This panel displays the inventory contracts set up in your system. Click the links in the Related topics above to access links to the specific instructions per inventory contract type.
Options
Lines | Select this option to drill down to line level where you can maintain the lines for the inventory contract. |
Contract key values | Only applicable if a Contract key is defined on the inventory contract header for any of the following inventory contract types:
Select this option to define the key values for the contract key, thereby restricting sales from the inventory contract to a number of customer groups, buying groups, etc. |
Select this option to access the Work with inventory contracts, Printout panel where you can select to print the inventory contract with customer and/or supplier information to be sent to your customers and suppliers. Information to be used for a stock count can also be included on the printout. | |
Activate | Select this option to activate an inventory contract. Note: An inventory contract line must exist before you can activate the contract. |
Inactivate | Select this option to inactivate an inventory contract. |

Call off notification | This option is only applicable for a Supplier Consignment Stock (SCS) inventory contract and a Deferred Indent Stock (DIS) inventory contract.
For an SCS-contract: When you have sold any quantity of the supplier-owned goods (i.e. you have not taken over the ownership for any quantity and then sold), you must notify the supplier that you have sold (consumed) their goods. Either select this option to run a call off notification or do it via the Create call off notification menu item. See the following for specific instructions: For a DIS-contract: It is mandatory to notify the supplier about the quantity that the customer has called off to you and ended up on charge consumption orders. Customer settings | This option is only applicable for the following types of inventory contracts when a customer is not defined on the inventory contract header:
For these types of inventory contracts the customer is an optional entry. When a customer is not defined on the inventory contract header, you can select this option to define exceptions for the following for each customer separately:
When the user manually enters/links the inventory contract during sales order creation, the system will perform a search for these values starting on inventory contract/customer settings level when retrieving the above mentioned values. |
Customer address | This option is only applicable for the following types of inventory contracts when the inventory contract is dedicated for one customer.
Select this option to access the Customer addresses panel where you can maintain the existing addresses or define a manual (deviating) address. |
Supplier address | This option is only applicable when a supplier is defined on the inventory contract. This applies to the following types of inventory contracts:

- Inventory contract
- This column lists the inventory contracts.
- Description
- This column lists the description of the inventory contracts.
- Type
- This column lists the inventory contract type.
- Handler
- This column lists the handler ID for the inventory contract. This is normally the person that entered the inventory contract into the system.
- Act
- This column denotes if the inventory contract has been activated.
- Status
- This column displays the status of the inventory contract.
Status Description N (New) The inventory contract is new but no order for any line has been created. The inventory contract will receive this status immediately when it is created, even if it is not activated. O (Open) Order has been created for at least one of the lines on the contract. C (Closed) The inventory contract is closed which means that orders can no longer be created. The inventory contract header receives this status when all lines for the contract are closed. A line is set to closed when the entire contracted quantity is consumed.
- Customer
- This column lists the customer ID for the inventory contract.
- Customer name
- This column lists the customer name.
- Customer currency
- This column lists the currency for the customer. Currency will be used as sales price currency for inventory contract lines and when sales orders are created from the contract. If not defined, no prices can be entered at contract line level. If inventory contract lines have been created, it will not be possible to change currency for the contract.
- Supplier
- This column lists the supplier ID for the inventory contract.
- Supplier name
- This column lists the supplier name.
- Supplier currency
- This column lists the currency for the supplier. Currency will be used as purchase price currency for inventory contract lines and when purchase orders are created from the contract. If not defined, prices can not be entered at contract line level. If inventory contract lines have been created, it will not be possible to change currency for the contract.
- Responsible
- This column lists the ID of the person responsible for the inventory contract. This could be different from the handler.
- Cost centre
- This column lists the cost centre to which the inventory contract belongs. When a sales or purchase order is created from the inventory contract, the order will inherit the cost centre from the inventory contract.
- Start date
- This column lists the start date for the inventory contract, if any was defined. Inventory contracts can be defined with a start date in the future, thus making it easier to maintain inventory contracts by preparing them in advance.
- End date
- This column lists the expiry date of the inventory contract, if any was defined. From this date the inventory contract cannot be used on any new orders. It means that if the order date is higher than the end date, the contract will not be seen as valid. Already created orders will, however, be possible to process through the system to the final status.
