- Create an A/P payment proposal
On this panel you enter the selection criteria for the documents to be included in the proposal. Any changes made to a document in the Maintain A/P transactions routine, after it has been included in a proposal, will not affect the proposal. For example, if you put a payment stop code on a document before you create the proposal, it will not be included, but a stop code which is imposed on a document in an existing proposal will not delete it from the proposal.
It is also possible to enter a different accounting year in First payment date and Last payment date. You can override the range of accounting periods, so that all payments will be posted to the same accounting period in the proposal, regardless of their year.
- Proposal description
- Mandatory entry. Enter a proposal description.
- First payment date
- Mandatory entry. Enter the first payment date for the documents in this proposal. Documents with a due date earlier than this date will be paid on the date you enter here. If you leave the “From” part of the Due date selection field blank, then all documents that are due will be included, taking into consideration all payment conditions. Each selected document will be proposed for payment on the date when it is the most advantageous to pay it. However, if the due date for a document falls before this selection date, then the payment date and selection date will be the same.
Note: Not applicable if you are running the British application.
- Last payment date
- Enter the last payment date for the documents in this proposal. If you leave this field blank, then the last payment date is retrieved from First payment date. If you leave the “To” part of the Due date selection field blank, then all documents up to the date in the Last payment date field are included.

- Payment date
- Enter the date on which the documents included in this proposal should be paid.
- Select on due date
- NO is defaulted indicating that the system will propose the most beneficial payment dates, including any available cash discounts. If the payment date is too late to receive any cash discounts, then documents with due dates that fall between the entered from/to due date will be included in the proposal. If YES, then all documents with due dates between the entered from/to due dates are included in the proposal.

If you leave the “To” part of the Due date blank, then it is automatically completed with the Last payment date. All documents with due date up to the last payment date are included. - Supplier number
- Priority
In these fields you can enter a range, from and to, according to the supplier’s priority. The priority for the supplier is entered in the Business partner file. - Payment mode group
Enter a code from Work with A/P payment modes. This means that you can select one group of payment modes for the proposal instead of entering them individually.Code Description 0 Domestic 1 Foreign 2 Both domestic and foreign - Payment mode
Note: Mandatory entry if you are running the Norwegian application. If not all payment modes are selected, then only those suppliers for which the selected modes are activated will be included. Documents that received a specific mode when they were entered, are only included if that mode is selected. - Country

Note: If you are running the British application, and you leave the “To” part blank, then it is completed with the Payment date.
Note: This field and the Payment mode field are mutually exclusive. This means that you can only enter a payment mode group if Payment mode is left blank and vice versa. Note: If you specify a payment mode group here, then all unique modes (defined for the mode in Work with A/P payment modes) will be excluded from the proposal.

The payment mode also controls if your company is communicating with the financial institute via Data Interchange (DI).
Note: A payment mode defined as the unique mode in Work with A/P payment modes is only included if that mode is selected.
Note: This field and the Payment mode group field are mutually exclusive. This means that you can only enter a payment mode if Payment mode group is left blank and vice versa.
Note: If you leave this selection blank or make a range selection using codes 2 – 4, then all unique modes (defined for the mode in Work with A/P payment modes will be excluded from the proposal. If you use selection code 1, then only one payment mode can be used in these fields.
A/P payment proposal, Create (FLR07102)
This panel displays the additional selection possibilities and you can print a control list.
- Nil supplier balance
- Mandatory entry. Indicate if you want to allow and consolidate the update of suppliers with zero balances in the proposal.
- Neg supplier balance
- Mandatory entry. Indicate if negative payments should be selected in the proposal. You cannot update a proposal that contains negative payments. Therefore, you must remove negative payments before update. This is used to check if your supplier owes you money instead of the other way around.
- Not payables
- Indicate if you want to include documents that, by definition, cannot be paid. This refers to documents that are only preliminary, those that are not approved for payment, those with a supplier with a payment mode that is not valid, supplier bank is missing, documents with a payment stop code or credit notes for sundry suppliers.
In addition to the above mentioned documents, credit notes with additional information that should be treated as unique payments (one payment per settled transaction) are also included.
You can include them in a preliminary proposal to check the benefit of paying those documents as well. In such a case you must make adjustments, so that it will be possible to pay them, or delete them from the proposal. If you only want to include documents which can be paid, set this field to NO.
Note: All invoices for a sundry supplier are treated as unique payments (one payment per settled transaction). If you need to view these in your proposal, then set this field to YES.
- Highest amount
- If there are many documents of smaller amounts that you want to settle, you can create a specific payment proposal for only such documents, by entering a maximum amount in this field. For example, if you enter 100, only documents with amounts up to 100 will be included in the selection, regardless of due date. The limit is for the document amount in system currency, not the transaction amount. Documents of larger amounts will not be included, even if they are due for payment.
- Total amount
- This field is shown if only one payment mode is selected. You enter a total amount in system currency for the proposal, for example if you have a limited amount in your bank account. The system will sort the documents in the following order; by proposal number, then by supplier priority, then by payment mode, then by payment date, then by due date, then by supplier, then by transaction currency and last by supplier’s bank.
