This program allows you to create and update rebate claim/payment headers. Once the header is created, rebate transactions can be selected to the claim/payment and then the actual claim/payment can be carried out. Although this is a single, common program, two menu items are created to distinguish between customer and supplier rebates, which cause the program to work in either customer or supplier mode.
The panel heading varies depending on in which mode (i.e. the menu item from which program is started; and whether it is called for enquiry) the program is working. The different panel headings are:
- Work with rebate payments
- Rebate payment enquiry
- Work with rebate claims
- Rebate claim enquiry
This panel lists all existing rebate claims or rebate payments (depending upon from which menu item the program is started). By default, all claims/payments that are already claimed are not listed on the panel.
Options
Transactions | Select this option to access the Work with rebate transactions program. From there you can de-select a rebate transaction from the rebate claim/payment as long as the transaction is not claimed/paid. You can also change the rebate amount. |
Pay/Claim | Select this option to access the pay/claim confirmation panel. Depending on the payment method (A/P or A/R) different confirmation panels appear. |
Adjust payment/Adjust claim | Select this option to access the Work with transactions panel in adjust rebate mode. |
Sel trans/Select trans | Select this option to access a selection panel where you can select transactions for the rebate claim/payment using the available selection criteria. |
Claim order text/Payment order text | Only valid for claims/payments with a created claim/payment order. Select this option to access the text editor to work with header text for the created claim/payment order. If the order has a status higher 45, you will only be able to view the text. No maintenance will be possible. |
Delete payment order/Delete claim order | Select this option to delete the created claim/payment order in the event something goes wrong or if more transactions are to be included. |
Invoice | Select this option to create an invoice for the created claim/payment orders. You access the invoice printout program with selected order numbers defaulted. |
Select this option to access the start-up for rebate claim/payment printout. Two different types of printouts can be produced; a transaction list displaying information about the included transactions, or a payment basis list that gives a more detailed list over paid transactions. | |

- Only displayed when working with rebate claims. This column lists the rebate payer that is defined for the rebate claim.

