Several programs are available for browsing through A/R transactions, balances and payment statistics.
Template
You can create your own template(s) with selection and sequence parameters to be used during enquiry. See Create an A/R transaction enquiry template.
Transactions
You can sequence and select the transactions from the A/R that you want to view. There are a number of selection criteria for an enquiry. For example, you can select on only debtor number or on the combination debtor number, due date and amount. To narrow down your search for a specific transaction you enter the appropriate values in the selection fields.
To further specify your enquiry you can also sequence your transactions. You decide the sequence in order to receive the best result of the selections you make. The sequences make it possible to sort the transactions in a pre-defined manner. Per sequence field it is also possible to decide whether the values for this field should be sorted in ascending or descending order.
For each selected transaction there is comprehensive information. Extra information such as cash discount terms and VAT is also shown. Information about sundry customers can be shown for A/R invoices while extra payment information, such as bill and cheque information, can be shown for A/R payments. In the enquiry it is possible to maintain and add text for all types of documents using the Text Editor.
Balances
The balances and statistics for the company can be viewed on the following different levels:
- debtor
- cost centre (if Cost centre acc part is activated in the G/L control file)
- division (if the division concept is activated)
- company (if you leave all the selection fields blank).
You access balances, distributed by accounting period according to due date, and the percentage of the total balance that is due each period. Note: When the calculated % value is extreme (< -999 or > 999), the Balance enquiry program replaces the calculated value by -999 or 999.
Also shown is the accumulated percentage of the balance per period. Balances are shown in the debtor’s primary currency as well as in system and reporting currency. See Show A/R balances.
Statistics
Statistics for invoiced amount, paid amount and turnover amount are kept per accounting period, together with the weighted average number of days by which payment was delayed. See Show A/R statistics.
Like balances, statistics can be shown on several different levels:
- payment statistics group to which the debtor belongs
- cost centre (if Cost centre acc part is activated in the G/L control file)
- division (if the division concept is activated)
- company (if you leave all the selection fields blank)
Print
A print function is available when you make selections for the enquiry. This means that you can print your selected transactions without any prior viewing of them.
