A/R invoice/credit note entry or Debit note entry (FSR03004)
Depending on from which mode you enter this panel you can create a new or maintain an already existing A/R invoice, credit note or debit note.
The Debit note entry panel allows you to settle the difference between an invoice amount and the amount paid by the customer with a debit note. This procedure is useful when you want to keep track of a disputed amount and its connection to a debit note debtor, who can be different from the debtor of the original invoice. The debit note will be automatically transferred to the A/R settlement differences or A/R open items differences panel, where it will appear as a debit note difference document.

- Displays the amount at your disposal for settlement of a document. The amount is in transaction currency if you entered this panel from item level. If you entered the panel from settlement level the currency is in transaction or system currency depending on whether you entered this panel in single or multi-currency mode.
- Debit Note balance
- Displays the total amount of all entered debit notes for the current settlement. The amount is in transaction currency if you entered this panel from item level. If you entered the panel from settlement level the currency is in transaction or system currency depending on whether you entered this panel in single or multi-currency mode. The amount is recalculated after each new debit note entry. Note: The Settl/rel doc rem. and Debit Note balance fields are only shown on the A/R Debit Note entry panel.
Note: The Batch amount and Transaction amount fields are only shown on the A/R invoice/credit note entry panel.

- Document date
- The document date is the basis for the calculation of the due date, unless a due date is entered manually.
- Customer number
- Enter the customer number. If the customer has a debtor number, the debtor number will override the customer number once the invoice has been entered. If the panel name is A/R debit note entry, then this field is defaulted with either the debtor of the main document (for Debit notes created on settlement level) or the debtor of the related documents (for Debit notes created on the document level), but can be changed.
- Debtor override
- For customers with debtor numbers, you can override the debtor handling of the invoice by setting this field to YES. This means that the invoice will be handled as if issued to the customer instead of to the debtor. The payment terms of the customer will apply, and payment statistics for the invoice will be kept in the customer’s payment statistics group. Reminders and interest invoices for the invoice will also be directed to the customer instead of to the debtor.

- Note: Only shown on the A/R invoice/credit note entry panel, and when you enter the A/R Debit Note entry panel on settlement level in multi-currency mode. On the A/R Debit Note entry panel the system currency is defaulted, but can be changed to any other currency.
- Currency/Itm.ex.rate
- This field can be used to determine whether the exchange rate should be automatically retrieved by the system or not. This might be applicable when deciding whether today’s value or the original value should be disputed. By default YES will be shown on the panel and the currency will be displayed in transaction currency.
Set to YES, if the exchange rate should be retrieved from Work with exchange rates. In this case the Exchange rate period and Exchange rate level fields are open for input. Set to NO, if the exchange rate should be the same as for the related document. In this case the Exchange rate period and Exchange rate level are the same as for the related document and cannot be changed.
Note: Only shown on the A/R Debit Note entry panel when entered on the item level or on settlement level in single currency mode.

- Enter a payment mode if only one method is valid when paying the invoice through the Work with A/R payment proposals routine. If the field is left blank, any payment mode that is set up for the debtor is valid.
If the SEPADD (SEPA Direct Debit) function is activated in the Function control file and if the A/R payment mode is a SEPA payment mode, then the transaction currency code is either defined with ISO currency code = EUR in the Currency table, or if it is blank, then the transaction currency is EUR.

- This field may already be defaulted by the system, if defined in the A/R control file for A/R invoices.
- Exchange rate level
- This field may already be defaulted by the system, if defined in the A/R control file for A/R invoices.

This panel is shown for sundry customers, where you must enter name and address manually.

- Enter the name of the sundry customer.
- Address
- County
- Enter the code from Work with counties indicating the county in which the sundry customer is located.
- Country
- Enter a code from Work with countries for the country to be used for the sundry customer. The country code entered in this field determines the date format for the address fields shown above.
- VAT reg number
- This field is only displayed if the Polish application is activated. Enter the debtor’s VAT registration number for the subjected invoice.
