Delete a preliminary A/P invoice

  1. Select the Work with A/P transactions menu item.
  2. You access Work with A/P transactions, Open documents, which is the main panel, showing a list of all the transactions in ascending supplier number order. In the Open selection field, YES is defaulted to show open items. Set to NO to view all settled items or leave the field blank to view all items. Select the preliminary invoice you want to delete and click Change.
  3. You access the Work with A/P transactions detail panel where you can view the transaction details before you delete the preliminary invoice. Then, click Back.
  4. On the main panel, select the preliminary invoice again and click Delete.
  5. You access Work with A/P transactions, Deletion where you confirm your choice. The following field must be completed:
  6. Voucher type
    Enter a voucher type to control the voucher type numbering.

    The panel also highlights which of the two deletion methods you defined. Either:

    • The G/L postings that you want to delete have the actual date as their accounting period (Deletion method 1).
    • Or, they will have the original entry date of the preliminary invoice as their accounting period (Deletion method 2).

    Note: The accounting period on the invoice will always be the defined accounting period. The system will also verify that the periods are within the same year. Click OK to delete your selected invoice. Click Exit.

  7. You access Work with A/P transactions, G/L update where you can select your print options. Enter the print options to obtain a printout of the deleted invoices, and the connected G/L transactions. When the system updates the G/L, the following reports are printed:
    1. If you have no errors:
      • G/L entry journal
      • G/L transaction detail journal
      • G/L transaction summary journal
    2. If you do have errors, then the system will print the appropriate report until you have rectified the problem:
      • G/L transaction balance list (if there are errors for debit/credit variances)
      • G/L error journal (if there are errors in fixed calculations and redistributions)
      • G/L error journal (if there are errors in dynamic calculations and redistributions)
      • G/L error journal (if there are errors in pricing transactions or any other areas than stated above)
