Cancelling settlements can be performed in the following routines:
- Work with A/R transactions
- Work with A/P transactions
- Work with Cash book reconciliation
Process description
The cancellation process works differently depending on in which routine you start the process.
In the A/R or A/P transaction routines
Prerequisites
The following apply for the settled document that you want to cancel:
- It must be a main settlement document and updated to the A/P or A/R and the G/L, i.e., it must not be in open batch.
- It must not be included in an A/P payment proposal, an interest proposal or in an A/P grouped document proposal.
- It must not be a bill payment.
- Instalments must not have been created for the document.
Note: You are only able to perform a complete cancellation. It is not possible to partially cancel a main settlement document by selecting individual documents within the settlement.
Start the process

Cancellation process completion
When the cancellation process is completed, the system will automatically do the following:
- Re-open previously settled documents by restoring amounts settled by the main settlement document.
This means that the original settlement will be reversed by a new settlement increasing the remaining amount of the settled documents. No new payment documents are created, only reversal difference documents (if they existed on the original settlement). - Create reverse difference documents in A/R and A/P.
- Create reversal of all related G/L postings.
Note: Related A/R debit note difference documents will be reversed, but debit note invoice type documents will not be reversed/settled. The debit note invoice type documents created at settlement will remain as they are.
In the Cash book reconciliation routine
Prerequisites
The document that you want to cancel must be entered as main settlement, or is not settled at all, and is not included in a payment proposal.
Note: You are only able to perform a complete cancellation. It is not possible to partially cancel a main settlement document by selecting individual documents within the settlement.
Start the process
For instructions on how to start the cancellation process in the Cash book reconciliation routine, see Cancel settlements on related documents level.
Cancellation process completion
When the cancellation process is completed, the system will automatically do the following:
- Create new reversal A/R or A/P documents from each of the payment documents related to the cash book entry.
- Re-open previously settled documents and create reverse difference documents in the A/R and A/P (if they existed on the original settlement).
This means that the original settlement(s) will be reversed by new payment document(s) increasing the remaining amount within the settled documents, i.e., the new payment documents and their originals will cancel out each other. If difference documents existed on the original settlement document, then the new reversal difference documents created will be related to the new payment document.
Note: If the cancelled payment document does not have any settlements, i.e. it is open, then the new reversal payment document and the cancelled document will settle each other.
Note: Related A/R debit note difference documents will be reversed, but debit note invoice type documents will not be reversed/settled. The debit note invoice type documents created at settlement will remain as they are. - Create reversal of all related G/L postings.
- The new reversal A/R or A/P documents will settle the re-opened main settlement documents.
- Create a new cash book reversal entry.
- Change the status in the Cheque inventory, if applicable, to indicate that the cheque has been cancelled.
Follow up
You can view the cancelled main settlement documents and the actions performed by the system in the A/R or A/P enquiry programs and in the list printouts.
Printouts
When you update the cancelled settlements in the Work with A/R or A/P transactions routines, a journal will automatically be printed specifying the main settlement documents for which settlements have been cancelled. If any G/L accountings were created, from e.g. difference documents, G/L update journals will also be printed.
