This program is used for maintaining actions. One request line can hold one or more actions. These are normally created automatically, driven by a specific resolution code. Actions can also be manually maintained via this program.
Four types of actions can be defined:
- Order: Once the actions are processed the result can be that an order is created. This can be either a sales order, service order or purchase order.
- Restock: Goods are restocked, (i.e. the quantity on the request line results in an inventory transaction). Note: Goods can also be subject to a quality control inspection prior to being restocked.
- Return document: Different return related documents are created and printed.
- Alert: An alert message is created.
The Action table is very important. Each rule outlined in this table determines how the action will be processed.

- Line
- Displays the request line number.
- Business partner

- Displays the sequence in which the resolutions will be executed. Note: The first action that will be executed is determined by the lowest sequence number, the last action must be assigned the highest sequence number (i.e. Action 10 will be executed before Action 999).
- Action
- Displays the action code (and description) that is used to resolve the problem/issue presented in the business partner’s request.
- Type of action
- Displays a code indicating the type of action being processed.

On this panel actions are defined at the detail level.
- Request
- Line
- Displays the request line number.
- Business partner
- Sequence
- This field is used to identify the sequence in which the resolutions will be executed. Enter a number that will correctly position this action in the list. Note: The first action that will be executed is determined by the lowest sequence number, the last action must be assigned the highest sequence number (i.e. Action 10 will be executed before Action 999).
- Action
- Displays the action code (and description) that is used to resolve the problem/issue presented in the business partner’s request.
- Type of action
- Displays a code indicating the type of action being processed, i.e. Alert, Order or Restock.
- Automatic processing
- Set this field to YES to allow the action to be processed automatically. Set to NO to manually initiate the action.
- Started
- Indicates if the process of resolving the request has begun.
- Start date
- Displays the date that the action was initiated.
- Start time
- Displays the time that the action was initiated.
- Completion status
- Displays a value indicating the status of the order.
- Date completed
- Displays the date that the action was successfully processed.
- Time completed
- Displays the time that the action was successfully processed.
- Action reference req
- This field is used in conjunction with the Action reference field. Indicates if a reference is required before the action can be processed.
- Action reference
- This field is used in conjunction with the Action reference req field. Displays the reference. For example, the reference might be a document that has caused a credit note to be created.
- Line dependent
- Defaults with the value that was set in the Action table. Indicate if you want the processing of a line to be dependent on the processing of another line. Any prerequisite line or action numbers are entered on the action when the action is created (in Work with requests and returns).
For example: Line dependency is typically used if your company policy is to prohibit the delivery of replacement orders before the return has been placed in stock. Since the “wrong” item and the replacement are defined on separate request and return lines, a dependency between the two lines must be established. This is done on each relevant action for the lines when working with the request in Work with requests and returns.
- Pre-requisite line
- This field is used in conjunction with the Line dependent field. This field specifies whether or not a line must first be processed before the system will allow further processing of the action you are defining on this panel. For example, goods can only be restocked once they have been returned or a credit note can only be given to a customer once they have returned their goods, and so on. Enter the order line that will be used as a pre-requisite for initiating this action.
- Action dependent
- Indicate if you want the processing of a specific action to be dependent on the processing of another action. Any prerequisite action numbers are entered on the action when the action is created (in Work with requests and returns). If you set this field to NO, but Line dependent is set to YES, then all actions for the line must be processed before the next line can be processed. This ensures that the system processes all actions in the correct sequence before another action is called to resolve them.
Note: If Sequence processing is set to YES in the Resolution table, and no pre-requisite actions are defined when the actions are created (Work with requests and returns, Actions panel) a best guess search for any prerequisites will be performed. Set to YES to allow a connection between two (or more) actions to be established. Enter NO to disallow it.
- Pre-requisite action
- This field is used in conjunction with the Action dependent field. This field specifies whether or not an action must first be processed before the system will allow further processing of the action you are defining on this panel. Enter an action that will be used as a prerequisite for initiating this action.
Work with requests and returns, Alert info (HLR03405)
- Request
- Line
- Displays the request line number.
- Business partner
- Sequence
- This field is used to identify the sequence in which the resolutions are executed. The number that is displayed is used to position the action in the list. Note: The first action that is executed is determined by the lowest sequence number, the last action has the highest sequence number (i.e. Action 10 will be executed before Action 999).
- Action
- Displays the action code (and description) that is used to resolve the problem/issue presented in the business partner’s request.
- Alert receiver
- If the system is set up to send/receive alerts (see Configure the system to send/receive alert messages) and a receiver is defined, an alert message will be sent to the receiver. Enter the ID of the employee that will receive the alert.
- Message
- Enter a message.
- Approval required
- Set this field to YES if approval is required before the next action can be processed. The receiver must approve the action via Work with AMT messages before the next action in the sequence can be processed. Set to NO if authorisation is not needed.
- Approved
- This field is set to YES if approval has been given. This authorisation is needed before the next action can be processed.
- Rejected
- This field is set to NO if approval has not been received. Authorisation is needed before the next action can be processed.
- Date approved/rejected
- Displays the date that the authorisation was either approved or rejected.
- Time approved/rejected
- Displays the time that the authorisation was either approved or rejected.

