Work with assets, Basic information (AACD16201)

On this panel you enter basic information for the asset. It is necessary that this information is completed for all assets in the Asset file. Depending on the option and default setup you have chosen, some fields may already be completed. Some may also be protected, i.e. the cursor will by-pass them when you work your way through the fields.

Note: The default values defined for the template overrides the default values that would otherwise have been retrieved from the tables.

Assets can be deleted freely from the Asset file as long as any depreciations have not been performed. After depreciations, the disposal routine must be used.

Disposable
Indicates if the asset can be disposed.
Asset type
This is the asset type of the asset, defined on the first asset entry panel. Asset type and group control the internal depreciation types. The field can be changed until first depreciation for the asset.
Asset group
This is, if the field is completed, the asset group of the asset, defined on the first asset entry panel. The field can be changed until first depreciation for the asset.

Asset quality
Enter the code for the asset quality. The asset quality affects the depreciations and inventory routines.

The following codes apply:

Asset account group
Enter a group from Work with asset account groups. The group can be used to control the accounting for the asset.
Asset description
Enter a description for the asset.
Short description
Enter a short description for the asset, for alphabetical sorting purposes. If the field is left blank, the system will use the 10 first characters of the asset description as short description.
Asset quantity
Enter the quantity of the asset. Quantity is used at physical inventory, and can be used as a basis for split.
Cost centre
If cost centre accounting is allowed, you may enter a cost centre for the asset. The cost centre can be used to control the accounting, if cost centre substitution is used. It can also be used for sequencing and selection on listings.
Project
If project accounting is allowed, you may enter a project for the asset. The project can be used to control the accounting if project substitution is used. It can also be used for sequencing and selection on listing.
Responsible
You may enter a responsible for the asset. The responsible signatures are found in work with responsibles. The responsible can be used to control the accounting, if responsible substitution is used. It can also be used for sequencing and selection on listing.
Reference asset
If this asset is a sub-asset to another existing asset, enter the reference asset. An example could be a car telephone referring to the car. The asset hierarchy may expand up to six levels.
Acq date century
Displays the century of the acquisition date. The system will propose the current century for the acquisition of the asset. The value can be changed. Note: The century entered cannot be greater than current century.
Acq period century
Displays the century of the acquisition period. The system will propose the current century for the acquisition of the asset. The value can be changed. Note: The century entered cannot be greater than current century.
Acquisition date
The acquisition date is defaulted from the document date of the supplier invoice, if you have transferred an invoice from the Wait file. If not, the system will propose today’s date. In both cases, the date can be overridden.
Acquisition period
The acquisition period is defaulted from the accounting period of the supplier invoice, if you have transferred an invoice from the Wait file. If not, the system will propose the actual period. In both cases, the period can be overridden.
Acquisition value
The acquisition value is defaulted from the invoice amount of the supplier invoice, if you have transferred an invoice from the Wait file. If not, you will have to enter an amount manually, in system currency.
Acquisition type
The acquisition type is defaulted from the acquisition account of the supplier invoice if you have transferred an invoice from the Wait file. If not, you will have to enter a type from Work with acquisition types manually. The acquisition type controls the external depreciation types. It can be changed until first depreciation for the asset.
Replacement value
The replacement value is defaulted from the acquisition value, but may be changed to another value. Note: The replacement value should normally not be maintained manually, but is revaluated using an index. Revaluated replacement values are used as a base in the preloaded depreciation rule COST.
Index period / id
The base index period for the replacement value is defaulted from the acquisition period, but may be changed to another period. A replacement index (id) may be defaulted from the asset type and group of the asset, else it must be entered. This is the index which will be used when revaluating the replacement value. The revaluation calculations are performed when printing revaluation lists. Note: You are only allowed to use the index function if the asset was acquired during the years 1940 – 2039.
Last inventory date
Displays the date when the asset inventory was replenished the last time. The date can be changed.
Economic useful life
The economic useful life may be defaulted from the asset type and group. The information is mandatory if economic useful life is used when calculating depreciations, e.g. in the preloaded rule for straight line depreciation (STRL).
Techn useful life
The technical useful life may be defaulted from the asset type and group. The information is mandatory if technical useful life is used when calculating depreciations, e.g. in the preloaded rule for cost depreciation (COST).
Legal useful life
The legal useful life may be defaulted from the asset type and group. The information is optional and is not used in any of the preloaded rules.
Depreciable for
The asset type and group, as well as the acquisition type, will determine which depreciation types should be applied for the asset.