- Warehouse
- This column lists the warehouse identity for this type of inventory contract.
- Contract key
- This column lists the contract key (if any) that was defined for the inventory contract type. Contract keys are only applicable for the following inventory contract types:
- Supplier Consignment Stock (SCS) at wholesaler
- Supplier Consignment Stock (SCS) at wholesaler – Logistic handling only
- Wholesaler Deposit Stock (WDS) at supplier
- Wholesaler Buffer Stock (WBS) at supplier
- Valid for SMS
- This column is only displayed if the DC1 Supplier Marketing Support application is active. It denotes if sales order lines that are linked to the inventory contract will be valid for sms rebates.
Work with inventory contracts (DSR20104)
This is the first of the detail panels for an inventory contract.
Function keys
Contract key values | Define the key values for the contract key. |
- Inventory contract
- If an extended number series was set up for inventory contracts in the DIS control file, you can either leave this field blank to let the system automatically assign the number, or manually enter the identity of the inventory contract.
- Description
- Enter the description of the inventory contract.
- Contract type
- Enter the code from Work with contract types denoting what type of inventory contract this is.
- Active
- Activate the inventory contract by ticking this box, or highlighting the contract on the initial panel and selecting the Activate option.
- Status
- This field is automatically set by the system and denotes the status of the inventory contract.
Status Description N (New) The inventory contract is new but no order for any line has been created. The inventory contract will receive this status immediately when it is created, even if it is not activated. O (Open) Order has been created for at least one of the lines on the contract. C (Closed) The inventory contract is closed which means that orders can no longer be created. The inventory contract header receives this status when all lines for the contract are closed. - Customer
- This is a mandatory entry for the following inventory contract types since the inventory is either owned by the customer, located at a customer, or reserved for a specific customer:
- Customer Deposit Stock (CDS) at wholesaler
- Wholesaler Consignment Stock (WCS) at customer
- Customer Buffer Stock (CBS) at wholesaler
- Deferred Indent Stock (DIS) at customer
For the following inventory contract types, defining a customer is optional:
- Supplier Consignment Stock (SCS) at wholesaler
- Supplier Consignment Stock (SCS) at wholesaler – Logistic handling only
- Wholesaler Deposit Stock (WDS) at supplier
- Wholesaler Buffer Stock (WBS) at supplier
For any of the inventory contract types where customer is optional, you may define a customer, or link a contract key from the Work with DIS control keys file, or leave both fields blank. What you choose to do will have the following impact:
- If a customer is defined the contracted inventory should be seen as allocated specifically to this customer. If a customer is allocated it means that the stock only can be sold or dispatched to this customer.
- If no customer is defined for the contract, a contract key can be defined. This gives the possibility to restrict sales from the contract to a number of customer groups, buying groups etc.
- If neither customer nor contract key is defined the inventory is available for all customers, meaning the stock can be sold or dispatched to all customers.
- Currency
- The currency for the customer on this inventory contract is retrieved. Leave as is, or change to another. The currency will be used as the sales price currency for inventory contract lines and when sales orders are created from the contract. It will not be possible to change the currency for the inventory contract if inventory contract lines have been created.
- Supplier
- Mandatory entry for the following inventory contract types:
- Supplier Consignment Stock (SCS) at wholesaler
- Supplier Consignment Stock (SCS) at wholesaler – Logistic handling only
- Wholesaler Deposit Stock (WDS) at supplier
- Wholesaler Buffer Stock (WBS) at supplier
- Deferred Indent Stock (DIS) at customer
For the Wholesaler consignment stock (WCS) inventory contract, this field is optional. If you plan on sourcing the goods by purchasing the goods (i.e. by running the External supply CMI process to initialize a contract line), enter the external supplier. If you plan on sourcing the goods via an IRO (i.e. by running the Internal supply CMI process to initialize a contract line), enter the internal supplier.
- Currency
- The currency for the supplier on this inventory contract is retrieved. Leave as is, or change to another. The currency will be used as the purchase price currency for inventory contract lines and when purchase orders are created from the contract. It will not be possible to change the currency for the inventory contract if inventory contract lines have been created.