- Only displayed when working with rebate payments. This column lists the rebate receiver that is defined for the rebate payment.
- Status
- This column lists the status for the rebate claim/payment.
C Rebate is claimed/paid. N New, rebate is open (no lines are selected for the rebate claim/payment). O Claim/Payment order is created. S Transactions are selected.
- Claim date
- Only displayed when working with rebate claims. This column lists the claim date. The claim date denotes when the claim was moved to A/P (for claim method 1) or when a claim order was created (claim method 2).
- Payment date
- Only displayed when working with rebate payments. This column lists the date when the payment order was created for the rebate payment.
- Rebate amount
- This column lists the accumulated rebate amount from all included rebate transactions.
- Adjusted rebate amount
- This column lists the accumulated adjusted amount from all adjusted rebate transactions.
- Currency
- This column lists the rebate currency.
- Creation date
- This column lists the creation date for the rebate claim/payment.
- Claim order number
- Only displayed when working with rebate claims. This column lists the claim order number for a rebate claim.
- Payment order number
- Only displayed when working with rebate payments. This column lists the payment order number for a rebate payment.
- Rebate invoice number
- This column lists the rebate invoice number for the rebate claim/payment.
- Payment invoice document type
- This column lists the document type of the invoice for the rebate claim/payment.
Work with rebate claims/payments, Header (DMR46004)
This panel displays detailed information for the rebate claim/payment header. When transactions are selected for the rebate payment, you can manually change the rebate amount. The entered amount is distributed between the selected transactions based on the transaction value in relation to the total rebate amount for all transactions.
Function keys
Display reporting currency | Only displayed when a reporting currency is defined for the company. Access a window where all amounts are displayed in both system and reporting currency. |
Accumulate rebate amount | Only displayed when a manual amount has actually been entered. Restore the original rebate amount for all selected transactions when it was first created. |
- Rebate claim no
- Only displayed when working with rebate claims. Displays the rebate claim header number. Once a claim header is created, it is not possible to change the number.
- Rebate payment no
- Only displayed when working with rebate payments. Displays the rebate payment header number. Once a payment header is created, it is not possible to change the number.
- Description
- Displays the description of the rebate claim/payment.
- Claim method
- Displays the claim method and description for the rebate claim/payment. For a rebate payment this field is not displayed since the claim method for a payment is always equal to 2 (A/R). When transactions are selected for the claim/payment, only transactions created from a rebate agreement with the same claim method are selected. Once any transaction is selected for the rebate claim/payment, it is not possible to change this field.
- Rebate payer
- Only displayed when working with rebate claims. Displays the rebate payer and name for the rebate claim. When transactions are selected for the claim, only transactions for the same rebate payer are selected. Once a transaction is selected for the rebate claim, you cannot change this field.
- Rebate receiver
- Only displayed when working with rebate payments. Displays the rebate receiver and name for the rebate payment. When transactions are selected for the payment, only transactions for the same rebate receiver are selected. Once any transaction is selected for the rebate payment, you cannot change this field.
- Rebate currency
- Displays the rebate currency for the rebate claim/payment. When transactions are selected for the claim/payment, only transactions created from a rebate agreement with the same rebate currency are selected. Once a transaction is selected for the rebate claim/payment, it is not possible to change this field.
- Handler
- Displays the handler (and description) responsible for the rebate claim/payment.
- Supplier
- Only displayed when working with rebate claims. If a supplier is entered here, only rebate transactions that originate from PO lines for this supplier will be selected. Once a transaction is selected for the rebate claim, it is not possible to change this field. If a supplier is defined, the customer name is also displayed.
- Customer
- Only displayed when working with rebate payments. If a customer is entered here, only rebate transactions that originate from the invoice line for this customer will be selected. Once a transaction is selected for the rebate payment, you cannot change this field. If a customer is defined, the customer name is also displayed.
- Rebate agreement
- If a rebate agreement is entered here, only rebate transactions that originate from the entered agreement will be selected. Once any transaction is selected for the rebate payment, it is not possible to change this field. If an agreement is defined, the agreement description is also displayed.
- Payer reference
- Only displayed when working with rebate claims. Enter the payer reference for the rebate claim. If a rebate agreement is defined when the claim header is created, and no reference is defined, then any rebate agreement reference from the defined agreement will be defaulted. When a claim order is created, the payer reference from the claim header will end up as Your order on the created sales order.
- Receiver reference
- Only displayed when working with rebate payments. Enter the receiver reference for the rebate payment. If a rebate agreement is defined when the payment header is created, and no reference is defined, then any rebate agreement reference from the defined agreement will be defaulted. When a payment order is created, the receiver reference from the payment header will end up as Your order on the created sales order.
- Status
- Displays the rebate claim/payment status.
C Rebate is claimed/paid. N New, rebate is open (no lines are selected for the rebate claim/payment). O Claim/Payment order is created. S Transactions are selected.
- Creation date
- Displays the date when the rebate claim/payment was created.
- Claim date
- Only displayed when working with rebate claims. Displays the claim for the rebate payment. For claim method 1 (A/P) the claim date is set to the date when the claim is transferred to A/P. For claim method 2 (A/R) the claim date is set to the date when the claim order is created.
- Payment date
- Only displayed when working with rebate payments. Displays the payment date for the rebate payment. This is the date on which the payment order was created.
- Payment order no
- Only displayed when working with rebate payments. Displays the payment order number. It is the number of the credit sales order that is created to handle the actual bonus payment to the rebate receiver.
- Claim invoice no
- Only displayed when working with rebate claims and the defined claim method is not equal to 1 (A/P). Displays the document type followed by the claim invoice number. It is the invoice number for the sales order (claim order) that is created to handle the rebate claim from the rebate payer.
- Payment invoice no
- Only displayed when working with rebate payments. Displays the document type followed by the payment invoice number for the sales order (payment order) that is created to handle the rebate payment to the rebate receiver.
- Rebate currency
- Displays the rebate currency for the rebate claim/payment.
- System currency
- Displays the system currency.
- Rebate amount
- Displays the total rebate amount for all selected rebate transactions. As long as the rebate claim/payment is not claimed/paid or order created, it is possible to change the rebate amount manually. When this is done, the claim/payment header is flagged for manual change of rebate amount and the total amount is not changed even though any new transactions are added to/removed from the claim payment. It is, however, possible to revert back to automatic accumulation of the rebate amount, using a function key on this panel.

- Displays the total rebate amount according to system currency.
- Adjustment amount
- Displays the total adjustment amount from all adjusted rebate transactions.
- Adjustm am sys curr
- Displays the total adjustment amount from all adjusted rebate transactions according to the system currency.
- Net rebate amount
- Displays the total net rebate amount, i.e. the rebate amount plus the adjustment rebate amount.
- Net reb am sys curr
- Displays the total net rebate amount, i.e. the rebate amount plus the adjustment rebate amount according to the system currency.
Work with rebate claims/payments, Copy (DMR46005)
- Rebate claim
- Only displayed when working with rebate claims. This column lists the rebate claim headers that are selected for copy.
- Rebate payment
- Only displayed when working with rebate payments. This column lists the rebate payment headers that are selected for copy.
- Description
- This column lists the description of the rebate claims/payments that are selected for copy.
- New rebate claim
- Only displayed when working with rebate claims. Allows you to enter new rebate claim numbers. If nothing is entered, a new number is automatically retrieved from the rebate claim number series.
- New rebate payment
- Only displayed when working with rebate payments. Allows you to enter new rebate payment numbers. If nothing is entered, a new number is automatically retrieved from the rebate payment number series.

