An order structure consists of a parent item and connecting components (items). DC1 Distribution uses the term component when referring to the items in an order structure. You can retrieve an order structure during sales order entry and quotation entry and select the components you want to include. (See Retrieve an order structure you can change and Retrieve an order structure you cannot change for instructions).
When setting up an order structure you must establish the following information:
- Structure type which determines the various rules for the handling of the connecting components. These include:
- if you are allowed to change the component lines, quantities and unit during sales order line entry and quotation line entry
- how the system displays the parent and components within the order structure on external documents and within on-line programs
- how the system calculates sales prices for the order structure
- how the system updates the sales statistics file
- if and how the system performs an availability check, for the components within the order structure, during pick list printing.
- Connect the structure type to the parent item only in the Item file.
- Establish the component lines which belong to the parent item in the Order structure file.

Add a structure type and enter the structure type code and description. The remaining fields determine the rules for the handling of the order structure. Enter the following:
- Changeable
- Indicate if you are allowed to add or delete component lines and/or component quantity and unit during sales order line entry, quotation line entry.
In the following group of fields set the corresponding Parent and Component fields to YES or NO to determine the following:
- On-line programs
- Determines if you want to display the parent and/or component(s) during sales order line entry and quotation line entry. Note: You cannot set both fields to NO. In addition, if the system should calculate the sales price for the parent and/or component (defined in the Sales price calc field), you must define YES for that parent and/or component here.
- Quotation
- Determines if you want to display the parent and/or component(s) on the quotation printout. Note: You cannot set both fields to NO. In addition, if the system should calculate the sales price for the parent and/or component (defined in the Sales price calc field), you must define YES for that parent and/or component here.
- Order confirmation
- Determines if you want to display the parent and/or component(s) on the order confirmation printout. Note: You cannot set both fields to NO. In addition, if the system should calculate the sales price for the parent and/or component (defined in the Sales price calc field), you must define YES for that parent and/or component here.
- Pick list
- Determines if you want to display the parent and/or component(s) on the pick list printout. Note: You cannot set both fields to NO.
- Pick confirmation
- Determines if you want to display the parent and/or component(s) during pick list confirmation. Note: The system always displays the parent item during this routine.
- Transport note
- Determines if you want to display the parent and/or component(s) on the transport note printout.
- Invoice/Credit note
- Determines if you want to display the parent and/or component(s) on the transport note printout. Note: If the system should calculate the sales price for the parent and/or component (defined in the Sales price calc field), you must define YES for that parent and/or component here.
- Sales price calc
- Indicate how the system should calculate the sales price for the order structure. Note: The system retrieves the price for the parent and components according to the normal price search. See About working with pricing on a sales order and View sales pricing information for more information. When the price is retrieved, the system calculates the order structure price according to what you define below:

- Component statistics
- Indicate how the system should update the Sales statistics file. You can choose from the following options:

Same as 2. In addition, the system also updates the Sales statistics file for component lines with quantity information only. This means that both the parent line (with quantity, cost and sales values) plus one record for each component carrying only quantity information will be added to the file. |
- Structure avail
- Indicate if the system should perform an availability check. You can choose from the following options:

The system does not perform an availability check on the total of all components. This means that a normal availability check is done for all components individually. |

The system checks the entire order structure (all critical component lines) for availability. This means that all lines containing critical components within the order structure must be available in order for you to be able to print the pick list. Select the item that will be defined as a parent item and click Change. On the Basic data panel, enter the Structure type from Work with structure types. |

On the initial panel, all of the items that have been defined as parent items (i.e. that have a structure type assigned to them in the Item file) are listed. Select the parent item that you want to define components for and click OK. Click Add to add a component line and complete the following fields:
- Line
- Manually enter a line number or let the system define the number, which is done in increments of 10.
- Component code
- Enter the code for the component that you want to add to this order structure. Note: A component in an order structure must not have a structure type connected to it in the Item file.
- Quantity
- Enter the quantity of the component being used within the order structure.
- Unit
- Enter the unit that you want to use for this component. The unit you enter must be defined for the component in the Item file. If the field is left blank, the system will default the default sales unit defined for the component in the Item file.
- Critical
- Indicate if this is a critical component. If you set this field to YES, you can specify, in the Struct avail field within Work with structure types, that the system should perform an availability check for all critical components. See the description of that field above. This check will take place during the printing of the sales order pick list.
Click OK to confirm the information. Add the next component. When all components are added, click Back. The updated component lines are displayed. These component lines may, or may not, be displayed after the parentÂ’s item code is entered during sales order line entry and quotation line entry. This all depends on what you defined for the structure type connected to the parent. |
