A/P invoice direct order, Fees and discounts (FSR09101)

This panel can be accessed from the following locations:

  • A/P invoice entry in the Enter financial transaction routine
  • or, when an existing A/P direct invoice is maintained via the Work with A/P transactions routine.

The panel mode is denoted in the panel heading:

  • A/P invoice direct order, Fees and discounts
  • Work with A/P transactions, Fees and discounts

If the panel is accessed from Work with A/P transactions, then the only fields available for maintenance are: Due date, Pay by date and A/R effective date.

This panel is divided into the following three sections:

Header Displays the A/P document, purchase order and sales order information, as well as a financial summary including A/P invoiced amount, direct purchase order unmatched/unreceived order amount, matched, remaining and debit amounts.
Fees These are user-definable by supplier, groups of suppliers or global definition. Each fee can be configured to perform different functions including: attaching to or creating sales order and/or purchase order lines; allocate fees to sales and purchase order lines, include or exclude from A/P and A/R cash discounts; and debit the fee back to the supplier when needed.

If, for the invoice’s supplier, an Order fee template is indicated on the Business partner file, A/P basic data panel, then the set of fees defined for this template are displayed here.

If, for the invoice’s supplier, the Order fee template field value is left blank but a SYSTEM template (with template id equal SYSTEM) is defined in the Work with A/P direct order fee templates, then the fees defined for the SYSTEM template are displayed here.

Discounts A/P: A summary of the first discount level is shown with the ability to maintain the Due and pay-by dates.

The Pay by date field value is initialized with the Cash discount due date 1, or with due date in case Cash discount is not granted.

A/R: A summary is shown with the ability to change the A/R effective date of the sales order invoice when it is created. Changes from fee entries in the discount base are summarized as an adjustment value that will be applied during invoice creation. Additionally, the ability to manually hold the invoice when it is created is also provided.

The A/R effective date field value is initialized with the Supplier invoice date. It will become the document date for the created Sales invoice.

The typical work flow at this point is to enter any relevant fees, and press OK to refresh the totals; then press the Match function key if the Order amount and remaining amount are equal. This function automatically selects all un-matched, un-received, non-fee purchase order lines to be received and matched.

Alternatively, press the PO lines function key to manually enter the matched amount. The optional Audit function key allows you to view a recap of the entry. The final step is to press the Update function key, which is not visible until the remaining amount is zero.

Function keys

DB notes View any direct billing notes if they exist.
SO notes Maintain sales order header notes.
PO notes Maintain purchase order header notes.
PO lines This function key is only available if the panel was accessed from A/P invoice entry in the Enter financial transaction routine. Access the purchase order lines to maintain the purchase order lines and to manually indicate an amount which is to be matched.
Match This function key is only available if the panel was accessed from A/P invoice entry in the Enter financial transaction routine, and it is only visible if the remaining amount exceeds the tolerance limit for the invoice (tolerance limit set for PO matching). Automatically select all un-matched, un-received, non-fee purchase order lines to be received and matched.
Update This function key is only visible when the Remaining amount is zero. Update the panel data. This means that for the order lines indicated as reconciled/matched the goods reception process, followed by A/P invoice matching, will be run. Note: This update function key first checks the debit total which is the total of overcharges calculated per purchase order line selected for matching plus any fees that have been marked for debit. If the total debit amount is outside of the tolerance settings in the A/P control file then the system will prompt the A/P invoice direct order, A/P debit note entry panel where you register the A/P debit.
Audit This function key is only available if the panel was accessed from A/P invoice entry in the Enter financial transaction routine. View a summary of the A/P invoice direct order entries and their effects on orders and A/R and A/P ledgers.

