On this panel you load the declaration files with the G/L transaction information, based on the setup of the declaration identity, the declaration code and the entered selections for the different declarations.
You can enter selections of the G/L transactions that you want to load in the declaration files. You can choose to keep the old declaration transactions (you might have maintained the loaded transaction before), or you can choose to delete the existing records for a certain date selection.
If all G/L transactions are read from an invoice, then the declaration with the highest sequence identity defines the declaration in which the invoice should be included. A transaction cannot be included in multiple declaration codes. If no declaration is found for a transaction, then the default declaration is used. By defining a dummy declaration as default, it is possible to exclude transactions from the normal official declarations.
Selection
- G/L
- Indicate if you want to include pure G/L transactions in the selection.
- A/R
- Indicate if you want to include the G/L transactions related to the A/R sub-administration in the selection.
- A/P
- Indicate if you want to include the G/L transactions related to the A/P sub-administration in the selection.
- Voucher date
- State the range (from – to) of voucher dates to include in the selection. The system checks that the ending value is greater than or equal to the starting value. Leave the fields blank if all voucher dates should be included. A record is only included if it fulfils all selection criteria.
- Declaration identity
- You can narrow down the declaration identities that you want the system to process by establishing search criteria. You can construct a query that – when launched – will search through the G/L transactions and select those that match single values, or those that belong to a range of values. You can also establish the opposite, meaning you want the system to exclude the entered single declaration identities or range of declaration identities. There are four types of filters that you can choose from:
- Select single values
Enter 1 in the first field. In the adjacent fields enter the single declaration identities that the system must search for and include in the selection. All the records that match any of these declaration identities will be selected. - Select a range of values
Enter 2 in the first field. In the first two adjacent fields enter the start and end declaration identity of the range. All the records that contain a declaration identity within this range will be selected. Note: If only a start declaration identity is entered, this declaration identity and the values greater than the start declaration identity will be selected. If only an end declaration identity is entered (in the second adjacent field), this declaration identity and the declaration identities up to the end value will be selected. - Omit single values
Enter 3 in the first field. In the adjacent fields enter the single declaration identities you want the system to exclude from the search. - Exclude a range of values
Enter 4 in the first field. In the first two adjacent fields enter the start and end declaration identities of the range. All the records that contain a declaration identity within this range will be excluded. Note: If only a start declaration identity is entered, this declaration identity and the values greater than the start declaration identity will be excluded. If only an end value is entered (in the second adjacent field), this declaration identity and the values up to the end value will be excluded.
A record is only included if it fulfils all selection criteria.

Previous declarations
- Delete
- Indicate if you want to delete the previously loaded transactions.
- Voucher date
- If the Delete field is NO, then enter a voucher date range selection to include previous declaration vouchers within the specified range. If the Delete field is YES, and you enter a voucher date range selection, then only the transactions within this range will be deleted from the declaration files.