- Request
- Line
- Displays the request line number.
- Business partner
- Sequence
- This field is used to identify the sequence in which the resolutions are executed. The number that is displayed is used to position the action in the list. Note: The first action that is executed is determined by the lowest sequence number, the last action has the highest sequence number (i.e. Action 10 will be executed before Action 999).
- Action
- Displays the action code (and description) that is used to resolve the problem/issue presented in the business partner’s request.
- Warehouse
- Enter the warehouse code that the item is stocked in.
- Original net price
- This field is only displayed if the pricing method is 5 (i.e. the difference between the original price and the correct price is calculated). Displays the original net price (i.e. price minus discounts). This price is retrieved from the referenced sales order line, i.e. it is not saved on the action.
- Correct price
- This field is only displayed if the pricing method is 5 (i.e. the difference between the original price and the correct price is calculated) and is a manual entry. The correct price shall be seen as the price the customer was supposed to pay for the original dispatch, not what he really paid. If correct price is changed, the calculation (i.e. the difference between the original price and the correct price) is done and the new calculated price is re-displayed in the Price field.
- Price
- Enter the item price.
- Price unit
- Only displayed if the PRCUNIT (Price unit handling) function is activated in the Function control file. Displays the unit in which the price is presented. See About price unit handling for more information.
- Catch weight
- This field is only displayed if the CTCH-WGT (Catch weight) function is activated in the Function control file and is an extension of price unit handling. The setting in this field is retrieved from the Item file for the Item/Unit, but can be changed, and determines if you will be allowed to change the price unit quantity for the purchase or sales order line that is created from this action. - Refund %
- The price on an order line can be affected by a refund percentage. Displays the refund percentage that has been applied to the order. For example, if the normal sales price of a returned item is 100.00 (Euro), and a value of 80% is defined as a refund percentage, then the refund price will be calculated to 80.00 (Euro).
- Refund price
- Displays the refund price (a value is only displayed for order related actions).
- FOC
- Indicate if the goods are to be given to the customer free of charge.
From action table
The information displayed in the fields below is extracted from the Creation of order section of the Action table.
- Order type
- This field is used in conjunction with the Type of order field. Displays the order type that is used whenever this action automatically processes sales, service or purchase orders.
- Type of order
- This field is used in conjunction with the Order type field. Displays the order type that this action will automatically process.
- Pricing
- Displays how the goods are priced.
Created order
The information displayed in the fields below are only valid for order related actions.
- Order
- Displays the number of the order that was automatically created by the action.
- Order line
- Displays the order line number.
Currency clause
The fields below are related to Currency clause handling.
- Currency clause code
- Agreed rate
- Variant
- This field is used to determine the variant (or version) of the currency clause attributed to the item. Identifies the variant of the currency clause.
- Purchase currency
- If a currency clause is defined in the Currency clause code field (on this panel), displays the purchase currency defined for it in the Currency clause code table.
Work with requests and returns, Actions, Restock info (HLR03407)
Returned goods could be sent for a quality control inspection. If these have passed the inspection than they can be restocked in the warehouse to be sold. This panel displays all information regarding the goods that have been restocked.

- Displays the request line number.
- Business partner
- Sequence
- This field is used to identify the sequence in which the resolutions will be executed. The number that is displayed is used to position the action in the list. Note: The first action that will be executed is determined by the lowest sequence number, the last action must be assigned the highest sequence number (i.e. Action 10 will be executed before Action 999).
- Action
- Displays the action code (and description) that is used to resolve the problem/issue presented in the business partner’s request.
- Warehouse
- Displays the warehouse that the returned item is stocked in.
- QC line entry
- This field is set to YES if a quality control inspection of the goods was made at the time that the return line was entered (the system automatically brought up the QC program once the action was processed by the system). It is set to NO if the QC was performed upon reception of the goods.
- QC using QC notes
- Quality Control inspections can be made in two different ways: The first is to specify that a quality control inspection of the returned goods must be made when the return line is entered (in the QC line entry field). The second way would be to run the QC routine once the goods have been returned. Indicates if a quality control note has been printed.
- Customer return loc
- Displays a code from the Warehouse zone table indicating where the returned goods are stored.
- QC receiving loc
- Displays a code from the Warehouse zone table indicating the location where the quality control inspection of the returned goods was made.

This panel displays all information regarding the goods that have been returned.
- Request
- Line
- Displays the request line number.
- Business partner
- Sequence
- This field is used to identify the sequence in which the resolutions will be executed. The number that is displayed is used to position the action in the list. Note: The first action that will be executed is determined by the lowest sequence number, the last action must be assigned the highest sequence number (i.e. Action 10 will be executed before Action 999).
- Action
- Displays the action code (and description) that is used to resolve the problem/issue presented in the business partner’s request.
- Return note
- Set to YES to print a return note. NO is defaulted. The return note is sent back to the business partner together with the goods.
- Transport note
- Set to YES to print a transport note. NO is defaulted. The transport note is sent back to the business partner together with the goods.
- Investigation note
- Set to YES to print an investigation note. NO is defaulted. The investigation note is used to investigate availability, etc. of the ordered and delivered item. Miscellaneous information from the reference and the request is printed on the note.
- Labels
- Set to YES to print labels. NO is defaulted.