A/P document
Displays the document date, document type and document number.
PO/SO number
Displays the concerned Purchase order number and Sales order number separated by a forward slash (/).
A/P supplier
Displays the supplier number of the registered A/P invoice document followed by the supplier’s internal name.
PO supplier
Displays the supplier number of the indicated purchase order number followed by the supplier’s internal name.
Customer
Displays the customer number of the corresponding sales order followed by the customer’s internal name.
Document amt
Displays the A/P invoice amount decreased by the amount manually posted on the VAT amounts/default accounts entry panel, followed by the document’s transaction currency. This is the invoice amount that remains to be matched with the indicated BtB order.
Order amount
Displays the amount, in A/P invoice transaction currency, of the un-matched, non-received direct purchase order.
Matched amt
Displays the amount, in the invoice transaction currency, of the fee and order line amounts selected as matched.
Remain amt
Displays the amount which remains to be matched. This is the difference between the A/P document amount and order amounts indicated as matched (fees and regular order lines amounts). When this amount is zero, the Update function key will be visible allowing you to update the panel data which will trigger and run the goods reception process, followed by A/P invoice matching for the order lines that are reconciled/matched.
Debit amount
Displays the amount, in the A/P invoice transaction currency, for which a Debit note document is to be created.
Fees
This column lists the fee types from Work with A/P direct order fee templates which have been enabled for the invoice supplier. These could be those that were defined for a generic system template (the one with SYSTEM defined as the template id), or those specific for this particular supplier if a fee template was connected to the supplier in the A/P basic data panel in the Business partner file. The description shown on this panel is the text that was entered for the enabled fee types in the Left heading text field, translated into the user language.
Fee amount
Enter the fee amount for the applicable fee.
AP Base
This column displays the panel value code for Include/Exclude (I/E), defaulted from the fee template, denoting if the amount should be included or excluded in the Cash discount basis for the discount of the received A/P invoice, but can be changed here.

Example:
You offer a 2% cash discount and the cash discount is granted on net invoice amount. An invoice total net amount is 1500 SEK, and 50 SEK of that amount is freight. If you choose to include freight fee in the discount base, the 2% cash discount will be based on 1500 SEK. If you choose to exclude the freight fee in the discount base, the 2% cash discount will be based on 1450 SEK instead of 1500 SEK, i.e. the freight fee amount will be excluded from the discount base amount.

AR Base
This column displays the panel value code for Include/Exclude (I/E), defaulted from the fee template, denoting if the amount should be included or excluded in the Cash discount basis for the discount of the issued A/R invoice, but can be changed here.

Example:
You offer a 2% cash discount and the cash discount is granted on net invoice amount. An invoice total net amount is 2000 SEK, and 50 SEK of that amount is freight. If you choose to include freight fee in the discount base, the 2% cash discount will be based on 2000 SEK. If you choose to exclude the freight fee in the discount base, the 2% cash discount will be based on 1950 SEK instead of 2000 SEK, i.e. the freight fee amount will be excluded from the discount base amount.

Charge
This column is only visible and input-capable if the fee action type for the fee template is set to 1 or 4. If the fee action type for the fee is 4, then this column is set to YES by default. Set to YES or NO to indicate if the fictitious item assigned to the fee type should be free of charge or not, i.e. if the customer should be charged for this amount.
Sales price
This column is only visible and input-capable if the fee action type for the fee template is set to 1 or 4. An entry in this column must be done if the Charge column is set to YES. Enter the sales price of the fictitious item assigned to the fee type that you want to charge the customer.
Debit
This column is set to NO by default. Set this column to YES if a debit note should be created and the indicated fee amount is to be included in the debit note to the supplier for charge back.

Discounts

A/P terms of payment
Displays the A/P terms of payment.
Due date
Displays the due date of the A/P invoice, but can be changed. Enter the due date of the A/P invoice. Entry must comply with the same rules as in A/P invoice entry.
Pay by date
Displays the cash discount pay by date to get payment cash discount, but can be changed. Enter the pay by date of the A/P invoice. Entry must comply with the same rules as in A/P invoice entry. This field is initialized with the Cash discount due date 1, or with the due date if the discount is not granted.
Discount percent
Displays the cash percentage 1 for the A/P invoice.
Base amount
Displays the cash discount base amount.
Discount amount
Displays the computed cash discount amount to be granted at the first CAD due date.
Pay amount
Displays the computed net payment amount including Discount amount.
A/R terms of payment
Displays the A/R terms of payment code to be used when invoicing the customer for this order.
A/R effective date
Displays the supplier invoice date of the A/P invoice, but can be changed. Enter the date that the customer invoice should be effective in the A/R sub-ledger for interest accrual purposes. It will become the document date for the created sales invoice.
Discount percent
Displays the cash discount percentage 1, from the Terms of payment table, that will be set when the customer invoice is created.
Discount base adj
Displays the discount base adjustment amount, (shown with the minus sign), that will be not be included (will be excluded) in the discount base when the customer invoice is created.
This is an accumulation of fee ARBase exclusions.
Hold invoices
The setting in this field is defaulted from the sales order header. Set this field to YES or NO to denote if the customer invoice should be held for manual review and release for this sales order.

