Work with stock takes, Stock take list selection (DMR65001)

The purpose of this program is to select and print a stock take list to be used in the warehouses for the stock take count procedure. During the time that an item is on a stock take list, no pick lists or reception notes can be printed where that item is included.

Note: For batch-controlled items, one particular batch can be under stock take. This means that you are allowed to receive goods only into batches that are not under stock take.

If DC1 Warehouse Management is installed and activated, you can process both Warehousing items and non-Warehousing items. This option is dependent on the selection criteria you choose. If the selection is to cover both Warehousing items and non-Warehousing items, two lists will be printed with different stock take list numbers.

Selection

The stock take process provides three ways to print a stock take list:

  1. a new stock take list
  2. recount instruction for an existing stock take list
  3. append a new count instruction to an existing stock take list
Warehouse
Enter the warehouse for which the stock take list should be printed.
R/F stock take
This field is only displayed if DC1 Radio Frequency is installed and activated. Indicate if you want the stock take suggestion lines to be available for R/F batch creation. An item that is under R/F stock take can be printed on picklists and reception notes.
R/F batch template
Note: This field is only displayed if DC1 Warehouse Management and DC1 Radio Frequency are installed and activated in the company in which you are working. You can only complete this field if the R/F stock take field on this panel is set to YES.

Enter a code from the Batch creation template table indicating the R/F batch template to be used for the automatic batching of the created stock take list.

If this field is completed, the automatic R/F batch creation will start when the stock take list is printed. The batches will be created according to the batch rules connected to the selected template. The suggestion codes, order restrictions, selection criteria and size tolerance values defined in the Batch rule table control the creation of the batches. If a resource group is defined in the batch rule, the R/F batches will be assigned to that resource group automatically.

Balance reconc
The balance reconciliation is used to correct any discrepancies between the stock balance in DC1 Distribution and DC1 Warehouse Management. Normally there are no discrepancies, but if a program involved in any routine regarding stock ends abnormally, differences can occur.

Set this field to YES if you want to perform balance reconciliation. Any differences in stock balance between DC1 Distribution and DC1 Warehouse Management will be corrected according to the counted values when you update the stock take. Note: If you set this field to YES, the Std item count field must be set to YES.

Set this field to NO if you do not want to perform balance reconciliation.

Serial number reconc
Serial number reconciliation is used to reconcile the Serial number tracking file and the Warehouse balance file for serial number handled items.

If you set this field to NO, no serial numbers have to be entered during Stock take entry for items that are not to be tracked.

If you set this field to YES, only serial number handled items with differences between the Serial number tracking file and the Warehouse balance file are printed on the Stock take list. After physically counting the stock in the locations, you enter the quantities on Location level in the Stock take entry program. Upon exiting the Stock take entry program (DMR657) by pressing F12, the system will prompt one of the two programs below, depending on the differences, and display all serial numbers on Warehouse level:

  • Serial number entry – removal from stock (DMR955),

    or

  • Serial number entry – add to stock (DMR956).

Recount list
Enter the number of the recount list to issue recount instructions for a count list. This number is automatically retrieved when you select the Print recount list option for an open list on the initial Work with stock takes panel. This function is used to print the stock take list again, to be able to count the items/locations several times. The system will keep track of how many times the items/locations have been counted.
Append to list
Enter the number of the append list to get more count instructions to an existing list, instead of creating a new one. This number is automatically retrieved when you select the Append to list option for an open list on the initial Work with stock takes panel. This function is used to, e.g., add items/locations to an existing stock take list. Note: Only the added items/locations are printed on the stock take list.
Description
Enter a description describing the stock take list.

List type

Std item count
Indicate if you want to perform a standard item count. If you set this field to YES, you can make both location- and item selections, to define which locations/items should be included in the stock take.

Std location count
Indicate if the location count should generate instructions to count selected locations. If area-specific selections are made for Warehousing items, activity will only be prevented in those locations included on the count list. Note: If you set this field to YES, you are only allowed to make location selections to define which locations should be included in the stock take.

On this panel you define the sequence and page break for the printing of the stock take list.

If DC1 Warehouse Management is installed and activated all fields on the panel will be used. The Stock Zone, Bin location 1 and Bin location 2 fields will be used when processing items not controlled by DC1 Warehouse Management.

If DC1 Warehouse Management is not installed and activated, the Zone, Location, Put away priority, Pick priority and Page Break: Zone fields are not displayed.

    Note: The sequence that is decided here will be the sequence used throughout the stock take routine (i.e. for all lists), and cannot be changed later on.

Page Break

You can issue a page break, for DC1 Warehouse Management items on the stock take list, by number of lines or the combination of number of lines and zone.

For non-Warehousing items, a page break can only be issued by number of lines.

No. of item lines
Enter the number of lines that you want to have printed on each page. The number of lines have to be less than 18 which is a full page. If you leave this field blank, it will work as normal, meaning a full page.
Zone
Indicate if you want to issue a page break for every zone.

On this panel you select the information to be included on the printout.

This panel is displayed whenever a new list is generated or more instructions are appended to an existing list. If a standard location count list is selected, only location selections can be made.

Location selections

These location selection parameters are only displayed if DC1 Warehouse Management is installed and activated and List type Std location count is selected on the initial panel.

Include non-WM prod
Indicate if non-Warehousing items should be included in the stock take selection. If this field is set to YES and the Include WM items field is set to YES, two stock take lists are produced, with different list numbers.

Include WM items
Indicate if DC1 Warehouse Management items should be included in the stock take selection. If this field is set to YES and the Include non-WM items field is set to YES, two stock take lists are produced, with different list numbers.

