This panel can be accessed from the following:
- Business partner file maintenance. In this case the name will be displayed in the top part of the panel.
- Item file maintenance. In this case the item will be displayed in the top part of the panel.
The purpose of this program is to enter cross references to items. The cross reference can be of different types, for example a replacement item, substitute item, competitor’s, etc. The pre-loaded cross reference types are defined in the Item cross reference type table.
You can use this program to set up customer item codes that can be viewed instead of the regular item codes for items displayed in sales, quotation, and invoice maintenance and enquiry functions. Use the cross reference type CU to set up an item code that can be viewed in these programs using the function key for View controls.

Selection fields
- Tp
- Displays an alias from the Item cross reference type table, indicating the type of reference.
- Item
- This column heading is only displayed if this panel was accessed from the Business partner file maintenance. Displays a code from the Item file. This code is your company’s identification of the item.
- Number
- This column heading is only displayed if this panel was accessed from the Item file maintenance. If this cross reference is connected to a name in the Business partner file, displays the identification of the name for which this reference applies.
- Name
- This column heading is only displayed if this panel was accessed from the Item file maintenance. If this cross reference is connected to a name in the Business partner file, displays the name of the customer/supplier from the Business partner file.
- Item description
- This column heading is only displayed if this panel was accessed from the Item file maintenance and if you click Shift info. Displays the item description.
- Valid from/to
- This column heading is only displayed if this panel was accessed from the Item file maintenance and if you click Shift info. If the cross reference type is Replacement, displays in between which dates the replacement item is valid.
- Cross reference item
- Displays the cross reference defined for an item.
Item cross reference maintenance (DIR42304)
This panel is displayed if this program was accessed from the Business partner file.
Depending on the option selected on the previous panel, the sub-heading displayed is Add, Change or Display.
The purpose of this panel is to add, change or display cross reference items.
- Type
- This field can only be completed when in Add mode. Enter an alias from the Item cross reference type table, indicating the type of cross reference.
The default aliases which can be defined when accessing this panel from the Business partner file are:
CO Competitor’s item CU Customer’s item MA Manufacturer’s item PR Prospect’s item VE Vendor/Supplier’s item On the Valid item cross reference types panel you have to define which types are valid for this particular name. This is done by clicking Item cross reference types on the Basic data panel in the Business partner file maintenance.

- Item
- This field can only be completed when in Add mode. Enter an item from the Item file, indicating the item for which this cross reference applies.
- Cross ref item
- This field can only be completed when in Add mode. Enter the cross reference for the item defined in the Item field.
- Item description
- Optional entry. Enter a description of the cross reference item. Note: If the item entered in the Item cross reference item field is an existing item from the Item file, the description is retrieved automatically.
- Segmentation type
- This field can only be completed if the type is Competitor, Customer, Generic, Manufacturer, Prospect or Vendor/Supplier. This field is only displayed if the item segmentation function is activated in DIS control file. Enter a valid type from the Segmentation type table, indicating the type of segmentation applicable for the item.
Note: A value can only be entered in this field for Customers. If a value is entered then the Conv factor field must also be completed.
- Conv factor
- This field can only be completed if the Unit field is completed. Enter a conversion factor which will determine the relation between this unit and the stock unit defined for the item in the Item file.
- Price
- This field can only be completed if the type is Competitor, Customer or Generic. Enter a price in system currency, that may be used for reference purposes only.
Item cross reference maintenance (DIR42305)
This panel is displayed if this program was accessed from the Item file.

- Business partner
- This field can only be completed when in Add mode. Enter a code identifying for whom this cross reference applies. This can, for example, be a customer/supplier from the Business partner file. The field can only be completed if the type is Competitor, Customer, Manufacturer, Prospect or Vendor/Supplier.
If an existing name from the Business partner file is entered, the type must be valid for that name. The types valid for a name are defined in the Valid item cross reference types panel in the Business partner file.
- Cross ref item
- This field can only be completed when in Add mode. Enter the cross reference for the item defined in the Item field. If the type is Replacement, Substitute or Alternative, enter an item from the Item file, indicating the item which should replace, substitute, or be an alternative to, the item defined in the Item field.
- Item description
- Enter a description of the cross reference item. Note: If the item entered in the Item cross reference item field is an existing item from the Item file, the description is retrieved automatically.
- Segmentation type
- This field can only be completed if the type is Competitor, Customer, Generic, Manufacturer, Prospect or Vendor/Supplier. This field is only displayed if the item segmentation function is activated in DIS control file. Enter a code from the Segmentation type table, indicating the type of segmentation applicable for the item.
Note: A value can only be entered in this field for Customers. If a value is entered then the Conv factor field must also be completed.
- Conv factor
- This field can only be completed if the Unit field is completed. Enter a conversion factor which will determine the relationship between this unit and the stock unit defined for the item in the Item file.
- Price
- This field can only be completed if the type is Competitor, Customer or Generic. Enter a price in system currency, that may be used for reference purposes only.
- From/To dates
- This field can only be completed if the type is Replacement or Promotion campaign. Enter in between which dates the cross reference item should replace the item you are maintaining. You can leave the second field blank, which means that the replacement will be “ad infinitum”.
Note: The start date must be greater than or equal to today’s date. If you are updating an existing record, you will not be able to change the date if it has already gone into effect.
- Sell out bef repl
- This field can only be completed if the type is Replacement. Indicate if the replacement only should take place if there is no available stock of the item to be replaced. If this field is set to YES, the system will check the available quantity when entering a sales order with the item to be replaced. If the quantity entered on the sales order line is available in stock, the item will not be replaced.
- Sell out all whs
- Indicate if all warehouses included in the Sourcing policy defined for the item in the Item file or for the customer in the Business partner file should be sold out before the replacing item is used. Note: If this field is set to YES, the Sell out bef repl field on this panel must be set to YES.
- Sell when shortage
- This field can only be completed and is mandatory if the type is Promotion campaign. Indicate if this campaign item should be sold if all the other items in the chain do not have enough stock.
