This panel is accessed from all programs where the prompt icon was clicked in an input-capable Debtor, Customer, Supplier or a combined Customer/Supplier field.
Default search mode
The system may have been configured to access this panel in a default search mode, (applicable only for the below-mentioned routines/programs), thereby determining how the initial search for business partners should be performed should the following situations occur:
- You entered a generic search string in an input-capable Debtor, Customer, Supplier or a combined Customer/Supplier field and clicked OK, and an exact match was not found for the entered value.
- You entered an invalid business partner code.
If the BPDFTSCH (Business partner default search mode) function has been activated in the Function control file and one of the above situations occurs, then the initial search is determined by the code defined for the function accordingly.
The default search mode functionality is only available when you are working in the following routines/programs:
- Work with sales orders, create new customer
- Work with orders in error, order header main customer information
- Work with sales orders, invoice customer address and debtor address
- Work with sales orders, order line additional information 2 (for supplier)
- Work with sales quotations, customer number
- Work with sales quotations, line detail (for supplier)
Alternative search modes
The search for business partners can be done via the following search modes, depending on what has been set-up/generated in the system:
- (Standard) Business partner search. The fields are displayed when you first access this window.
- Attribute search: Click the Attribute search function key to access this mode.
Options
Function keys
| Attribute search | Access Attribute search mode where you will be able to look up business partners using user-defined search fields. See Attribute search mode field descriptions in this document for more information. |
| Reset selection | This function key is only displayed when you are in Attribute search mode. Clear any values entered and, if you switched to another template, return to the default display (i.e. the template with default sequence defined as 1 and its associated template fields). |
| BP search | This function key is only displayed when you are in Attribute search mode. Switch back to the normal Business partner search mode to look up the business partner. |
- Number
- Displays the number from the Business partner file.
- Internal name
- Displays the internal name from the Business partner file.
- Name
- Displays the name from the Business partner file.
- Type
- Displays the type of business partner.
Type Description 1 customer only 2 supplier only 3 both customer and supplier 9 competitor, manufacturer or prospect If you accessed this panel from a Customer field only types 1 and 3 are displayed. If you accessed this panel from a Supplier field only types 2 and 3 are displayed. If the panel was accessed from a combined Customer/Supplier field then types 1, 2 and 3 are displayed.
- Act
- Indicates that the business partner is active by default.
Selection fields
- Type
- Enter the name type to narrow down the listing.
Type Description 1 customers of type 1 and 3 are displayed 2 suppliers of type 2 and 3 are displayed 9 all records with type 9 are displayed This field can be used with any other positioning and selection fields.
Note: This field is only an input field if the panel was accessed from a combined Customer/Supplier field. If you accessed this panel from, e.g., a Customer field the selection is already made.
- Act
- Indicates that only active business partners are displayed. Set this field to NO to display only those that are inactive. If you leave this field blank, all business partners will be displayed.
- Search fields
- In the five fields you can enter search words to find a customer/supplier. For each customer/supplier, search words can have been defined in the Business partner file. Search words can also be created in the Rebuild name search fields program. Enter the entire, or part, of the search word in one, or several, search fields to get a listing with all customers and suppliers, with for example the same Salesman and Country. This field can be combined with the entry in Type.
Attribute search mode
The following fields are only displayed if you are in Attribute search mode (clicked the Attribute search function key). Business partner attribute templates hold user-defined search fields to facilitate a quick and easy search for business partners. There is extended search functionality available via the More sel field to narrow down your search.
- Att templ
- Only displayed if you are in Attribute search mode (clicked the Attribute search function key on the initial Select business partners panel). The Business partner attribute template with the default sequence of 1 (defined in the Business partner attribute template maintenance file) is loaded into this field. You can switch to any other business partner attribute template configured in the system (click the window prompt icon for a selection). The actual user-defined search fields defined for the template are displayed to the right.
- A/O
- Only displayed if you are in Attribute search mode (clicked the Attribute search function key on the initial Select business partners panel). Enter the panel value for And (default) if records are to be searched using the AND logic for values entered, where all values entered must exist for each business partner. Enter the panel value for Or if records are to be searched using the OR logic, where only the selection for one of the template fields is met for each business partner.
- Template fields
- The template fields defined in the template are displayed for selection. Enter a selection value. For alphanumeric template fields, where the values are validated against Business partner attribute validation tables, you can click the window prompt icon to access a selection list.
- More sel
- Enter any value, or tick the box, to select business partner by attribute.
