Sales order/Sales quotation/Service order enquiry, Addresses (DSR12301)

This panel displays the different addresses for an order/quotation, from which you can select to view the information. Note: For sales quotations, the only applicable address is the Quotation address, which will also be used when the quotation is printed. It is also possible to view the other addresses even though they are not used for a quotation. However, they will be valid later when the quotation is copied to a sales/service order.

Options

Display Select this option to view the selected address.

Function keys

Profit View profit margin information for the order/quotation or line. Note: This function cannot be used if a component is displayed and the structure type has the price calculation code set to 1, 3 or 4. If this is the case, then the sales price and cost for the whole structure are added to the parent item which will display the profit.
Order settlements View credit card, cash or cheque payments that have been entered for this transaction.
Order header For sales and service orders, access the Order header, Main information panel. For sales quotations, access the Quotation header, Main information 1 panel.
Order lines This function key is only displayed for sales orders and sales quotations. Access the Complete order panel to view the order/quotation lines.
Display reporting currency View the amount(s) in system currency and reporting currency. Note: Only displayed if a reporting currency is defined in Work with companies and if it has a fixed exchange rate, i.e. Fixed exchange rate is set to YES in Work with currencies for this currency.
Jobs This function is key is only displayed in the Service order enquiry. Access the Service order jobs panel to view the jobs.
Maintain program function Access Work with program function keys to work with the functions available in the program in which you are working.

Customer
Displays your customer’s name and number.
Order value/Quote value
Displays the total value of the order lines/quotation lines, after deduction of order header discount/quotation header discount, and including VAT (if applicable). Free-of-charge order lines/quotation lines are not included.

Note: This field cannot display amounts greater than 9999999999,999. If the amount exceeds this value, this field will display the last 10 digits of the amount.

Order number/Quote number
Displays the order number/quotation number and any version.
Credit limit
Indicates your customer’s credit limit. This amount is established in the Credit limit field of the Business partner file, A/R basic data panel.
Balance
Indicates your customer’s total sales order/quotation balance (in system currency).

Note: If the debtor is not your customer, then the value displayed in this field represents the debtor’s total balance and not the customer’s.

+ Open orders

–  Received payments

= Total balance

This field is highlighted if the credit limit is exceeded. An authorised employee must then take necessary actions to release it for further processing.

Note: This field cannot display amounts greater than 9999999999,999. If the amount exceeds this value, then only the last 10 digits will be displayed.

Note: Only the displayed value will be truncated. The full amount will be correctly updated to the database.

For sales and service orders, this panel displays the Confirmation address information for the order you have selected. For sales quotations, this panel displays the Quotation address information for the quotation you have selected, which will also be used when the quotation is printed.

Function keys

Customer
Displays your customer’s name and number.

Note: If the debtor is not your customer, then the value displayed in this field represents the debtor’s total balance and not the customer’s.

Confirmation/Quotation

Address number
Displays the number of the order confirmation/quotation address from the Business partner file for this customer. Note: If the order is for a Cash sale, the number is set to blank, meaning a manual confirmation address could have been entered.
Address
Displays the address text. Note: If the order is for a Cash sale displays the address from the Cash sale header panel, or a manually entered address from the Confirmation/Quotation address panel in Order maintenance.
Service code
Only applicable if you are running the DC1 GB Parcel Carrier application. Displays a code from the Carrier table, Service code table, indicating the service used by the carrier to deliver the goods to the customer of this sales order. When a sales order is entered, the carrier’s service code is automatically updated to the order from the customer, if a default service code is defined for the customer. See About the Parcel carrier functionality (Great Britain) for more information.
County
This field is only displayed if Validate county in Work with countries is set to Optional or Mandatory for the Country code on this panel. Indicates in which county the confirmation/quotation address is located.
Tax jurisdiction
Only displayed and validated if Sales tax handling in both Work with companies and Work with countries is set to YES. This field is automatically completed if you have an automatic tax package, such as Vertex or AVP. Otherwise, the value in this field can be manually assigned in the maintenance program if you have a user-defined tax interface. Displays the tax jurisdiction for the customer.
Country
This field is only displayed if the EU reporting function is activated. Indicates in which country the confirmation/quotation address is located.
E-mail address
Only displayed if at least one of the following is true:

  1. This is a sundry customer. Displays the e-mail address of the contact applicable for this sundry customer’s confirmation/quotation address, if defined.
  2. The order is created via NetStore and order confirmation/quotation is to be printed for the order/quotation according to the order type. Displays the e-mail address to which the order confirmation/quotation should be sent, if defined.
  3. (If a sales order) DI document ORDRSP (sales and order responses) is activated under DI method ACCEMAIL for the customer in the Business partner file and order confirmation is to be printed for the order according to the order type. Displays the customer’s e-mail address to which the DI ORDRSP should be sent, if defined.
  4. (If a sales quotation) DI document QUOTES is activated under DI method ACCEMAIL for the customer in the Business partner file. If an e-mail address to which DI QUOTES should be sent is defined for the customer (i.e. Business partner file/DI documents panel, in the Send address field), then it is defaulted.
E-mail address 2
This field is only displayed if at least one of the following is true:

  1. This is a sundry customer. Displays the e-mail address of the contact applicable for this sundry customer’s confirmation/quotation address, if defined.
  2. The order is created via NetStore and order confirmation/quotation is to be printed for the order/quotation according to the order type. Displays the e-mail address to which the order confirmation/quotation should be sent, if defined.
  3. (If a sales order) DI document ORDRSP (sales and order responses) is activated under DI method ACCEMAIL for the customer in the Business partner file and order confirmation is to be printed for the order according to the order type. Delivery

