Note: Data filters can be applied on subordinate levels of information (not on total level).
You can apply the data filter(s) and then toggle the different modes, i.e. all information mode and data filter mode. You can also save the filter which enables you to use this in other reports.
When creating a data filter you can choose between making a:
- Selection. This can be done for one or more columns and can encompass fixed values.
And/or
- Conditions: These are variables you can define for any column with numeric values.
The data filter(s) you create depends on the information you want to analyse. You can, for example:
- Create one where you only want to view information for one or several customers in the report. In this case you would make a selection on the Customer column and select those customers applicable.
- Create one where you only want to view information for those customers with a net sales value which is greater than a certain value. In this case you would make a selection on the Net sales column and define a fixed value which is greater than this amount.
- Create one where you want to have a condition for all or certain customers. E.g., Variable x is less than Variable y.
For this example, a data filter will be applied with the end result being that you want to see all customers with a Net sales value which is greater than a certain value.
- Access the applicable report you want to view (if not already done).
- Drill down to the appropriate level of subordinate information.
- You access the Profitability Analysis (Drill down for xxxxx) window. Click the Open Data filter edit window icon (alternatively Data filter/Edit data filter from the menu bar).
- You access the Edit data filter for: xxxxx (the name of the level you are on) window:
- In the Available box, select the column for Net sales value and click Add.
- In the Included box:
- click anywhere in the cell for Test and then click the arrow that appears to pull down the list. Select the greater than symbol.
- click in the Value 1 cell and enter the applicable fixed value. Click anywhere outside the cell to update.
- You can now, if you want, save this filter or just exit this window. Note: Saving the filter is only necessary if you intend to use the filter by other reports as well. To save the filter, click the Save current selections… icon (alternatively Actions/Save current filter… from the menu bar). You access the Enter name window where you assign a name to this filter and then click OK.
- You return to the Edit data filter for: xxx window where the name of the filter is updated in the Current filter name field.
- To apply this filter click the Apply filter icon from the Edit data filter for: xxx window. The filter is applied and you immediately see the results of that filtered information.
To give you the end result where you want to view all customers with a Net sales value which is greater than a certain amount do as follows:
Note: The Data filter applied box at the top of the window is also checkmarked.
Tip: You can toggle the different data filters you create by turning the Data filter applied mode on (ticking that box) and then clicking on the arrow beside the Data filter applied box, and selecting the appropriate filter. To return to “normal” mode (displaying all information on that level for the report), turn off Data filter applied mode by unchecking this box.
