This panel displays the ARCOS transactions that were automatically and manually created based on the ARCOS matrix set-up for all inventory transactions created at picking and receptions, as well as manually created inventory transactions (e.g. moving goods between warehouses, moving goods from NCC, etc), that contain items flagged for ARCOS reporting.
Any automatically created ARCOS transactions in error are denoted with an E in the Status column. An error could, for example, have occurred due to a missing field value that was set as mandatory. You can correct the erroneous transaction (i.e. field value) via the Correction option if the Allow change flag for the erroneous field was set to YES for the transaction code in the Work with ARCOS transaction codes file.
The ARCOS report to be sent to the DEA can be printed via the ARCOS report file creation menu item.
Options
Add | Select this option to manually create an ARCOS transaction. ARCOS transactions may be manually created, if required, for specific ARCOS transaction codes if the Allow manual create flag is set to YES for the transaction code in the Work with ARCOS transaction codes file. The transaction codes that allow manual creation are:
For the other transaction codes, the Late transaction flag must be set to YES on the Add panel in this file and the Allow manual create flag must be set to YES for the transaction code in the Work with ARCOS transaction codes file to be able to manually create a transaction. |
Correction | This option is used to correct an ARCOS transaction. This option can be used to correct a transaction that has been rejected by the ARCOS system data validation procedures. The correction option is only valid for records where the Reporting period end field is blank and the Action identifier field is blank. Records with subsequent transactions (i.e. adjustment, correction, or deletion) cannot be corrected. The ARCOS transaction code table determines which fields are changeable. The Correction number field is mandatory. |
Adjustment | This option is used to make adjustments to transactions that have already been sent through the ARCOS report file creation process. An adjustment transaction is used when the ARCOS editing programs have not rejected an original transaction, but the transaction by the submitting registrant is found to be inaccurate. An adjustment transaction consists of two records, the deletion record and the adjustment record. The ARCOS transaction code table determines which fields can be adjusted. |
Deletion | This option is used to delete transactions that have already been sent through the ARCOS report file creation process. The deletion transaction removes a transaction record from this master transaction file. The deletion option is only valid when the Reporting period end field is blank and the Correction number field is equal to 0. Records with subsequent transactions (i.e. adjustment, correction, or deletion) cannot be deleted. |
Original transaction | An adjustment transaction will consist of two records, a deletion record and an adjustment record. The deletion record is the “Original transaction” and the adjustment record is the “Subsequent transaction”. Select this option to view the original transaction. |

- Reporting reg number
- This column displays the reporting registrant number. For a reception (PO), this is the DEA number for the supplier. For a dispatch (SO), this is the DEA number for the warehouse from which the items are picked. For an inventory transaction (IN), this is the DEA number for the “From” warehouse.
- Period
- This column displays the reporting period.
- Trans ID
- This column displays the transaction identifier.
- Trans date
- This column displays the transaction date.
- NDC
- This column displays the national drug code for the item.
- Business partner
- This column displays the business partner.
- Code
- This column displays the ARCOS transaction code.
- Manual
- This column denotes if the transaction was manually created.
- Action
- This column displays the code identifying the action for the transaction i.e. A (Adjustment), D (Deletion) or I (Insertion), or blank if an original transaction.
- Status
- This column displays an E if the automatically created transaction is in error.
- Reference
- This column displays the reference to the original transaction.
- Quantity
- This column displays the quantity for the transaction.
- ARCOS unit
- This column displays the unit.
- Associate registrant number
- This column displays the Associate registrant number. For a reception (PO), this is the DEA number for the warehouse to which the goods are shipped. For a dispatch (SO), this is the DEA number for the customer. For an inventory transaction (IN), this is the DEA number for the “To” warehouse.
- Order form number
- This column displays the order form number, i.e. the order reference, if the transaction is for a sales order or purchase order.
- Process transaction type
- This column displays the panel value denoting the process type for the transaction.

- Type of order
- This column denotes whether the transaction is an Inventory transaction (IN), Sales transaction (SO), or purchase Transaction (PO).
- Inventory trans type
- This column displays the inventory transaction type for the transaction.
- Inventory event code
- This column displays the inventory event code which is used to determine the events which caused an inventory transaction to be generated.
- Order type
- This column displays the order type for the purchase or sales order.
- Order number
- This column displays the order number.
- Line
- This column displays the order line number.
- Item
- This column displays the item for the transaction.
- Description
- This column displays the item description.
- Batch
- This column displays the batch ID.
- Narcotics category
- This column displays the narcotics category to which the transaction belongs.
- Warehouse
- This column displays the warehouse from which the transaction originated or the warehouse to which it is headed.
- Creation date
- This column displays the creation date of the transaction.
- Creation time
- This column displays the creation time of the transaction.
- Created by
- This column displays the user id of the person who created the transaction.
- Change date
- This column displays the date on which the transaction was last modified.
- Change time
- This column displays the time at which the transaction was last modified.