Location
This field is only displayed if DC1 Service is installed and activated, and for Service orders, and quotations of type service (not sales and agreement orders). Displays the location number for which the spare parts should be sent. The predefined address corresponding to the location number is retrieved from the Service location file.
Engineer
This field is only displayed if DC1 Service is installed and activated, and for Service orders, and quotations of type service (not sales and agreement orders). Displays the engineer code for which the spare parts should be sent. The predefined address corresponding to this code is retrieved from the Service engineer table.
Address number
Displays the number of the order delivery address from the Business partner file for this customer. Note: If the order is for a Cash sale, the number is set to blank, meaning a manual delivery address could have been entered.
Address
Displays the address text. Note: If the order is for a Cash sale displays the address from the Cash sale header panel, or a manually entered address from the Delivery address panel in Order maintenance.
Address category
Displays an address category from the Address category table. If a sales restriction exists with this address category as a sell to key, the sale to this delivery address will be restricted. The handling of the order is dictated by the degree of severity placed on the sales restriction. See Work with restricted sales for more information.
County
Displays the county in which the customer/supplier is located. This field is only displayed if the Validate county field in Work with countries is set to Optional or Mandatory for the Country code displayed below.
Tax jurisdiction
Only displayed and validated if Sales tax handling in both Work with companies and Work with countries is set to YES. This field is automatically completed if you have an automatic tax package, such as Vertex or AVP. Otherwise, the value in this field can be manually assigned in the maintenance program if you have a user-defined tax interface. Displays the tax jurisdiction for the customer.
Route
Note: This field may have been completed for sales quotations in the maintenance program, but it will not have any relevance until the quotation becomes a sales order. Displays the delivery route that was defined for this sales order on the Work with sales order, Delivery address panel. This field is used by the Shipment preparation process to automatically plan the deliveries to be made according to the scheduled departures (Main info where and when the goods will be delivered). The program also establishes the content (sales order lines) that will be dispatched along the route.
Departure
Note: This field may have been completed for sales quotations in the maintenance program, but it will not have any relevance until the quotation becomes a sales order. Displays the departure that was defined for this sales order on the Work with sales order, Delivery address panel.
Destination
Note: This field may have been completed for sales quotations in the maintenance program, but it will not have any relevance until the quotation becomes a sales order. The destination code describes the location of your customer’s site and is defined for the customer in the Business partner, Address file. This code is used in Work with routes which is part of the Shipment preparation process. The route plans allow the system to schedule the deliveries made to customers along a given route.

Shipping agent
Note: This field may have been completed for sales quotations but it will not have any relevance until the quotation becomes a sales order. Identifies the external company responsible for transporting your goods to your customer. This value is defined in Work with shipping agents.
Country
This field displays the country code of the delivery address.
Sourcing policy
Displays a code from the Sourcing policy table identifying the sourcing policy attributed to the customer in either the Business partner address file or the Sales order address file.
E-mail address
Only displayed if at least one of the following is true:

  1. This is a sundry customer. Displays the e-mail address of the contact applicable for this sundry customer’s delivery address, if defined.
  2. The order is created via NetStore and a transport note is to be printed for the order according to the order type. Displays the e-mail address to which the delivery note should be sent, if defined.
  3. DI document DESADV (dispatch advice) is activated under DI method ACCEMAIL for the customer in the Business partner file and a transport note is to be printed for the order according to the order type. Displays the customer’s e-mail address to which the DI DESADV should be sent, if defined.

Invoice

Invoice customer
Displays the number of the invoice customer, i.e. the customer to where the invoice should be sent, if different from the customer number.
Address number
Displays the number of the invoice address from the Business partner file for this customer. Note: If the order is for a Cash sale, the number is set to 999, meaning a manual invoice address could have been entered.
Address
Displays the invoice address, from the Business partner file for this customer who is to receive the invoice. Note: If the order is for a Cash sale displays the address from the Cash sale header panel, or a manually entered address from the Invoice address panel in Order maintenance.
County
Displays the county in which the customer/supplier is located. This field is only displayed if the Validate county field in Work with countries is set to Optional or Mandatory for the Country code displayed below.

Displays the e-mail address of the order’s debtor to which the DI INVOIC should be sent, if defined.

Debtor

Debtor number
Displays the number of the debtor, i.e. the customer who is paying the invoice, if different from the customer number.
Address number
Displays the number of the debtor address from the Business partner file for this customer. Note: If the order is for a Cash sale, the number is set to 999, meaning a manual debtor address could have been entered.
Address
Displays the debtor address, from the Business partner file for the customer who is to pay the invoice. Note: If the order is for a Cash sale displays the address from the Cash sale header panel, or a manually entered address from the Debtor address panel in Order maintenance.
County
Displays the county in which the customer/supplier is located. This field is only displayed if the Validate county field in Work with countries is set to Optional or Mandatory for the Country code displayed below.
Tax jurisdiction
Displays the tax jurisdiction for the customer. This field is only displayed if sales tax handling is activated.
Country
Displays the country code of the debtor address.
VAT registration no
This field is only displayed if the EU reporting function is activated and is used to declare quarterly sales, per country. If a debtor address number exists for this customer in the Business partner file, displays the VAT registration number for the customer who is paying the invoice.
E-mail address
Only displayed if this is a sundry customer. Displays the e-mail address of the contact applicable for this sundry customer’s debtor address, if defined.
