This panel displays the existing pseudo accounts. A pseudo account is an alphanumerical code consisting of a combination of numbers and letters. The pseudo account can be used for the following purposes:
- To simplify transaction entry by replacing long and cumbersome account combinations.
- To default frequently used accounts at invoice/payment entry.
- To create automatic contra accounting.
- To create automatic control accounting.
- To create error accounting.
The accounts in the Account file that are tied to control pseudo accounts will not be available for normal manual entry, once they have been used for control accounting. Also, accounts in the Account file that are dedicated to postings in only one currency, i.e. currency accounts, may not be used for control accounting.
Mandatory pseudo accounts
The pseudo accounts must be entered manually as there is no pre-loading of this file. Apart from the mandatory pseudo accounts listed below, you must manually enter the general error account XERROR. You can also define your own pseudo accounts. Click the link to see a list of the pseudo accounts that must be entered for each routine/process.
Note: In the following lists of pseudo accounts, some of the values have been replaced with the following variables:
- aa (A/R-A/P group)
- bbbb (Currency)
- ccc (Bank code)
- ddd (Document type)
- eee (Cost centre)
Pseudo accounts are also used for the integration of the A/R and the A/P into the G/L. The system uses the pseudo accounts that you have defined for the document types you use. These accounts are a combination of a fixed code that you define in Work with document types, and values from different tables. The following pseudo accounts are needed for the preloaded document types that the system supports for integration between the G/L and the A/R:

User defined pseudo accounts
Apart from the mandatory pseudo accounts you can also define your own records in this file. The first character in the pseudo account id must be a letter, and the total amount of characters must not exceed the number of characters of the main account part. Remember that trailing blanks can have different meanings for ordinary accounts and pseudo accounts when entering transactions. For ordinary accounts that do not allow trailing blanks, the blanks are changed into trailing zeros, but for pseudo accounts, trailing blanks are blanks. For this reason you should not establish identical "shortened" main accounts and pseudo accounts.
Example:
You have pseudo account A1 in the Pseudo account file and main account A1000 in the main account part which has five positions. When you enter A1 when registering transactions, the system will interpret this as main account A1000 and will not use the pseudo account you intended to use.

Work with pseudo accounts (FMR01104)
On this panel you maintain pseudo accounts.

- Enter the pseudo account code which can consist of up to the number of characters of the main account part, except the mandatory ones, which can be up to seven positions. The first character must be a letter.
The ones you set up for control accounting and automatic contra accounting consist of a fixed part, starting with X, and a table value. Which table value to use is defined for each document type in Work with document types. To simplify the maintenance of all the pseudo accounts you will need for your document types, you can choose to create pseudo accounts consisting of only the fixed part.
Example:
If an exchange rate difference in Norwegian Crowns should be posted to the exchange rate difference account via a pseudo account with NOK as the variable part, and the appropriate pseudo account XDANOK for Norwegian Crowns does not exist, then the posting will be made to the default account XDA instead.

- For each of the valid account parts, enter the account number that the pseudo account should replace. The combination codes for the main account controls which account parts are valid. If you use cost centre accounting, you can enter dots (…) in the cost centre account part. The dots will be automatically replaced by the proper cost centre account from the Business partner file for each customer/supplier when you use a pseudo account with cost centre substitution. These pseudo accounts cannot be used for pure G/L postings, since no default cost centre exists for these transactions. When you click OK, the account name will be displayed to the right.