This panel displays order lines of the concerned purchase order. The processing status is displayed next to the line. On this panel you mark a line with a dedicated option to manually match an amount of an order line; to change or delete an existing order line; to create a new order line, or to include/exclude an order line from matching.

Options

Copy SO line Select this option to access the A/P invoice direct order, Create and match purchase order line panel where you can create and match a new purchase order line. The sales order data is defaulted from the marked order line.
Match PO line Select this option, for a line that has not yet been invoiced, to access the A/P invoice direct order, Work with purchase order lines panel to manually change an order line and/or enter the amount which matches the invoice.
Copy SO/PO line Select this option to access the A/P invoice direct order, Create and match purchase order line panel where you can create and match a new purchase order line. Both the sales order data and purchase order data is defaulted from the marked order line.
Delete Select this option to delete a line from the order.
Include A line for which matching information is already entered is excluded from further processing, i.e. omitted at goods reception and matching. Select this option to include an excluded line.
Exclude A line for which matching information is already entered can be excluded from further processing, i.e. omitted at goods reception and matching. Select this option to exclude an included line.
Display PO line Select this option to access the Purchase order enquiry, Detailed order line 1 panel.
Display SO line Select this option to access the Sales order enquiry, Detailed order line 1 panel.
Cost update Select this option, for a line that has already been invoiced, to access the A/P invoice direct order, Cost update panel where you can enter cost adjustments to an already invoiced order line.

Function keys

Add Add a purchase order line.
PO notes Maintain purchase order header notes.
Update This function key is only visible when the Remaining amount is zero. Update the panel data. This means that for the order lines indicated as reconciled/matched the goods reception process, followed by A/P invoice matching, will be run.
View ctl Access the View controls panel where you can configure a number of settings to, e.g., display order lines included in matching, display order lines excluded from matching, display invoiced order lines and specify the number of text lines to be displayed for a purchase order line.

A/P document
Displays the document date, document type and document number.
PO/SO number
Displays the concerned Purchase order number and Sales order number separated by a forward slash (/).
A/P supplier
Displays the supplier number of the registered A/P invoice document followed by the supplier’s internal name.
PO supplier
Displays the supplier number of the indicated purchase order number followed by the supplier’s internal name.
Customer
Displays the customer number of the corresponding sales order followed by the customer’s internal name.
Document amt

Remain amt
Displays the amount which remains to be matched. This is the difference between the A/P document amount and order amounts indicated as matched (fees and regular order lines amounts). When this amount is zero, the Update function key will be visible allowing you to update the panel data which will trigger and run the goods reception process, followed by A/P invoice matching for the order lines that are reconciled/matched.
Debit amount
Displays the amount, in the A/P invoice transaction currency, for which a Debit note document is to be created.
Status
This column denotes if the line, for which matching information is already entered, is included or excluded from further processing, i.e. omitted at goods reception and matching.

The following statuses may be displayed for a line:

Status Description
Deleted The order line has been deleted.
Invoiced The corresponding Sales order line has already been invoiced.
Active The order line has status greater than or equal to 30 and less than 60, i.e. has not yet been received, and it has not been manually excluded from matching.
Excluded The line will not be considered when the Match function key is selected to automatically match order lines.
Included The line previously excluded will be included/considered when the Match function key is selected to automatically match order lines.
Line
This column displays the line number.
Item
This column displays the item on the line.
Whs
This column displays the warehouse for the item on the line.
PO unit
This column displays the purchase order unit.
Inv qty
This column displays the invoiced quantity.