- This column displays the user ID of the person who last changed the transaction.
Work with ARCOS transactions (PHDD03604)
This panel is accessed in Add, Change, Display, Correction, Adjustment and Enquiry mode. In Display and Enquiry mode, you are only able to view the information. The panel heading differs accordingly. Some fields are only displayed in certain modes. For Change/Correction/Adjustment modes, they are referred to as Change.
On this panel you have the following possibilities:
- Add an ARCOS transaction if the Allow manual transaction flag was set to YES in Work with ARCOS transaction codes for the ARCOS transaction code you want to add.
- Change the properties for an existing ARCOS transaction. The property fields that may be open for change include the following, and depend on the Allow change flag for the ARCOS transaction code. If that flag was set to YES for any of the mentioned fields, the field will be allowed (open) for change.

Function keys
Original transaction | This function key is only displayed if the transaction is referencing the original transaction. Access the original transaction details. |
Subsequent transaction | This function key is only displayed if the transaction is referencing the next transaction for the same report number. Access the details for the next transaction. |
- Transaction code
- Enter an ARCOS transaction code. This code identifies each specific ARCOS reportable activity. If the Late transaction field is set to NO, then only ARCOS transaction codes that allow manual transactions are valid.
- Reporting reg number
- Mandatory entry. Enter the reporting registrant number. It must be a valid DEA number.
- Transaction date
- Mandatory entry. Enter a transaction date that is equal to or less than the system date.
- Late transaction
- This field is only displayed when in Add mode. This is a mandatory field. Valid values are YES/NO. Set it to YES if the entered transaction date (Year and month) is less than or equal to the most current reporting period for the corresponding reporting registrant number in the ARCOS file creation log. Set it to NO if the entered transaction date is greater than the most current reporting period for the corresponding reporting registrant number in the ARCOS file creation log.
- NDC number
- Enter the national drug code number.
- Quantity
- Enter the quantity for the transaction. It must be a positive integer if zero or blank are not allowed. You can change whether zero or blank are not allowed in the ARCOS transaction code table.
- ARCOS unit
- Enter any valid ARCOS unit or a blank value.
- Associate reg number
- Enter the business partner DEA number for the transaction. You can also enter a number that is not a DEA number. No validation is done on this field.
- Order form number
- Enter the order form number depending on the ARCOS transaction and the DEA order form number flag set in the item category for each item.
- Strength
- Enter the strength of the NDC item if the equivalent field is set to Mandatory for the Transaction code.
- Correction number
- This field is only displayed when you select the Correction option in the work with ARCOS transactions panel for a transaction that has been rejected by the ARCOS system data validation procedures. It is a mandatory entry. Enter the correction number.
- Transaction ID
- This field is only displayed when in Change/Display mode. Displays the transaction id for the transaction.
- Process trans type
- This field is only displayed when in Change/Display mode. Displays the processes that will be used to create and maintain the ARCOS transaction records.
- Type of order
- This field is only displayed when in Change/Display mode. Displays whether it is an Inventory Transaction (IN), Sales Transaction (SO), or Purchase Transaction (PO).
- Inventory trans type
- This field is only displayed when in Change/Display mode. Displays the type of inventory transaction. The transaction types are predefined in the system. The process transaction type and type of order fields must not be blank, if you want to enter a value in this field. The transaction types ranging from 1-999 are predefined in the system. The series ranging from 1000 and above are for customer use to handle transactions such as destroyed, government acquisitions and dispositions, initial inventory balances, etc.
- Inventory event code
- This field is only displayed when in Change/Display mode. Displays events which caused an inventory transaction to be generated.
- Inventory trans num
- This field is only displayed when in Change/Display mode. Displays the transaction number for that inventory transaction.
- Item
- This field is only displayed when in Change/Display mode. Displays the code of the item.
- Business partner
- This field is only displayed when in Change/Display mode. Displays the business partner associated with that transaction.
- Warehouse
- This field is only displayed when in Change/Display mode. Displays the warehouse used for that transaction.
- From/to warehouse
- This field is only displayed when in Change/Display mode. Displays the warehouse from which the transaction originated or the warehouse to which it is headed.
- Stock unit
- This field is only displayed when in Change/Display mode. Displays the stock unit code.
- Batch
- This field is only displayed when in Change/Display mode. Displays the batch ID.
- Order type
- This field is only displayed when in Change/Display mode. Displays the type of order that is related to the inventory transaction.
- Order number
- This field is only displayed when in Change/Display mode. Displays the order number of the transaction.
- Order line
- This field is only displayed when in Change/Display mode. Displays the order line of the transaction.
- Narcotics category
- This field is only displayed when in Change/Display mode. Displays the narcotics category to which the transaction belongs.
- Manual transaction
- This field is only displayed when in Change/Display mode. It denotes if this is a manually entered transaction.
- Reporting period end
- This field is only displayed when in Change/Display mode. Displays the reporting period end date.
- Status
- This field is only displayed when in Change/Display mode. Displays the status of the transaction. For example, if a mandatory field has a blank or zero value, then the status field will display an error code.
- Creation date
- This field is only displayed when in Change/Display mode. Displays the creation date of the transaction.
- Creation time
- This field is only displayed when in Change/Display mode. Displays the time at which the transaction was created.
- Creation user
- This field is only displayed when in Change/Display mode. Displays the user id of the person who created the transaction.
- Last change date
- This field is only displayed when in Change/Display mode. Displays the date on which the transaction was last changed.
- Last change time
- This field is only displayed when in Change/Display mode. Displays the time at which the transaction was last changed.
- Last change user
- This field is only displayed when in Change/Display mode. Displays the user id of the person who last changed the transaction.
