View the output of the Profitability Analysis report

This analysis can be done from a number of angles, all accessible from various locations. However, to make it easier to understand, the different types of information you can analyse and the method in which it is done has been split into several examples.

Note: On every line in the report you can right click the mouse button to drill down and perform specific functions (e.g., view multimedia objects, pre-selected objects, customer or item information, etc). Most are standard functions within DC1 Analyser.

Note: From all windows you can use the bottom tool bar of icons to perform specific functions (e.g., View graphical information for a column, print, create a html page and send as email, export data to the applicable spreadsheet program, show totals for a column, etc.). You can also create a new table view. These are standard functions for all tables within a window in DC1 Analyser. See About working with tables in DC1 Analyser.

This example will show you how to do the following:

  • View details for a line
  • Drill down to subordinate information.
  • Drill down to view the information per year/period.

Note: The way the system behaves when viewing details and drilling down is dependent on how you set up your report settings for how you want the information to appear in the window (i.e. viewing details opens new window, drilling down opens new window or reuses the same window, etc). Although you may have previously defined these settings you can always change them during the viewing of the report. See Define the report settings to be valid for all Profitability Analysis reports or Define the report settings to be valid for a specific Profitability Analysis report (whichever is relevant) for instructions.

  • View the information in graphical format
  • View critical information for a column

  • Filter the data so that you view just the information of interest.
  • Update the Profitability values for Item and/or Customer in the applicable DC1 files.
  • View Profitability details.

Note: If you receive a message indicating that there are no details, you can first back update this information in the Item file / Customer file within DC1 and then try again.

Tip: On every window accessible for the report you can change the Number editing settings, allowing you to display the values in the desired format (i.e. hundreds, thousands, etc). Click the arrow on the very top right hand corner of each window and select that applicable. The changes will be applied to all windows open.

Prerequisites for the report in this example
The report you will view in this example has been defined with the following:

  • A number of sorting keys (Customer is first key, Item is second key), enabling you to drill down to subordinate information
  • A wide range of periods and years enabling you to drill down on this information
  • Default graph format is bar code format.
  • The report settings are:
    • Double clicking an item displays details in a new window
    • Drilling down to subordinate information and periods opens a new window

To analyse the output of the report do as follows:

  1. Access the report via any of the following:
    • Display PA reports menu item and selecting the applicable report.
    • Manage PA definitions menu item, selecting the applicable report and clicking the Show PA report icon (alternatively Actions/Show PA report from the menu bar).
    • Menu item Manage PA reports, selecting the applicable report and clicking the Show PA report icon (alternatively File/Display… from the menu bar).
  2. You access the Profitability Analysis window for the report you selected.
  3. Note: The first line of the report displays the total for the entire report.

    Tip: On every window accessible for the report you can change the Number editing settings, allowing you to display the values in the desired format (i.e. hundreds, thousands, etc). Click the arrow on the very top right hand corner of each window and select that applicable. The changes will be applied to all windows open.

    View details for the line
    Details can only be displayed if a calculation is defined in the definition used to create the report. To view the details for each line, select the line and then do any one of the following:

    • Right click the mouse button and then click PA main line/Show details.
    • Select Show/Details from the menu bar.
    • If your report settings indicated that “Double clicking an item displays details”, double click on the line.

    Note: Your report settings determine how the information is displayed (i.e. in the same window, opens a new window per item or always opens a new window. In addition if you want to see the component percentages by default).

    You access the following Details for: xxxxx window (for the applicable line):

    The top section of the window displays the totals for value and percentage for each component in the calculation (if you chose, via the report settings, to display this information by default). You can toggle between displaying/not displaying the percentages by ticking/unticking the Show percentage box.

    The bottom section of the window displays the details for the report line you are currently viewing details for. Use the scroll bar to view all information.

    Drill down to subordinate information
    To drill down to view subordinate information, select the line and then do any one of the following:

    • Click the Drill down icon
    • Select Actions/Drill down to next level from the menu bar
    • If your report settings indicated that “Double clicking an item drills down to next level”, double click on the line.

    Note: If your report settings also indicated that “Drill down to next level opens a new window”, a separate window will be opened for each level of drill down. If such is not the case, the information will be displayed using the same window. In this case the Go back icon is available.

    Drill down on periods
    To drill down to different periods, select the line and then do any one of the following:

    • Click the Drill down periods icon.
    • Select Actions/Drill down periods from the menu bar.
    • If your report settings indicated that “Double clicking an item drills down periods”, double click on the line.

    Note: If your report settings also indicated that “Drill down periods opens a new window”, a separate window will be opened for each level of drill down. If such is not the case, the information will be displayed using the same window. In this case the Go back icon is available. You could have also chosen to “Use the current sequence when drilling down periods”, which means that when drilling down to period values, the period values are sorted on the currently selected sorting column instead of being sorted on year/period.

    The first level of information displayed is on Year level. To drill down to see the period information, select the applicable “Year” line and then drill down further.

    View information in graphical format
    To view the information, on any level, in graphical format select the line and do any of the following:

    • Click the Show graph icon on the top tool bar.
    • Select Show/Graph from the menu bar.

    Note: The information will be displayed in the default graph format. You can, however, change the default by clicking the Edit graph default icon or selecting Settings/Edit graph defaults from the menu bar. (See Choose the default graphical format when viewing Profitability Analysis information for instructions).

    View colour coded critical information
    You may have previously defined some Visual column settings for a column (as was done for this report). If not, you can always do so during the viewing of the report, by clicking the Edit column visual settings icon or selecting Settings/Edit column visual settings from the menu bar. (See Define the visual settings for columns in a Profitability Analysis report for instructions).

    Note: The visual settings are only displayed for information on a subordinate level (i.e. the levels defined when the visual setting was created).

    For this report visual settings were defined on the following:

    • column Gross sales value
    • Customer level
    • Totalvalues
    • From value = 90,000, To value = 100,000
    • Foreground colour = Blue

    This means that all total values on Customer level within the column Gross sales value will be displayed in blue if they fall within the from/to range.