The panel mode is denoted in the panel heading:

This panel is used to enter A/P matching data for individual direct BtB purchase order lines, and it can be used to maintain price information for the associated purchase and sales order lines.

Function keys

PO line Access the Purchase order enquiry, Detailed order line 1 panel to view the detailed information for the purchase order line.
SO line Access the Sales order enquiry, Detailed order line 1 panel to view the detailed information for the sales order line.
Edit SO discounts Access the Work with sales orders, Line, Discounts panel where you can edit the sales order line discounts.

PO number
Displays the purchase order number.
PO line
Displays the purchase order line number.
Order disc %
Displays the order discount percentage assigned on the order level.
SO number
Displays the BtB sales order number for the purchase order line.
SO line
Displays the BtB sales order line number for the purchase order line.
Warehouse
Displays the warehouse for the BtB sales order line.
Item
Displays the item code and description.
Purchase qty
Displays the purchased quantity. The purchase unit is displayed adjacent to this quantity.
Remain amt
Displays the amount, in A/P invoice transaction currency, that remains to be received and matched for the order line. This is calculated by multiplying the Remaining quantity with purchase price.
Remain qty
Displays the quantity of goods, in price unit, that remains to be matched for the order line.

A/P invoice matching

If you clicked the Match PO line function key for an order line that is not yet invoiced to access this panel, the fields under this section are relevant.

Inv amount
Enter the A/P invoice matching invoiced amount for the purchase order line from the A/P vendor’s invoice. If the FOC (free-of-charge) code is set to YES, this field should be left blank.
Inv quantity
Enter the A/P invoice matching invoiced quantity for the purchase order line from the A/P vendor’s invoice.
Debit amount
Displays the A/P invoice matching debit note amount. The calculated overcharge is computed as the difference between the extended invoice unit price and the extended purchase price using invoiced quantity. This amount will be included in an automatic A/P debit if the total of computed debits exceeds the direct debit limits in the A/P control file.
Currency
Displays the A/P invoice transaction currency.
Price qty
Displays the A/P invoice matching quantity in price units. This is the quantity in pricing units that the invoice quantity represents, followed by the pricing unit. This is the result of converting the entered invoice quantity to the pricing unit as specified in the associated purchase order line which is displayed adjacent to the price quantity value.
Unit price
Displays the A/P invoice matching price per pricing unit.
Net inv amt
Displays the A/P invoice matching net invoiced amount. This is the sum of the matched amount (i.e. the amount entered in the Inv amount field) plus the allocated fee amount (displayed in the Alloc amount field below).
FOC
Set this field to YES if the purchase order line is to be matched as free-of-charge.

Purchase order

If you clicked the Cost update function key for an order line that has already been invoiced to access this panel, the fields under this section are relevant.

Purch price
Displays the purchase price for the purchase order line, but can be changed. The purchase price is synchronized with the purchase order line purchase price. Changing it here will change it in the purchase order line.
Price qty
Displays the quantity in pricing units for the purchase order line. This is the quantity in pricing units that the purchase order line quantity represents, followed by the pricing unit.
Discount amt
Displays the discount amount for the purchase order line, but can be changed. The discount amount is synchronized with the purchase order line purchase price discount amount. Changing it here will change it in the purchase order line.
Discount %
Displays the discount percentage for the purchase order line, but can be changed. The purchase line discount percentage is synchronized with the purchase order line purchase price discount percentage. Changing it here will change it in the purchase order line.
Backlog
Displays the backlog control flag for the purchase order line, but can be changed. The purchase line backlog control flag is synchronized with the purchase order line backlog control flag. Changing it here will change it in the purchase order line.
Alloc amount
Displays the total amount of allocations from the direct PO fees that were entered on the A/P invoice direct order, Fees and discounts panel and allocated to the currently displayed purchase order line.
Net amount
Displays the net price amount from the purchase order line.
FOC
Set this field to YES if the purchase order line is to be free-of-charge.

