Cash book details entry (FSR45001)

On this panel you enter Cash book details. When you reach this panel from the G/L transaction entry it can be used for miscellaneous receipts and payments. For A/R and A/P payments from the A/R and A/P payment routines respectively. The entered information will be used to update the Cash book transaction file and the Cash book balance file. Note: This panel will only be shown if the Cash book routine has been activated in your system.

The routine works in the two following modes:

  1. Opening balance mode, where you can enter the opening balance for the bank. This is done at the initial entry of the balance of the bank through the Enter Cashbook bank opening balances routine. You must manually enter all mandatory fields, no user entry template is used here.
  2. Normal entry mode, in which the entry area will display different fields to be completed depending on the transaction entry option you are using.

The Fund transfer, available only from the G/L transactions entry panel, makes it possible to move amounts between different banks by having two Cash book entries within one voucher. Here, you can easily change to another bank if the total or a part of the posted amount has to be moved.

To do this you need to enter the required information for the first Cash book entry and then click Fund transfer to update. The panel will be re-displayed with the needed information in all fields except Bank, Bank amount, Currency and System amount. Now, you can enter information for the new Cash book entry. If the total amount should be transferred, Bank amount can be left blank and you can click OK to retrieve the balance.

Function keys

Fund transfer This function is only available from the G/L transaction entry panel. Activate the Fund transfer.
Del entry and its payments Deletes a Cash book entry and the connected payments. Note: Only transactions from A/R and A/P payment routines may have payments connected to the Cash book. For a G/L fund transfer the connected G/L entry will be automatically deleted.

Batch number
Cash book amount
Displays the total amount of the Cash book entry in system currency.
Acct period
Transaction amount
Displays the total amount that has been used for payment in system currency.
Voucher
Difference
Displays the difference between the Cash book entry amount and the total transaction amount. This field will show zero when all entries to the Cash book have been made.
Document
Displays the document date, type and number that you entered in the G/L transactions entry, A/R payment entry or A/P payment entry panel. It is valid until you return to that panel where it can be changed to another date if the document type is also changed.
Bank
Mandatory entry. Enter a bank from Work with banks. The bank, together with the document type, determines the control account that will be used for G/L posting.
Bank amount
Mandatory entry. The document balance for the bank will be defaulted but you can change the amount here. However, zero will be allowed at entry on a header record for A/R or A/P deposits. You will have to change this value to the correct total of the document when the deposit has been fully entered.
Bank currency
Mandatory entry. This field will be defaulted with the currency that is valid for the entered bank. Either transaction or system currency. The currency will be validated against Work with currencies and against the currency entered on the control account corresponding to the entered bank.

There are two valid combinations:

  1. When the bank currency entered on the screen is equal to the currency on the control account corresponding to the entered bank account.
  2. The control account corresponding to the entered bank account is in system currency, no currency specified.
System amount
You can enter the amount in system currency if you want to overrule the conversion made by the system.
Transaction ref
Mandatory entry. Enter a reference for this transaction. The value entered here will be used to reconcile the transaction.
Reason code
Enter a code from Work with Cash Book reason codes. This code provides analysis through the Cash book transaction listing and search facility in the Cash book reconciliation function.
Value date
Mandatory entry. The value in this field is defaulted from the document date entered on the previous panel. You can change this date.
Text
If text was entered as a reference for the related A/R or A/P transaction it is defaulted here, but can be changed.

Drawer name
Only shown if Bank deposit list is YES for the document type. Enter the debtor name of this transaction. The drawer name is printed on the A/R bank deposit list. Note: If Default banking det is YES for the document type, then the default bank details for the business partner is automatically retrieved when the document type is used.
Drawer bank number
Only shown if Bank deposit list is YES for the document type. Enter the debtor’s bank account number. The drawer bank number is printed on the A/R bank deposit list. Note: If Default banking det is YES for the document type, then the default bank details for the business partner is automatically retrieved when the document type is used.
Drawer bank
Only shown if Bank deposit list is YES for the document type. Enter the name of the debtor’s bank. The drawer bank is printed on the A/R bank deposit list. Note: If Default banking det is YES for the document type, then the default bank details for the business partner is automatically retrieved when the document type is used.
