An advanced selection is a customized configuration allowing you to decide what data you want to retrieve (selection) and the arrival sequence of the data. Once you have made your configuration you can save the advanced selection for reuse at a later time.
During the save process you can do the following:
- Assign a “Prompt for override”, meaning you can override the value for the selection (if you have made a selection in the Advanced selection) at run time. This allows you to toggle/view different data, using the same Advanced selection.
- Connect the advanced selection to a table view, if you have created a specific table view. This allows you to toggle different views of information depending on the values you choose.
The following instructions are provided:
Scenario for this example
For this example you will create an advanced selection in the Sales order browser where you want to be able to view the following end result: All customers within a specific customer group that have an order value greater than a certain amount in a certain currency.
To achieve such an end result you will specify the following:
- Selection is by Currency (GBP), Customer group (C1) and Order value (>1000)
- Sequence is by Customer first and then by Order value (in Descending order).
Note: This is a relatively simple scenario. You can also assign a condition for the advanced selection if you want to compare values in two fields. For example, the value in one field should be the same, lower, greater, or not equal to the value in another field.
The end result for this simple condition will be a table view displaying all Customers in Customer group C1 that have a sales order value (in descending order) of more than 1000 British Pounds.
Configuring an advanced selection
- Open the Sales order browser.
- Click the Open advanced selection window icon (alternatively choose Actions/Advanced selections from the menu bar).
- You access the Advanced selection – Sales orders window which consists of the following three pages:
- Selections
- Sequence
- Conditions (you will not specify a condition for this example).
Selections page
In the Selections page, which is the first displayed by default, select Currency, Customer group and Order value, one at a time, from the Available list and then click Add.
The information is updated in the Included list.
Now select/enter the applicable values. To do this:
- Highlight Currency in the Included list and click anywhere in the Value 1 column.
- Click Find value 1 and then select the applicable value (e.g., GBP). The value is updated in the Value 1 column.
Note: Repeat for Customer group (select value C1) and Order value (in the Test column, select the greater than sign from the drop down list and then enter 1000 in the Value 1 column.
The end result should be as depicted in the window below for this advanced selection:
Toggle to the Sequence page to define the applicable sequence.
Sequence Page
Select Customer and Order value in the Available list and then click Add.
The information is updated in the Included list.
If you want the sequence of the values to be in descending order, click in the Descending column and then checkmark the box.

Saving the advanced selection
- Click the Save current selections… icon (alternatively Actions/Save current selections… from the menu bar).
- In the Save selection window, complete the following fields as desired:
- Description
- Enter a description for this advanced selection.
- Default table view
- If you have previously created a table view for a table (see Chapter Working with Tables for instructions) you can connect this advanced selection to that specific view or to the standard default view. Click the arrow beside this field and select that applicable.
- Prompt for override
- Check this box if you want the system to prompt this advanced selection when you run it, thereby allowing you to override the value (if any) for the selection. This will allow you to view different information, according to the value you define, using the same advanced selection.
- You return to the Advanced selection – Sales order window.
Click Save.
Enable the option to display an overview window of all advanced selections:
You can, optionally, enable a function that will display a detailed overview of all advanced selections that have been configured during the actual running of an advanced selection. This is useful if you have configured many advanced selections and/or are running an advanced selection for the A/R, A/P or G/L enquiries.
On the following window, choose Settings from the menu bar and select the Pop up selections overview window option.
Close the window.
You return to the Sales order browser window where you can now run the selection.
Running the advanced selection
To run the advanced selection, do as follows from the Sales order browser window:
- Click the Choose saved selections icon. If you enabled the option to display a pop up selections overview window, this window will be displayed when you click this icon and leave your mouse over the pull down list. If you did not enable this option, you pull down a list of available advanced selections that have been configured. Select that applicable.
- You are prompted with the Sales order browser – Selections window allowing you to override any value defined for the selection. For this example, leave the value as is and click Find.
- The end result in the Sales order browser is a list of orders with an order value greater than 100 in the selected currency.