Sales order

Sales price
Displays the sales price for the sales order line, but can be changed. The sales price is synchronized with the sales order line sales price. Changing it here will change it in the sales order line.
Price qty
Displays the quantity in pricing units of the sales order line. This is the quantity in pricing units that the sales order line quantity represents, followed by the pricing unit.
Discount ID
Displays the discount ID, holding the reason for the discount, for the sales order line. This field will be blank and will not be input-capable if discounts have already been entered for the sales order line. If input-capable, any entered value must exist in the Sales discount IDs table.
Discount amt
Displays the discount amount for the sales order line. This field will not be input-capable if discounts have already been entered for the sales order line. If a discount percentage has been previously entered then this value will be blank. If input-capable, then the entered value must comply with the rules of the sales order currency and a discount ID must also be entered in the Discount ID field.
Discount %
Displays the discount percentage for the sales order line. This field will be not input-capable if discounts have already been entered for the sales order line. If discount percentages have been previously entered, this field will display their cumulative value. If input-capable, then the entered value must be between 0 and 100, and a discount ID must be also be entered in the Discount ID field.
Alloc amount
Displays the total amount of allocations from the direct PO fees that were entered on the A/P invoice direct order, Fees and discounts panel and allocated to the currently displayed purchase order line.
Net amount
Displays the net price amount from the sales order line.
FOC
Set this field to YES if the sales order line is to be free-of-charge.

  • The Copy SO line option for a marked purchase order line. The sales order data is loaded into this panel.

A/P supplier
Displays the supplier number of the registered A/P invoice document followed by the supplier’s internal name.
Customer

Sales order

Item
Enter the item code that is to be added to the sales and purchase order.
Warehouse
Enter the warehouse to be used for sales tracking purposes. Must be a valid item/warehouse combination with direct order processing activated on the Work with items, Warehouses panel.
Sales qty
Enter the sales quantity and the sales unit in the adjacent field.
Price qty
Displays the quantity in pricing units that the sales order line quantity represents, followed by the pricing unit.
Sales price
Enter the sales price in sales order currency.
FOC
Set this field to YES if the sales order line is to be free-of-charge.
Discount ID
Displays the discount ID, holding the reason for the discount, for the sales order line. This field will be blank and will not be input-capable if the Add function key was clicked to access this panel, and if more than one discount has already been entered for the sales order line. If input-capable, any entered value must exist in the Sales discount IDs table.
Discount amt

A/P invoice matching

Inv amount
Enter the A/P invoice matching invoiced amount for the purchase order line from the A/P vendor’s invoice. If the FOC (free-of-charge) code is set to YES, this field should be left blank.
Inv quantity
Enter the A/P invoice matching invoiced quantity for the purchase order line from the A/P vendor’s invoice.
Currency
Displays the currency code from the originating A/P invoice document.
Price qty
Displays the A/P invoice matching quantity in price units. This is the quantity in pricing units that the invoice quantity represents, followed by the pricing unit. This is the result of converting the entered invoice quantity to the pricing unit as specified in the associated purchase order line which is displayed adjacent to the price quantity value.
Unit price
Displays the A/P invoice matching price per pricing unit.
FOC
Set this field to YES if the purchase order line is to be matched as free-of-charge.
Net inv amt
Displays the A/P invoice matching net invoiced amount. This is the sum of the matched amount (i.e. the amount entered in the Inv amount field) plus the allocated fee amount (displayed in the Alloc amount field below).

Purchase order

Purchase price
Enter the purchase price in purchase order currency.
Price qty
Displays the quantity in pricing units for the purchase order line. This is the quantity in pricing units that the purchase order line quantity represents, followed by the pricing unit.
Discount amt
Enter the discount amount in purchase order currency.
Discount %
Enter the purchase line discount percentage.
Backlog
Set this field to YES if the purchase order line should be backlogged.
Alloc amount
Displays the total amount of allocations from the direct PO fees that were entered on the A/P invoice direct order, Fees and discounts panel and allocated to the currently displayed purchase order line.
Net amount
Displays the net price amount for the purchase order line.
