From the initial Work with attesting panel you manage the entire process flow through for the employees you are authorised to attest.

Prerequisites
Attesting can be performed automatically or manually. This is defined in Work with system values.

If the system values are set to manual attesting, the attesting has to be done before the calculation of the time journal. Days in status 0 always have to be attested before calculation. Whether a day has been attested is indicated in the employee calendar.

Error indication
Before time calculation, when a day is in status 0 (Not processed), the TR journal is checked and errors are indicated in the following cases:

  • The day schemes of two days are overlapping, which makes the start or end of one scheme inside working hours of the other.
  • The sequence of IN, OUT, Start and Stop is not correct.
  • A time code indicating absence is used in a wrong way.
  • The system is set up for manual attesting of the journal and the day is not attested.

If there are no errors, exceptions are indicated in the following cases:

  • Presence is expected, but the journal is empty.
  • Presence is not expected and the journal contains records.
  • A time code has been used.
  • Clocking in or out outside expected intervals (zones).
  • The calendar refers to a day scheme, which is not valid for the current scheme group of the employee.

When a day is in status 1 (Calculated), i.e. day balances are calculated but not transferred to the payroll system, exceptions are indicated if the balances are created from a journal having exceptions. The TR journal is checked and the exceptions as mentioned above are indicated.

If there are no exceptions and the system is set up for manual attesting an error is indicated if the day is not attested.

Attest week/day
There are several ways of attesting transactions and day balances for a selected employee. You can:

Attest reported time for a week

  1. Select the Work with attesting menu item.
  2. On the Work with attesting, Select attest group panel, select an attest group and click Empl overview.
  3. You access Work with attesting, Employee/Week. This panel automatically displays the reported times for a specific employee and week.
  4. Employee
    Displays the first employee in the attest group, but can be changed.
    Year/Week
    Displays the latest used week for the employee, but can be changed.

    Click Attest. You have now attested the reported time for the selected employee and week. To continue attesting time, use the Prv week/Next week and Prv employee/Next employee function keys to toggle between weeks and employees. Exit the routine.

Attest reported time for a day

  1. Select the Work with attesting menu item.
  2. On the Work with attesting, Select attest group panel, select the attest group for which you want to view a summary and click Day overview.
  3. You access Work with attesting, Calendar day overview showing an overview of the days in an interval of dates for employees in the selected attest group. You have several attesting options. You can:
    • Select a record and click Attest to attest time for a specific employee and date.
    • Click Attest all to attest all dates within the selected date interval for all selected employees.

    Tip: Click Toggle Action/All to toggle between viewing all days and viewing the days where an action is needed, e.g., when a clocking-out is missing. To continue attesting time, click Previous week/Next week to toggle between weeks. Exit the routine.

Attest reported time for a period

  1. Select the Work with attesting menu item.
  2. On the Work with attesting, Select attest group panel, select the attest group for which you want to view a summary and click Period overview. Note: You can also access the period overview by clicking Per overview on the Work with attesting, Calendar day overview panel.
  3. On the Work with attesting, Period overview panel, select the employee for whom you want to attest time and click Details.
  4. You access Work with attesting, Employee/Day. Tip: Click Toggle Action/All to toggle between viewing all days and viewing the days where an action is needed before the attesting can take place, e.g. when a clocking-out is missing. This panel displays the time per employee and days within the selected period. You have several attesting options. You can:
    • Select a date within the period and click Attest to attest time for a specific date.
    • Click Attest all to attest all dates for the employee within the selected period.

Exit the routine.
