Open a new batch using entry option FINANCIAL

Prerequisites
Use a voucher type with Entry option set to FINANCIAL, meaning the entry option created in Set up an entry option.

  1. Select the menu item you created in Create the menu item needed to use a new entry option.
  2. You access Financial system transaction entry. Note: Only fields with attribute set to YES for the entry option are displayed on the panel. Complete the following fields:
  3. Accounting period
    The system proposes the current period, according to the Actual year/period field in the G/L control file. You may change to another open period within the limits of allowed entry, as defined in Max periods backward and Max periods forward in the G/L control file.
    Voucher type
    Enter a voucher type for entry option FINANCIAL. The voucher type you enter controls the voucher numbering, as well as which entry routines are valid. Tip: This field can be defaulted by the entry option.
    Voucher number
    See About working with voucher numbers for more information on this field.
    Voucher date
    The system proposes the current date as voucher date, but you can change to another date.

    Click OK.

  4. You re-access Financial system transaction entry with additional information.
  5. Account
    Displays the account string related to the pseudo account defined for the used voucher type.
    Currency
    Displays the currency defined on the account.
    Opening balance
    The system proposes the opening balance of the entered period for the account defined on the voucher type. You may change this amount if another opening balance is printed on the bank receipt. The opening balance must be entered in the same currency as defined for the account.
    Closing balance
    You must enter the closing balance printed on the bank receipt. The closing balance must be entered in the same currency as defined on the account. The system will calculate the amount to be applied (opening – closing balance). If the batch will be closed, then a check is done if the applied amount matches the entered amount.

    Click User template to change your default transaction entry options. See About working with transaction entry templates for more information.

    Click Select batch number to resume entry for an interrupted batch. See About starting/closing manual transaction entry for further information. Note: The system will only display interrupted batches that have been entered using the same entry option.

    Click OK.

  6. You access the same panel again, but the routines that are valid for the selected voucher type are displayed. Select the routine you want to work with and click OK to start your transaction entry.
  7. Tip: From the transaction entry panel go back to the previous panel and click Voucher overview to obtain an overview of the entered voucher numbers in the batch. For more information, see Obtain an overview of the entered voucher number.

    Tip: From the transaction entry panel go back to the previous panel and click Transaction overview to obtain an overview of the entered transaction within a voucher number. You will access a panel showing all the manually entered transactions for the voucher number in the Voucher number field.

    Exit the routine.
