Work with items (DMR00101)

This panel is the starting point for all item maintenance in the Item file. You can change information for existing items, add new ones, or inactivate items in the file. An inactivated item can be activated again. To make a complete deletion, you must run the Item file reorganisation programs.

Items are maintained through many panels. The panels are divided according to the type of information to be entered.

The different type of information includes:

  • Basic data information

  • Sales prices
  • Warehouse information
  • Country/Country VAT information
  • Item search fields information
  • Extended packaging and labelling information

Search for an item

You have several alternatives to find the item, choosing from the following:

  • Entering different search concepts in the bottom part of the panel will display a selection of items. Selection on Item or Internal name can only be made for one parameter at a time.
  • In the six Search fields you can enter search words to find an item. For each item one or several search words can exist. The search words are created in the Item search field control table or in the program Rebuild item search fields.
  • Accessing Attribute search mode by clicking the window prompt icon to the right of the Item field and then clicking the Attr function key.

Options


Note: If you have turned on the view control for Item classification entry and/or Item segmentation entry, the Basic data panel will not be the first panel displayed. Both Item classification and Item segmentation allow you to automatically construct the item code which will eventually be loaded into the Basic data panel. Item classification has a higher priority than item segmentation. When both are turned on, the Apply item classification definition panel will always be displayed first as item segmentation can be used from item classification entry (if applicable) to build the item code. See About Item Classification handling in DC1 for more information.

Copy Select this option to copy a record. During the copying, items created within the item classification function cannot be selected together with items created outside the item classification function. When an item created via Item classification is copied and characteristics are changed on the Item file maintenance, Characteristics panel, a SSP download of the SSP and SPP prices should be run to update the prices. All automatically created prices are deleted before the download.
Inact Select this option to delete/inactivate a record.

Note: This warehouse may not be made inactive, if it has been previously activated for delivery schedule handling.

Note: If an item is inactivated in a Receiving company, the CDM receive functionality will automatically be inactivated.

Act This option can only be used for inactivated items. The column Active is set to NO if the item is inactivated. Select this option for the item you want to activate.
Act CDM This option is only valid in the Sending company for those ITEM records you want to send. Select this option for the record you wish to access the Confirm activation of CDM send panel for. Here you can initiate the actual sending of this record data to the applicable receiving business partners.

Note: The activation also sets the Corporate snd field to YES on the Basic data panel for the selected ITEM record.

Inact CDM This option is only valid in Sending company for those ITEM records that you no longer want to send. Select this option for the record you wish to access the Confirm inactivation of CDM send panel for. Here you can suspend the future sending of this record data to the applicable receiving business partners.

Note: The inactivation also sets the Corporate snd field to NO on the Basic data panel for the selected ITEM record.

Matrix This option is only displayed if the ITEMMTRX (Item matrix) function is activated in the Function control file and is only applicable for use with a matrix base item. The Matrix base column denotes the matrix base item. Access the Work with items, Create matrix items panel where you can create the matrix items that belong to the matrix base item. When the matrix items are created, the Matrix item column will be set to YES for the relevant items.

Function keys

Display act / Display inactive / Display all Toggle between displaying only active, inactive, or all items.
Select template A panel with item file templates is displayed, where you decide which information in the Item file you want to work with. If you, e.g., only want to change a detail for an existing item, it is much easier to select a template which includes only the panel with that detail.
View Contr Only displayed if Item classification or Item segmentation is activated. Access the View control panel to turn on Item classification entry and/or Item segmentation entry. If you enable both, the Apply item classification definition panel will always be displayed first when adding new items as it has a higher priority. You must group the items within item classification to thereafter automatically build the item code, description and internal description. See About Item Classification handling in DC1 for more information.

Selection fields

Template
The default template is retrieved from your User profile. To select another one, click Select template to get a listing of all templates that you can use. If you are adding a new item to the file, you must choose a template which includes and starts with the panel for entering basic information for the item.

Options

Select Select this option to access the template you want to use when you work with items.

Maintain templates Access the Work with item templates panel where templates can be maintained.

Selection fields

Work with items, Copy (DMR00107)

Complete the fields and click OK copy the item. Click Back to cancel.

If you chose to copy several items at one time, the system will process the copy one at a time. The first item in the sequence is copied, then the new item is maintained (the panels defined by the maintenance template will be displayed according to the template sequence for each of the new item). After that the process repeats for the next item in the sequence that you chose to copy.

Function keys

Next item number This function key is only displayed if the AUTOITMN (Auto generate item number) function is activated in the Function control file. If you want to automatically generate the item number for the new item you are creating, click this function key. Else, manually enter the item code in the Item field under the Copy to section.

Copy from

Item
Displays the item code and internal name of the item you selected to copy.

Copy to

Item
Enter the new code for the item, or click the Next item number function key to automatically generate the item number. That function key is only displayed if the AUTOITMN (Auto generate item number) function is activated in the Function control file.
Template for default
Enter a template holding the defaults to use during the copy process.
Maintenance template
This field displays the template to be used during the maintenance of a new item.

Work with items, Confirm inactivation (DMR00110)

Related topics

This panel displays all the items that you selected to inactivate. Click OK to inactivate. Click Back to regret.

Note: If an item is inactivated in a Receiving company, the CDM receive functionality will automatically be inactivated. An item can always be reactivated from the main Work with items panel by selecting the Act option.

Related topics

This panel displays all the items that you selected to activate. Click OK to activate. Click Back to regret.

Work with items, Confirm activation of CDM send (DMR00116)

Related topics

If you click OK on this panel the system will do the following:

  • initiate the actual sending of the selected ITEM record data to the applicable receiving business partners
  • set the Corporate snd field to YES on the Basic data panel for the selected ITEM record.

Work with items, Confirm inactivation of CDM send (DMR00119)

Related topics

If you click OK on this panel the system will do the following:

  • suspend any future sending of the selected ITEM record data.
  • set the Corporate snd field to NO on the Basic data panel for the selected ITEM record.