This is the confirmation panel that is accessed when rebate claims defined for A/P claim are selected for claim (i.e. via the Claim option on the Work with rebate claims, Headers panel).
Click OK to confirm claim. Click Back to cancel.
- Accounting period
- Enter the accounting period to which the transactions are transferred in A/P.
- A/P summary level
- Enter the applicable summary level for A/P transfer. Two types of summary levels are available:
- 1 = Per rebate claim
- 2 = Per rebate claim/rebate agreement
- Rebate claim
- This column lists the rebate claim numbers that are selected for claim.
- Description
- This column lists the description of the rebate claims that are selected for claim.
- Rebate handler
- This column lists the handler defined on the rebate claims that are selected for claim.
- Rebate payer
- This column lists the rebate payer defined on the rebate claims that are selected for claim.

This is the confirmation panel that is accessed when rebate claims/payments with claim method = 2 (A/R) are selected for claim/payment.
Click OK to confirm creation. Click Back to cancel.
Rebate claim/payment orders will not be available in the Work with sales orders routine since it is not possible to perform any changes on the orders. You can view the orders via the Sales order enquiry. The only exception is when the order ends up in error during the order creation. The order will, in that case, be available in the list of the orders in error but it will never be possible to change any quantity or price.
- Order type
- Enter the type of the claim/payment order that is to be created. For a rebate payment it is a credit order type that is to be entered if the rebate amount is positive, otherwise a sales order type is to be entered. For a rebate claim a sales order type is to be entered if the rebate amount is positive, otherwise a credit order type is to be entered.
- Order handler
- Enter the signature for the order handler. If no handler is defined, the order handler is set equal to the rebate handler.
- Rebate claim
- Only displayed when working with rebate claims. This column lists the rebate claim numbers that are selected for claim.
- Rebate payment
- Only displayed when working with rebate payments. This column lists the rebate payment numbers that are selected for payment.
- Description
- This column lists the description of the rebate claims/payments that are selected for rebate claim/payment.

The panel heading will differ depending on if it is claims or payments that have been adjusted, but also if a claim is using A/P or A/R as claim method.

- Rebate claim no
- Only displayed when working with rebate claims. Displays the rebate claim number to which the adjusted transactions belong, along with the description of the rebate claim.
- Rebate payment no
- Only displayed when working with rebate payments. Displays the rebate payment number to which the adjusted transactions belong, along with the description of the rebate payment.
- Rebate payer
- Only displayed when working with rebate claims. Displays the rebate payer on the rebate claim number to which the adjusted transactions belong, along with the name of the rebate payer.
- Rebate receiver
- Only displayed when working with rebate payments. Displays the rebate receiver on the rebate payment number to which the adjusted transactions belong, along with the name of the rebate receiver.
- Original amount
- Displays the original rebate amount for the transactions that are adjusted, along with the rebate currency code.
- Adjustment amount
- Displays the total adjustment amount for the adjusted rebate transactions, along with the rebate currency code. This is the amount that will be paid/claimed.
- Order type
- Enter the order type of the adjustment order that is to be created. If the adjustment amount is negative, it is a credit order type that is to be entered. Otherwise, a sales order type is to be entered. The order type description is also displayed. This field is only displayed at adjustment of rebated transactions belonging to a claim/payment with claim method 2 (A/R).
- Accounting period
- This field is only displayed at adjustment of rebate transactions belonging to a rebate claim with claim method 1 (A/P). The current period is defaulted. Enter the accounting period, to which the transactions are transferred in A/P.
- Order handler
- This field is only displayed at adjustment of rebated transactions belonging to a claim/payment with claim method 2 (A/R). Enter the signature for the order handler. If no handler is defined, the order handler is set equal to the rebate handler. The handler name is also displayed.
- A/P summary level
- This field is only displayed at adjustment of rebate transactions belonging to a rebate claim with claim method 1 (A/P). Summary level 2 is defaulted. Enter the panel value of the summary level for the A/P transfer is defined. Two levels are available:
- 1 = Per rebate claim
- 2 = Per rebate claim/rebate agreement
The summary level description is also displayed.
- Order
- Only displayed when working with rebate claims. This column lists the purchase order number of the adjusted rebate transaction.
- Invoice
- Only displayed when working with rebate payments. This column lists the invoice number of the adjusted rebate transaction.
- Line
- For an adjusted customer rebate transaction, this column lists the invoice line number. For an adjusted supplier rebate transaction, it lists the purchase order line number.
- Rec date
- Only displayed when working with rebate claims. This column lists the reception date for the purchase order line from which the adjusted rebate transaction originates.
- Inv date
- Only displayed when working with rebate payments. This column lists the invoice date for the invoice line, from which the adjusted rebate transaction originates.
- Item
- This column lists the item for the adjusted rebate transaction.
- Rebate amount
- This column lists the rebate amount on the adjusted rebate transaction. The amount is displayed in the same currency as is displayed for the original amount in the heading.
- Adjustment amount
- This column lists the adjusted amount for the adjusted rebate transaction. The amount is displayed in the same currency as for the adjusted amount in the heading.
