Work with actions (HLR00201)

From this panel you can add, edit, delete, or view all of the BPR actions that are available in your system. Actions will be processed for a request line when a resolution code has been allocated to it. Actions are comparable to commands that inform your employees what to do to, or how to follow up and resolve problems and issues (e.g., a resolution code describes the problem/issue and an action is assigned to resolve it).

On this panel you define the action at the detail level. Per action you can only complete one of the following sections:

  • Stock handling
  • Creation of order
  • Return document
  • Alert

The actions can be executed sequentially (one at a time; as in a chain of events) or all at once. (This is defined in the Sequence processing parameter in Work with resolution codes.)

Action

Aut process
Set to YES to allow the action to be processed automatically. Set to NO to manually initiate the action.
Ref required
Set to YES to have a reference entered on the action. Set to NO if a reference is not mandatory. Note: A reference is just text (comments or other information) that the employee processing the action can enter.
Line depend
Indicate if you want the processing of a line to be dependent on the processing of another line. Any prerequisite line or action numbers are entered on the action when the action is created (in Work with requests and returns).

For example: Line dependency is typically used if your company policy is to prohibit the delivery of replacement orders before the return has been placed in stock. Since the "wrong" item and the replacement are defined on separate request and return lines, a dependency between the two lines must be established. This is done on each relevant action for the lines when working with the request in Work with requests and returns.

Action dep
Indicate if you want the processing of a specific action to be dependent on the processing of another action. Any prerequisite action numbers are entered on the action when the action is created (in Work with requests and returns). If you set this field to NO, but Line dependent is set to YES, then all actions for the line must be processed before the next line can be processed. This ensures that the system processes all request actions in the correct sequence before another action is called to resolve them.

Note: If Sequence processing is set to YES in Work with resolution codes, and no prerequisite actions are defined when the actions are created (Work with requests and returns, Actions panel) a best guess search for any prerequisites will be performed.

Stock handling

If you want this action to handle the processing of stock, complete the applicable fields below this heading. You will have the option to allow the action to restock goods and perform a quality control inspection of goods. Note: Only one of the four sections (Stock handling, Creation of order, Return document or Alert) can be completed per action.

Restock goods
Set to YES to automatically create inventory transactions to restock goods that have been returned by your customer. Set to NO if you wish to manually enter these transactions.
QC line entr
Set to YES to specify that a quality control inspection of the goods must be made at the time that the return line is entered. The system will automatically bring up the QC program once the action was processed by the system. Set to NO to have the QC performed upon reception of the goods.
QC use note
Quality Control inspections can be made in two different ways: The first is to specify that a quality control inspection of the returned goods must be made when the return line is entered (see the QC line entry field). The second way would be to run the QC routine once the goods have been returned.

If you set the QC line entry field to NO, then set this field to YES if you wish to print a quality control note. Otherwise, set to NO.

If either QC line entry or QC using QC notes is selected, then the Restock goods parameter must be set to YES.

Creation of order

If you want this action to handle the processing of orders, complete the applicable fields below this heading. Note: Only one of the four sections (Stock handling, Creation of order, Return document or Alert) can be completed per action. Note: If two or more order lines should be created from the same action, only one order will be created.

For example: If a debit order holding three lines should be credited, three return lines will be created. Each of the lines will hold the same credit action. When processing the action only one credit order holding the three lines will be created.

Order type
This field is used in conjunction with the Type of order field. Enter the order type to be used when this action automatically processes sales, service, or purchase orders.
Type of ord
This field is used in conjunction with the Order type field. Enter the order type that this action should automatically process.

Permitted values:

Pricing
Enter how you wish the price of your goods to be defined.

Permitted values:

Refund % usa
Mandatory entry, if the action is for an order, indicating if a refund percentage is mandatory, optional or not allowed (see Permitted values). When refunding your customer for a return of goods (e.g., customer received wrong goods or ordered too many), the price on an order line can be affected by a refund percentage.

Note: Refund percentages are only applicable for sales and purchase orders. The actual amount of the refund percentage is defined as a Default refund percentage in this table or manually at the BPR line level. The refunds will only be applied to orders that are generated by this action. These orders are defined in the Order type field.

For example: If the normal sales price of a returned item is 100.00 (Euro), and a value of 80% is defined as a refund percentage, then the refund price will be calculated to 80.00 (Euro).

Def refund %
Optional entry here, but mandatory on the Work with requests and returns, Actions, Order info panel if the Refund % usage field has been defined as mandatory. Enter a default refund percentage that will be used for this action. This means that a refund percentage does not have to be entered manually for actions where a default value is applicable. If not defined on action level, the refund percentage on the BPR line will be used when action is processed.
Use curr cl

If this field is set to YES, the New curr clause and Use adjusted price fields must be set to NO. A currency clause will be added to the order that is generated by this action. Note: The currency clause will be added even if it is not valid or applicable to the new order, i.e. the date has expired or it applies to a different currency. To ensure that a valid currency clause is used, set this field to NO and the New curr clause field to YES.

If this field is set to NO, the Curr clause field in the order header will be set to NO, and the result would be that the system will not adjust the sales prices according to exchange rate fluctuations.

New curr cl

Indicate if a new currency clause, used for recalculating the sales prices, should be automatically retrieved by the system (from the Currency clause code table) for the order that the action is creating.


If this field is set to YES, the system will search for a valid currency clause that matches all of the above stated prerequisites, the currency clause code will then be retrieved to the order line and the prices will be adjusted accordingly. In addition, if this field is set to YES, the Use curr clause and Use adjusted price fields must be set to NO.

Use adj prc
Indicate if the new sales price – that is recalculated according to the currency clause, should replace the original sales order line price.

Return document

If you want this action to handle the processing and printing of different return documents, then complete the applicable fields below this heading. Note: Only one of the four sections (Stock handling, Creation of order, Return document or Alert) can be completed per action.

These documents, except for the investigation note, can be sent to the business partner who raised the request. The return note and transport note are sent back together with the goods. You have the option to print labels to tag the goods before sending it in return.

Return note
Set to YES if this action should create and print a return note. NO is defaulted. The return note is sent back to the business partner together with the goods.
Transp note
Set to YES if this action should create and print a transport note. NO is defaulted. The transport note is sent back to the business partner together with the goods.
Investigate
Set to YES if this action should create and print an investigation note. NO is defaulted. The investigation note is used to investigate availability, etc. of the ordered and delivered item. Miscellaneous information from the reference and the request is printed on the note.
Labels
Set to YES if this action should create and print labels. NO is defaulted.

Alert

If you want this action to send an alert message complete the applicable fields below this heading. Note: Only one of the four sections (Stock handling, Creation of order, Return document or Alert) can be completed per action. If the system is set up to send/receive alerts (see Configure the system to send/receive alert messages) and a receiver is defined, an alert message will be sent to the receiver.

Send alert
Set to YES if you want an alert message to be sent to an employee (defined in the Receiver field) when this action is executed. Set to NO if you do not wish to use this option.
Approval req
Set to YES if approval is required before the next action can be processed. The receiver must approve the action via Work with AMT messages before the next action in the sequence can be processed. Set to NO if authorisation is not needed.
Receiver
Enter the ID of the employee that will receive the alert.
Message
Enter a text message.
