Work with report versions, Versions by report (RWRD12501)

This panel displays all versions, with corresponding descriptions, defined with the same key fields as defined in the report you are maintaining. Versions are only used for reports of type 1.

You can define several versions for one report. Another report, than the one you are maintaining, can also use the version(s) created for this report, as long as the other report uses the same key fields as this report.

Options

Selection Use this option to select key values for the key value selections for the column, line or version. Note: This option is allowed for columns with Type 90, Type 1 lines and for all versions.
Authority Only displayed if the RWVERSION authority group is activated in the Authority group table. Select this option to secure the version from maintenance and output per user.

Function keys

All/Versions by report Toggle between displaying all versions, that have been set up in the company in which you are working, and only the versions that have been assigned to the report on which you are working.

Selection fields

Version
Displays the name of the version.
Description
Displays the description of the version.

You can access this panel in three different modes. If you selected the Add option from the previous panel, all fields can be maintained. If you selected the Change option, all fields except the Line number key field can be maintained. If you selected the Display option, no fields can be maintained.

On this panel you define the information for the version you are maintaining. All key fields selected for the report you are maintaining are displayed. Here you define how reports using this version should be sorted, summarised, etc.

When maintaining a report version the page break function is used in different ways, depending on the use of the Level and Detail fields. If the Detail field is set to YES the page break can have the maximum value of the last position as the statistic key used on the lowest level. If the Detail field is set to NO the value in the Page shift field cannot be higher than the number of the level on the lowest sequence.

If the Detail field is set to YES and the Level field is used you should not enter a page break number in the Page shift field that is higher than the level, unless a page break should occur for each new key value (for example, each project). You achieve this by entering the number of the last character of the statistic key of the lowest sequence.

Function keys

Version
This field is used only for new entries. Enter the name that represents the version you are creating.
Description
Enter the description of the version.
Double space
Set this field to YES if you want double spacing between the printed lines.
Page shift
Enter a code for where page shifts shall occur. Page shift is based on the level number of the statistic key, that you assign the sequence number 1 below. A level number may not be higher than the number of positions that a statistic key in this part can consist of.

Valid codes for page changes are:

Code Description
0 No special page changes
1 Page changes based on the first position of the statistic key
2 Page changes based on the second position of the statistic key
3 Page changes based on the third position of the statistic key and so on up to and including the number of positions allowed for the statistic key.

Note: Only key values with the same length as Page shift are used for page shift.

Totals on page shift
Set this field to YES if you want forwarded sub-totals between pages, where the report for a statistic key stretches over several pages.
Sequence
Enter the printout sequence for the key fields. Valid numbers are 0, 1, 2 and so on. If you enter 1 for a key field, the printout will give priority to that key before the others. You can sequence further by entering 2, 3 and so on. The higher the number, the lower the priority. If you enter 0 for a key field, it will not be printed at all.
Level
Enter a number defining for which level(s), sum are to be printed. The level number you may assign to a key field is dependent upon how many positions the key consists of and its’ sequence number. If a key has sequence number 0, (i.e. no print-out), you must also indicate 0 in this field. Other standards are:

1 Subtotals are printed for those key fields that have a common first character in the value(s) included for that field. That is, every time the value changes in the first position, a total will be printed.
2 Subtotals are printed for those key fields that have a common first and second character in the value(s) included for that field. That is, every time the value changes in the first or second position.

You can enter 3, 4, 5 …. and so on up to and including the number of characters allowed for the key field.

Note: Only key values with the same length as Level are used for summary level.

Detail
Set this field to YES if the value of the detailed key fields is to be printed. You can combine this field with the Level field. For example, a key field that is seven positions long can have a break level 3 and details set to YES. This will give the levels 1, 12, 123 and 1234567. The totals for 1234, 12345 and 123456 are omitted. Set this field to NO if detailed values are not needed for the key field.
