Checklist reporting is used to enforce quality control for service jobs. Checklist reporting allows you to report and verify that all the service checkpoints are completed before closing the Service job.

Checklists are documents containing a list of check points which need to be checked by the service personnel while executing the service order.

When closing a service job that allows checklist handling, the checklist reporting panel will be presented where you perform the reporting if the following conditions are met:

  • The Checklist control flag is enabled on the Work with sales order types, Service information panel.
  • One or more checklists are assigned to the item (via the Assign checklists function key) on the Item file maintenance, Service object information panel.

If more than one checklist is assigned to the object, it will be possible to select what checklist you want to start the reporting for. All values are displayed during checklist reporting, but those flagged as mandatory must be met in order for a service job to be closed. If the minimum/maximum value range for any mandatory values are not met, or are not entered, you will not be able to close the service job. Any checklist being reported can be saved in an incomplete status, but you will not be able to close the job until all mandatory values are reported with valid values.

Note: Checklist handling setup is required to allow the checklist reporting panel to prompt when closing a service job.

Setting up checklist handling

The following must be set up to utilize checklist handling:

  1. Checklist must be defined in the Work with checklists program with connected checklist criteria. In the Work with checklist criteria routine you define the applicable checkpoints for the nature of your business and the values that must be met per checkpoint, (e.g., minimum/maximum, type of validation – mandatory or optional, etc). The type of input field displayed during checklist reporting (i.e. checkbox or longer input field for entering alpha or numeric results) is also set up per value. You can define/combine several values to one checklist criterion. The sequence in which the checkpoints should be performed is also defined in the checklist criteria.
  2. Sales/service order type must allow Checklist handling (i.e. the Checklist control flag on the Work with sales order types, Service information panel must be set to YES).
  3. The following must be defined for the item (service object) on the Work with items, Inventory information panel:
    • Serial no tracking must be set to YES
    • Repair history must be set to YES
  4. Checklist must be assigned to the item. (Done via the Assign checklists function key on the Work with items, Service object information panel.)

Enquiries and printouts

  • Service object enquiry to view the reported checklists.
  • Checklists can be printed either from the reporting panel, or from the Checklist history panel.
