Work with held sales orders or Held service orders or Held sales quotations (DMR30901)

This is a program to release sales/service orders/quotations or sales/service order lines/quotation lines, that are being held. These are all displayed on this panel.

There are three different titles available for this panel. The title that is displayed depends on where you accessed the panel from.

How orders/quotations are held
Orders/quotations are either held manually by an employee of your company (identified by his/her Handler ID) or automatically by the system.

All held orders/quotations have Reason codes assigned to them that indicate why they are being held.

If an order/quotation was held automatically by the system, it would be for at least one of the following reasons:

DC1 Manufacturing:
If DC1 Manufacturing is installed and activated and you release an order with any reason code other than 02 then the system will verify if it contains lines that are held because they are connected to a manufacturing order. If that is the case then the order will be held back again by the system and the reason code will be set to 02. You will then have to release the order again.

Back-to-back orders:
If a BtB sales order is held then the purchase order, (that will be automatically generated from it), will be created once the order lines are released.

Credit checks:
Once an order has been released, a second credit check will not be made by the Print sales order pick lists program. Note: This only applies if the CR-PL (Credit control, pick list) function is activated in the Function control file.

Searching through records
You can search through all held orders and select the sequence (order) in which they are displayed on screen. You can also narrow down the search results by clicking More selections to enter a more precise search criteria.

Note: If you enter as your search parameters Hold date, Customer number or Debtor number the information displayed in the columns will be altered. See the Column headings section (below) for details.

Note: If you enter a search criteria, the message Note: More selections exist indicates that only selected records are displayed. To display all records click More selections to access the More selections panel and clear all search criteria.

Options

Maintain order/quotation Select this option for the order/quotation you want to maintain.
Reasons Select this option for the order/quotation for which you want to view held reasons.
Release order/quotation Select this option for the order/quotation you want to release.
Unlock Select this option to unlock a locked order/quotation. This can only be performed by the user who locked the order/quotation (indicated in the system message) or by a user with administrator authority.

Function keys

More selections Access the Work with held orders, More selections panel or Work with held service orders, More selections panel or Work with held sales quotations, More selections panel, where you can make selections that will sort and/or subset the records displayed on this panel. You can also use this function key to view the sequence parameters and/or selections that already have been used to subset the panel.

Selection fields

Column headings

The column headings that are displayed may differ according to the mode that you are in. These are dependent upon whether or not you entered a search criteria on the Work with held orders, More selections panel or Work with held service orders, More selections panel or Work with held sales quotations, More selections panel (accessed by clicking More selections).

The section below details each view mode and the information that they display in the columns.

In Default view mode

Order/Quotation
When working with held sales orders or service orders, this column displays the order number. When working with held sales quotations, this column displays the quotation number.
Ve
When working with held sales quotations, this column displays the version number of the quotation, if any.
Handler
This column identifies the employee responsible for the transaction. This value is defined in the Signature table.
Hld
This column denotes the level that the order/quotation is being held at (i.e. line or order level).
RC
This column indicates the reason(s) why the order/quotation was held. A double plus sign (++) means that the order/quotation is being held for various reasons. In this case, select the Reasons option to view all the reasons why it was held.
Customer
This column displays the customer code.
Customer name
This column displays the name of the customer on the order/quotation.
Order value/Quote val
When working with held sales orders or service orders, this column displays the total value of the order lines, after deduction of the header discount, and including VAT if the order includes VAT. Free-of-charge order lines are not included in this value.

When working with held sales quotations, this column displays the total value of the quotation lines, after deduction of quotation header discount, and including VAT (if applicable). Free-of-charge quotation lines are not included.

Debtor
This column identifies the customer that is responsible for paying the invoice.
Debtor name
This column displays the name of the debtor.
Customer order
This column displays customer order reference.
Order type
This column displays the order type.
Disp date
This column displays the date when the goods will be dispatched to your customer.
Total amt incl VAT
This column displays the total amount including VAT in order currency.
Total amt excl VAT
This column displays the total amount excluding VAT in order currency.
VAT amount
This column displays the VAT amount in order currency.
Inv amt incl VAT
This column displays the total invoice amount including VAT in order currency. The invoiced amount also includes invoiced lines.
Inv amt excl VAT
This column displays the total invoice amount excluding VAT in order currency. The invoiced amount also includes invoiced lines.
Inv VAT amt
This column displays the invoiced amount including VAT in order currency. The invoiced amount also includes invoiced lines.

In Hold date sequencing mode

This mode is accessed by clicking More selections and selecting Hold date as one of your search criteria and clicking OK.

Hold date
Indicates the date that the order/quotation was held. Orders/quotations that are held for various reasons are flagged by double plus signs (++) in the RC column. Displays the earliest date.
Order/Quotation
When working with held sales orders or service orders, this column displays the order number. When working with held sales quotations, this column displays the quotation number.
Ve
When working with held sales quotations, this column displays the version number of the quotation, if any.
Hld
This column denotes the level that the order/quotation is being held at (i.e. line or order level).
RC
This column indicates the reason(s) why the order/quotation was held. A double plus sign (++) means that the order/quotation is being held for various reasons. In this case, select the Reasons option to view all the reasons why it was held.

Sequence

Sort order
Held orders/quotations can be sorted at a multiple level by using a combination of three key fields. How the key fields are arranged, or classified, is completely user-definable. For example: They can be sorted first by Hold date, secondly by Customer number and lastly by Debtor number.

The following three parameters are used to specify the order in which the held orders/quotations are sorted by the system.

  • Hold date
  • Customer number
  • Debtor number

Enter a value from 1-3 to specify the order in which the records are sorted.

A/D

Ascending or descending order
Each of these parameters can be displayed in ascending or descending order. Enter A in the second field to display the information in ascending order, or D to display it in descending order.

Selections

  • Held orders/lines or Held quotes/lines
    Note: Defaults with the YES setting, but can be changed. Indicate if you wish to include held orders/quotations or orders/quotations having held lines.
  • Released orders/quotes
    Note: Defaults with the NO setting, but can be changed. Indicate if you wish to include orders/quotations that have been released.
  • Order/Quote number
  • Handler
  • Hold level
  • Reason code
  • Customer
  • Debtor number
  • Customer order
  • Order type
  • Division
    Note:
  • Cost centre
    Note: This field is only displayed if the Cost centre handling function is activated.