Last stock take date <
Enter a date to indicate that locations counted before this date should be selected or leave blank to select all.

Chk open reservation
Indicate if open reservations should be taken into consideration during the stock take printout. If this field is set to NO, the items that have been selected on the pick list or kitting list will be included in the stock take even if open reservations exist. If this field is set to YES, items with open reservations will not be included in the stock take.

Note: If an item for which open reservations exist is printed on the stock take list it will still not be possible to report the pick or kitting list.

Print empty location
If Std location count and Include WM items are set to YES, then indicate if empty location lines should be printed. If you set this field to NO, then the empty location lines are selected for stock take and can be counted, but they will not be printed on the stock take list.

Location owner group
This field is only displayed if the STKOWNER (Stock Ownership) function is activated in the Function control file and is applicable for both the Stock ownership functionality as well as the Contract Managed Inventory functionality (if the DC1 Contract Managed Inventory (CMI) application is activated). Make a location owner group(s) selection if you want to perform a stock take of the following:

  • internal goods owned by cost centre.
  • external goods owned by customer and/or supplier which is applicable for the CMI functionality for Customer Deposit Stock (CDS) and Supplier Consignment Stock (SCS) inventory contracts.
Cost centre
This field is only displayed if the STKOWNER (Stock Ownership) function is activated in the Function control file and cost centre account part (in DC1 Financials) is activated. It is applicable for internally owned stock in your physical warehouse. Make a cost centre(s) selection if you want to perform a stock take of internally owned goods by cost centre.
Business partner
This field is only displayed if the STKOWNER (Stock Ownership) function is activated in the Function control file and the DC1 Contract Managed Inventory (CMI) application is activated. It is applicable for externally owned stock in your physical warehouse for the CMI functionality for Customer Deposit Stock (CDS) and Supplier Consignment Stock (SCS) inventory contracts. Make a business partner(s) selection if you want to perform a stock take of externally goods by business partner.

This panel is displayed whenever a recount of an existing stock take list has been selected on the initial panel. Only those items or locations that have been counted in the Stock take entry routine (DMR65702) can be printed on the stock take list.

Item selections

  • Cost difference >
    Enter the accepted stock take difference expressed in cost value. The stock take difference between the counted quantity and the stock on hand quantity, multiplied by the cost price, will be calculated for every item within the selected stock take list. Any items with an absolute difference exceeding this entry will be printed on a stock take list as a recount instruction.

  • Movability
    This field is only displayed if DC1 Inventory Control is installed and activated.

Location selections

These location selection parameters for recounting stock are only displayed if DC1 Warehouse Management is installed and activated.

  • Cost diff/prior cnts >
    If two or more counts have been recorded for a location, the difference between the recorded counts can be used for selection of recount instructions. When two counts have been recorded, the difference of the two counts expressed in cost value is compared to the value entered here. If the difference is greater than the entered value, a recount instruction is printed. When more than two counts have been recorded the difference used is the smallest difference of the last three counts.
  • For example:

    An item has been counted four times. The cost price of the item is 2.00 per unit.

    Count Qty diff Value diff

    The two differences used are:
    Count 2 less Count 4 = 30.00- (absolute value 30.00)
    Count 3 less Count 4 = 8.00

    The smallest difference (8.00) is compared to the cost difference value entered in this Cost diff/prior cnts > field.

Print serial number
Indicate if serial numbers should be printed on the stock take recount list for those items which are defined with the Serial no. tracking field set to YES in the Item file. Note: For DC1 Warehouse Management-controlled items, serial numbers will not be printed.
Reset limited diff
Indicate if the system should only consider those that have a difference in the stock and the actual counted.

    This field is only displayed if DC1 Inventory Control is installed and activated.

These item selection parameters are only displayed if you are only running DC1 Distribution or running DC1 Warehouse Management and List type Std item count is selected on the initial panel.

Stock on hand < X <
This field is divided into two parts; one lower and one upper limit. To select which items are to be printed on a stock take list, enter a lower limit to only print those with quantity in stock greater than the entered quantity or enter an upper limit to only print those items with quantity in stock below the entered quantity. If you enter both a lower and an upper limit, only items above and under the entered limits will be printed.

Note: If the lower limit is set to 0 (zero), only items with at least 1 item in stock will be printed on the stock take list. This check is also performed on batch level for batch-controlled items meaning that only batches with at lease 1 in stock are printed on the stock take list.

Last stock take date <
Enter a date to indicate that items counted before this date should be selected or leave blank to select all.
Print serial numbers
Indicate if serial numbers should be printed on the stock take list for those items which are defined with the Serial no. tracking field set to YES in the Item file.
Suspend if needed
When issuing a stock take list for “location count” all items existing in a selected location must be available to be counted. When issuing a “item count” list, without any location specific selections, all locations where a selected item exists must be available to be counted.

Indicate if items or locations for which an open activity exists, i.e. they are not available for stock take, should be suspended. When suspending, the stock take status code on the location or item record will be set to 9 (Item is suspended). This indicates that no more activities can be suggested until the location or item has been counted.

The suspended item will be included on the stock take list when the open activity has stopped. (Set the Suspended only field to YES if you only want suspended items to be printed on the new stock take list). When the list is printed, the stock take status will be reset to 1 (Item is under stock take). When the item has been counted and the stock take list is updated, the stock take status will be reset to Blank (Item is not under stock take).

Suspended only
If Suspend if needed has been used on prior stock take lists, this field can be used to limit the selection of locations or items to be included on the stock take list. If you set this field to YES, only locations or items with a stock take status code of 9 (Item is suspended) will be considered for the stock take list.
