periods for a record. If you want to combine two budgets(or budget and balance) in a budget you have to do this in two steps. The first step is to set this field to YES and a period selection (e.g., 1-3) in the Period (from to) field. This will create a budget with values in the periods selected. The values in the non-selected periods will be zero. The second step is to set the Accumulate field to YES to accumulate the periods that were not selected in the previous creation. Note: To clear all records in the budget, set the Reset whole budget field above to YES, and disregard this field.
- Accumulate
- Indicate if you want to add the old values to the new values.
Create budget from budget (ANLD7502)
This panel displays the balance types available for the selected budget number. Select the balance type to be included in the copy from budget.
Create budget from budget (ANLD7505)
This panel displays the records you have selected to update. Click OK to confirm or F12 to cancel.