- Handler
- Enter the ID of the handler for the inventory contract. This is normally the person that entered the inventory contract into the system.
- Responsible
- Enter the ID of the person responsible for the inventory contract. This could be different from the handler.
- Start – end date
- If you want to have a running agreement, leave both fields blank. If you want to define a time frame for the inventory contract, your choices include:
- Enter only a start date denoting from when the inventory contract will be valid. You can define a start date in the future, thus making it easier to maintain inventory contracts by preparing them in advance.
- Enter only an end date denoting the date when the contract will expire. From this date the inventory contract cannot be used on any new sales orders. It means that if the order date is higher than the end date, the contract will not be seen as valid. Already created orders will, however, be possible to process through the system to the final status.
- Enter both the start date and end date.
- Warehouse
- Enter the warehouse identity that is set up in DC1 for this type of inventory contract.
- Contract key
- This field is an optional entry, and is only applicable for the following inventory contract types:
- Supplier Consignment Stock (SCS) at wholesaler
- Supplier Consignment Stock (SCS) at wholesaler – Logistic handling only
- Wholesaler Deposit Stock (WDS) at supplier
- Wholesaler Buffer Stock (WBS) at supplier
It allows you to restrict sales from the inventory contract to a number of customer groups, buying groups, etc. Enter the contract key. You define the key values for the contract key by clicking the Contract key values function key. Changing contract key is possible even if orders have been created. However changing the contract key will not have any effect on already created orders.
- Valid for SMS
- This field is only displayed if the DC1 Supplier Marketing Support application is active. Indicate if sales order lines that are linked to this inventory contract are to be valid for SMS rebates.
- Off-contract sales
- The setting in this field controls the possibility to combine sales order lines (i.e. lines connected to an inventory contract and others not connected to an inventory contract) on a sales order when the user defines the contract number on the sales order header. Note: Off-contract sales are not allowed for a Logistic SCS-contract.
If this flag is set to YES, and the warehouse for the non-contract item is included and activated in your sourcing policy, a warning will be issued, (denoting that the item is not found on the inventory contract and that normal sourcing will take place), but the user will be able to add sales order lines for non-contract items to the sales order as well as items from other inventory contracts.
If this flag is set to NO, an error message will be issued and it will not be possible to add a sales order line for a non-contract item to the sales order. It will also not be possible to add a sales order line for items from other inventory contracts. However, if this flag is set to NO and if this inventory contract is only defined on line level, it will still be possible to mix lines for this inventory contract together with non-contract items and/or items from other inventory contracts.
- Logistic
- This field is only applicable for Logistic SCS-contracts. Set this field to YES for that type of contract.
Click Next to access an additional panel where you can enter/view sales and purchase order related default values for the inventory contract which will be used for the orders that are created from the inventory contract.
Work with inventory contracts, Copy (DSR20105)
- Contract
- Displays the inventory contract you selected to copy.
- New contract
- Enter the ID of the new inventory contract you are creating.
Work with inventory contracts, Deletion (DSR20108)

This panel allows you to enter selection criteria in order to carry out an advanced selection over what inventory contracts to display on the initial panel.

Work inventory contracts, Sales and purchase information (DSR20113)
On this panel you can enter sales and purchase order related default values for the inventory contract which will be used for the orders that are created from the inventory contract. If no defaults are set up, the conditions from the customer/supplier file will be used on the orders.
Sales order info
- Reference
- Enter the name of the contact person for the sales order.
- Terms of payment
- Enter the terms of payment for the customer. After clicking OK, the predefined text for this code is retrieved and displayed in the second field.
- Terms of delivery
- Enter the terms of delivery for the customer. After clicking OK, the predefined text for the code is retrieved and displayed in the second field.
- Manner of transport
- Enter the manner of transport for the customer. After clicking OK, the predefined text for the code is retrieved and displayed in the second field.
- Shipment marking
- Enter the text for the shipment marking describing the item. This text will be displayed on all documents associated with the sales order.
- Backlog
- Set this flag to YES or NO or blank for the customer.
Purchase order info
- Reference
- Enter the name of the contact person for the purchase order.
- Terms of payment
- Enter the terms of payment for the supplier. After clicking OK, the predefined text for this code is retrieved and displayed in the second field.
