Restrict the use of a customer template

The following describes how to prohibit other users from using a template. This template security function is an extra security measure which can be taken to enhance the protection of data in the Business partner file, thus prohibiting other users from using the template and changing any data for the customer.

  1. Select the Work with business partner templates menu item.
  2. On the initial panel, enter the code of the template in the Template field and click OK.
  3. You access Work with business partner templates. Set the Template secured field to YES. Click OK to update, then Back to exit.
  4. Select the Work with business partner template security menu item.
  5. You access Business partner template security maintenance, where you can choose to secure the template via two methods.
    • If you enter your template id in the Template field, you will prompt a panel listing all User profile id’s in the system. You can then select those users that are allowed to use your template.
    • If you enter your user id in the User profile field, you will prompt a panel listing all templates that are secured.

    For the purpose of this example, enter your template id in the Template field and click OK.

  6. You access Business partner template security maint, listing all User profile id’s (scroll to see all). This is the panel where you define the users that are allowed to use your template id in both Business partner file maintenance and the Business partner file enquiry.

    All users are set to NO by default. For this example, keep the NO setting for all users, but change the Maint and Enq fields to YES for your User.

    Click OK to update and then Back to exit.

    More protection
    To prohibit anyone from changing the security value in Work with business partner template security, more steps should be taken.

    Note: These steps are to ensure that unauthorised users cannot grant themselves access to the Business Partner file template and default maintenance and should only be done by a Systems Manager.

    On the SECUR menu, the following programs must be defined with information and in the order outlined:

    1. Work with program security: program id’s for Work with business partner templates and Work with business partner defaults must be set up in this program.
    2. Work with program/user security: only those users that have access to the Work with template security program, thus being able to change security values, must be set up in this program.

    When this is done, no other user will be allowed to use this template during Business partner file maintenance or in Business partner file enquiry.
