To be able to present a forecast as accurately as possible you may adjust the nominal due date (the expected payment date) of sales orders, A/R documents, purchase orders and A/P documents based on the previous payment behavior of a business partner. The expected payment deviation days means the average number of deviating credit days used by the business partner in relation to the due date.
The following describes how to manually calculate the expected payment deviation days for your business partners and how to check when the update was completed successfully. Note: See section Update procedures for additional information.
- From the top menu bar, click Procedures and select Update expected payment deviation days. A dialogue popup window is displayed:
- Business partner type
- Enter the type of business partner for which you want to update the expected payment deviation days. Valid values are:
- Business partner from
- Business partner to
- Date from
- Enter the start date for payments to only include payments made after this date in the calculation. If you leave this field blank all payments will be used as reference in the calculation.
- Tip: If you want to exclude payments made before a certain date for a specific customer you may run this routine specifically for this customer. See step 3 below.
- Date to
- Today’s date is defaulted. If you enter a date in this field, payments made previous to this date will be used as reference in the calculation.
- Clear fixed expected payment deviation days
- Check-mark the box if you want to clear any previously entered fixed deviation days for the selected business partner. Leave this check box blank if you want to keep the fixed values. A calculated value will be updated regardless, but the fixed value will be used when calculating the expected payment date until removed manually or removed in the next calculation.
- Select Panel types/Collection and click Expected payment deviation days. You access Expected payment deviation days:
- No general update procedure has previously been performed for business partners.
- No payments exist for any of the business partners within the selected time period.
- The selection dialogue window is displayed showing the selected business partner number. Click OK to confirm. (If you have highlighted several business partners, the selection dialogue window will show those selected, one at a time. Click OK for each business partner to confirm.)

On this detail panel you have the possibility to define the extent of the calculation. Complete the following fields:

Complete the following two fields to state the range (from – to) of business partners to include in the calculation. If all business partners are to be included leave the fields blank.
Click OK to update.

This panel may not show any business partners for the following reasons:
Field Last updated displays when the update of expected payment deviation days completed successfully for each business partner. Field Last updated by displays who started the update.
Tip: Click on column heading Number of documents to sequence the business partners in number of documents order. In this way, you can view the number of payments used as the basis when calculating the expected payment deviation days. For new customers with unfavorable statistics you might want to manually re-run the calculation before the next automatic calculation is scheduled to take place. You would do this in order to get a more accurate picture of new customers’ recent payment behaviour.
Note: Sundry business partners will be added to this view with 0 in fields Number of documents and Calculated expected payment deviation days. This gives you the option to add Fixed expected payment deviation days for sundry business partners.
You may also initiate the update of expected payment deviation days from this panel for a single or a range of business partners. Highlight the business partner(s), right-click and select Update calculated expected payment deviation days. To highlight several business partners, press the Ctrl button and click on those you want to select.
Note: You may have to click Refresh to check if the update completed successfully and view the newly updated expected payment deviation days.
